Qualifications
Education:
Associates degree in Business required; Bachelor’s degree in Accounting
preferred.
Credentials: Bondable
Special Knowledge, Skill, or Ability: Knowledge of basic accounting principles and fund
accounting. Must be able to operate computers and have proficiency with spreadsheet software
(Lotus or Excel) and operate 10-key by touch. Prefer experience with POISE Software (PeopleOriented Information Systems for Education), especially the fiscal and student billing modules.
Knowledge of State of Oklahoma Accounting System Procedures would be an advantage.
Training or Experience Required: Minimum of 1 year experience in an accounting/bookeeping
position preferably in higher education. Education may substitute for some experience.
Reports to:
Controller and Vice President of Business Affairs
Performance Expectations: Resolves/interprets rules, procedures and policies to assist
customers/students and to simplify decision making. Follows health and safety policies and
regulations and works safely. Adheres to departmental rules concerning dress, attendance, leave
usage, etc. Uses creativity and initiative to perform work and to solve problems. Cooperates with
and assists other employees/work units. Demonstrates a positive attitude towards students, staff, and
the public.
Job Goal (Purpose of Position): Performs administrative-level duties under general supervision;
assists the Controller to properly account for the college's fiscal transactions; reconciles figures with
the State and prepares reports for the college, state and federal agencies and boards. Provides
necessary reports and financial analysis to Controller and Vice President for Business Affairs as
requested. Assists the Controller in performing the functions required with the contract to provide
fiscal functions for Quartz Mountain Arts and Conference Center.
An incumbent in this position will interpret policies and procedures and follow predetermined
solutions established by higher level supervision or operating procedures.
Contact with Others: An incumbent in this position has regular contact with persons outside the
college which requires tact and diplomacy, independent judgment, problem solving, and interpreting
policies and procedures.
Essential Job Functions/Performance Responsibilities:
1. Assists Controller with student billing and the interfaces to the fiscal system.
2. Payroll interfaces for Western and Quartz Mountain Arts and Conference Center
3. Fund transfers, month end and year end reporting, 1099 reporting, 1098T reporting
4. Petty cash reconciliations, record management, month end and year end closing processes
5. Sales tax payments for Western and Quartz Mountain Arts and Conference Center, and
purchase order management for Quartz Mountain Arts and Conference Center
6. Assists Controller in preparing monthly and annual fiscal reports and providing financial
analysis as directed by Vice President for Business Affairs.
7. Assists Controller with external audit and internal audit for Western and Quartz Mountain
Arts and Conference Center.
8. Performs other duties as assigned.
Supervision exercised: An incumbent does not directly supervise.
Physical/Mental Requirements and Working Conditions: Other than those physical/mental
requirements included in the essential functions, employee must be able to communicate on the
telephone and in person.
