DUTIES AND RESPONSIBILITIES
Within delegated authority, the Communications Assistant will be responsible for the following duties: The processing of all
incoming and outgoing Code Cables in a timely and efficient manner; The processing of incoming and outgoing plain facsimiles
that are sent to the Communications Centre; The distribution of incoming and outgoing faxes in accordance to the approved
distribution guidelines; Train newly recruited Communications Assistants on appropriate UN protocols and standards; Installs
commissions and maintain the encrypted voice and facsimile devices within the unit, otherwise seek the assistance of the radio
technicians while performing such duties; The effective use of the UN internal satellite network, commercial line facilities,
computerized management systems, digital sender, crypto devices, vhf radio and any other transmission equipment deployed in the
Communications Centre in the performance of his /her duties; Observe and monitor the reliability of the communications
equipment facilities; Identify any system malfunctions that might affect the efficiency and effectiveness of communications centre
and report such problems to the Duty Technician; Assist in the maintenance of a proper filing system of all outgoing and incoming
daily correspondences either by hard copy filing method or by electronic means; Identify and retrieve any messages that may be
requested by military or civilian offices; Assist in identifying files for archiving and performing same using the appropriate
electronic archiving system; On a monthly basis he/she must close and open new logging sheets for the proper recording of new
outgoing and incoming messages that will facilitate the preparation of statistics chart; He/she may be required to provide first
echelon maintenance to the equipment use by the facility; At all times respect and observe the confidentiality of any or all of the
documents that flow through the Communications Centre; Perform other duties as required by the unit supervisor and/or the chief
of section.

knowledge of computers, printers, software and hardware and other related office and communications equipment; proficiency in
various MS Office applications (Excel, Word,), and other IT applications. Client Orientation - Ability to identify and analyze
clients’ problems and respond in a timely manner. Commitment to Continuous Learning – Exert initiative and willingness to keep
abreast of new developments in the relevant areas of responsibilities. Teamwork – Excellent interpersonal skills and ability to
establish and maintain effective working relations in a multi-cultural, multi-ethnic environment with sensitivity and respect for
diversity. Communications – Good written and spoken communications skills including ability to prepare and present concise oral
and written reports, updates, and other forms of documentation.

For Managerial Positions:
QUALIFICATIONS
Experience: At least 6 years of progressively responsible clerical/administrative experience at the national or international level
in the public/private sector. Knowledge of the UN rules, regulations and working experience in a United Nations field mission or
other similar operational environment would be an advantage. Good organizational, communication and computer skills are
required.
Education: High school diploma or equivalent. Technical training in administration, human resources, personnel management or
related fields is highly desirable. A valid driver’s license is essential.
Languages: Fluency in spoken and written English or French; knowledge of a second UN language is an advantage and
sometimes a requirement. Fluency in the local language may be essential.

Note:
While this temporary assignment will provide the successful applicant with an ideal opportunity to gain new work
experience, the selection for this position is for a limited period and has no bearing on the future incumbency of the post.
Internal candidates for this purpose is defined as staff members currently serving under 100 series appointment who have
been recruited after a competitive examination under staff rule 104.15 or after the advice of a Secretariat joint body under
staff rule 104.14. External applicants may be considered when it is not possible to identify suitable internal candidates of
the same department/office.
Please note that external candidates are generally not entitled to be appointed at the advertised level of this temporary
vacancy and will therefore be graded in accordance with the current recruitment guidelines. This means that the grade
may be at a lower level than that of the advertised level of the post.
