International students who do not have Bahasa Indonesia profiency and are applying for English Departments (either English Language Education or English Letters), are not required to sit for the entry test for admission. However, the university conducts application documents assessment based on which the eligibility for admission is decided. Since USD does not offer any subjects in English except for the two English Departments, then International students who are applying for other Departments are required to sit for the entry test for admission like other regular students. The admission procedure for those applying for the non English Departments will follow the procedure of Indonesian candidates, which can be seen in www.usd.ac.id. International students must meet the academic, language requirements and commit to comply with particular regulations of Indonesian government related to education policy in order to apply for a degree at USD. International students are divided into two categories: 1. Regular students (for degree-seeking undergraduate and graduate students) 2. Non-regular students (for non-degree seeking students, e.g. Indonesian Language and Culture Intensive Course (ILCIC) students, Darmasiswa students, Visiting students, and Exchange students) How to apply – Regular Students (English Departments ONLY) Applicants pay US$ 20 non-refundable application fee (excluding transfer fee) by money transfer to the following accounts: Bank name : BRI Name : Universitas Sanata Dharma Account no : 1383.01.000001.30.3 Swift code : BRINIDJA Download the application form from www.usd.ac.id/en Complete the application with the following supporting documents: 1. a certified copy of all academic certificates and transcript 2. a certified standardized English Language Proficiency Test Result (TOEFL, TOEIC, IELTS) 3. a certified copy of applicants’ passport, must be valid and current for the period of study in Indonesia 4. 4 current color photographs (red background) size 4x6 5. a financial guarantee statement (downloadable from www.usd.ac.id/en) enclosing a bank statement, indicating applicants financial ability to undertake education in USD 6. a law and employment declaration (downloadable from www.usd.ac.id/en), stating that the applicants will not engage in a job and will obey the Indonesian laws and regulations 7. a recommendation letter from applicants’ school/institution 8. an official medical documentation stating that the applicant is able to meet the academic demands in USD. File size limit is 2.5mb per file. Once accepted, applicants will receive an official Letter of Acceptance from USD. Then, applicants have to go to the nearest Indonesian Embassy or Consulate to ask for a recommendation letter to study in USD. This recommendation letter needs to be sent to USD attn. IO as one of the requirements to apply for Student Visa (VITTAS). Upon accepted, applicants pay by money transfer a one-off payment of IDR 3.155.000 (excluding transfer fee) to USD attn. IO for Visa application, Visa conversion and immigration administration. Timorese students are excluded, since the visa application is handled by an organization called AEITIL. To study in Indonesia, the international students (regular students) have to apply for a limited stay visa (VITTAS) which is later converted into a limited stay permit (KITAS) in Yogyakarta. KITAS will be valid for either 6 or 12 months and can be extended every year, depends on the study period in Indonesia. USD through IO (International Office) will assist the international students to apply for visa and deal with the immigration process. Procedure: 1. 2. 3. 4. 5. Applicants receive an offer of admission from USD. Applicants ask for a recommendation letter from the nearest Indonesian Embassy or Consulate, and send it to IO. Applicants transfer IDR 3.155.000 to USD attn. IO, and scan then email the receipt to io@usd.ac.id IO will request for the applicants’ study permit to the Ministry of National Education in Indonesia (MONE). IO will apply for a limited stay visa (VITTAS) valid for either 6 or 12 months (depends on the study period) to Immigration Office Jakarta. Applicants MUST have minimum 18 months passport validity to get VITTAS which is valid for 12 months. 6. IO will send the study permit from the Ministry of National Education and from the Immigration Office to the applicants. 7. Immigration Office will fax the VITTAS to the nearest Indonesian Embassy (KBRI) or Consulate General of Republic of Indonesia (KJRI) in applicants’ country. 8. Applicants get the VITTAS (index 316) in the nearest Indonesian Embassy (KBRI) or Consulate General of Republic of Indonesia (KJRI) in applicants’ country by paying USD$110. 9. After obtaining VITTAS and arriving in Indonesia, applicants must register themselves to the Immigration Office within 7 days since the entry permit (a stamp from Airport Immigration) is issued. Therefore, applicants have to report to IO no more than 6 days after arriving in Indonesia. IO will then convert VITTAS into KITAS to the Immigration Office in Yogyakarta. 10. IO will register the applicants to the Police Office in Yogyakarta to get a Certificate of Police Registration Card (Surat Keterangan Lapor Diri / SKLD). This process will take at least two months. We strongly advise the applicants, who plan to study for 6 months or more, to arrive in Indonesia only with VITTAS. Do not use other visa such as Social-Cultural Visa (VKSB) or you will have to go to the Immigration office every month for extension and have to leave Indonesia after six months to get a new visa. VKSB is valid for either 30 or 60 days, and renewable up to 4 times. Procedure: 1. 2. 3. 4. 5. 6. Applicants fill in an application form for VKSB (USD form) Applicants receive a Letter of Acceptance from USD. IO will apply for VKSB to the Indonesian Embassy (KBRI) or Consulate General of Republic of Indonesia (KJRI) where the applicants wish to obtain the Visa (via telex visa). Applicants fill in the VKSB form in the KBRI or KJRI, and pay the Visa fee of ± US$ 65. (Different KBRI might charge different fee). The Visa will be valid from the date written in the entry permit (a stamp from Airport Immigration), upon the applicants arrival in Indonesia. The Visa will be valid for either 30 or 60 days (as what is stated in the entry permit). Extending VKSB: 1. 2. 3. 4. 5. Students apply for extending VKSB to IO 1 week before expiry date. Students who extend VKSB less than 7 days before expiry date will be charged for overstay for IDR 300.000 per day. Students submit the necessary documents required: Departure card (White card) Passport (original) A copy of the plane ticket / itinerary Current color photographs (red background), size 3x4 and 2x3, 4 each. IO will apply for extending stay permit (valid for 30 days) to the Immigration Office Yogyakarta. Once extended, VKSB will be converted into Stay Permit (Ijin Tinggal). Ijin Tinggal is renewable up to 4 times (each valid for 30 days). Maximum validity will be 6 months (for a 60-day VKSB). After six months, applicants need to leave Indonesia to get a new visa.
