Job Description Job title: Stakeholder relations adviser Pay band: 8 Responsible to: Head of Communications Purpose of the job: The stakeholder relations adviser will develop, manage and advise on relationships with external organisations, overseeing and co-ordinating mutually beneficial relationships built on a firm understanding of one another’s policies and strategic priorities. Collaboration is key to OFFA’s vision and way of working. We already work well with other organisations and we want to strengthen those relationships, making sure that we are talking to and influencing the right people in order to achieve our strategic aims. This is an exciting new role that will sit within OFFA’s communications team. You will co-ordinate and manage the way we engage with and communicate to key stakeholders, identifying the most effective ways to build their understanding of our policies and messages and to enhance our own understanding of relevant work that they are doing. You will create, manage and monitor a stakeholder engagement plan for OFFA, managing communication to and from stakeholders, writing and co-ordinating briefings and Powerpoint presentations for the Director and Assistant Director, and co-ordinating, and sometimes drafting, OFFA’s responses to consultations and calls for evidence. You will have excellent interpersonal skills, an ability to think strategically, and excellent oral and written communication skills. The role will involve a high level of judgement on your part – for example, you will advise on the most effective way to build a relationship with a particular organisation and what messages we should include in a conference speech by the Director or our response to a consultation. You will also need to have excellent planning and organisational skills, creating systems that enable stakeholder knowledge to be effectively disseminated and shared within OFFA, and acted on in future interactions. Your work will involve: Stakeholder engagement Creating, overseeing and monitoring a stakeholder engagement plan for whole organisation, particularly engagement by the Director and Assistant Director. This will include: o o o o o o Working with communications colleagues to prioritise the external organisations we engage with – monitoring these priorities to reflect the changing external climate and our own strategic priorities Advising Director on invitations to speak at conferences, seminars, round-table events etc. Identifying and seeking high value speaking opportunities/meetings for Director in line with our strategic plan and communications strategy Creating and managing a database logging our engagement with stakeholders, any outcomes or actions to be taken as a result of this engagement, and what our stakeholders’ priorities are Advising on the potential implications of stakeholder priorities and messages, including horizon scanning Co-ordinating engagement with external organisations (other than operational engagement with institutions) by members of the policy team o o Regularly reviewing success of stakeholder engagement and advising team on the best way to influence particular stakeholders Networking with key stakeholders to gather intelligence on their policies, attitudes, current work and upcoming publications/announcements Communication to/from stakeholders Assessing the information we receive from Parliamentary monitoring and disseminating within team as appropriate Ensuring that key stakeholders are kept well informed of forthcoming OFFA publications/events etc Monitoring and disseminating stakeholder press releases, reports and statements Ensuring that publications/speeches/press releases by key stakeholders are read by appropriate team member and key findings clearly interpreted and disseminated to wider team. This will involve liaising with colleagues in the policy, evidence and analytical teams to assign a ‘reader’ to key publications and ensuring that the key findings are communicated effectively to the wider team Creating/maintaining systems to share our understanding and knowledge of stakeholders Acting as a first point of contact for general stakeholder queries (not queries from institutions) Briefings Preparing/writing and co-ordinating briefings for the Director and Assistant Director in advance of stakeholder meetings, for example meetings with Ministers or appearances before the BIS Select Committee, liaising with policy and communications colleagues as necessary. Using stakeholder understanding and knowledge of our communications strategy to advise policy advisers who are writing a policy briefing for the Director or Assistant Director in advance of a speech/meeting/roundtable event Presentations Liaising with communications colleagues to agree on the key messages for a presentation by Director/Assistant Director or other members of the team Creating bespoke presentations and speaking notes for Director and other team members, drawing on our existing database of Powerpoint slides and creating new slides as necessary Working with policy colleagues to update our database of presentation slides with latest data, examples, and case studies Consultations Managing and co-ordinating OFFA’s responses to consultations/calls for evidence, writing or contributing to such responses as necessary. This will include: - identifying relevant consultations and the level of response required - planning the work and information needed to respond - co-ordinating responses from policy colleagues
