NACAS South Annual Business Meeting Tuesday, May 8, 2012 Hyatt Regency Austin Austin, Texas Board Members Present: Melissa Moore (President); Connie Davis (President-Elect); Andy Meeks (Vice President); Eric Monday (Past President); Bob Ritenbaugh (Treasurer, appointed); Jean Ann Caywood (Professional Development Coordinator); Carole Gibson (Conference Coordinator); Bill Redwine (NACAS South Representataive); Angela Peterson (Membership Coordinator); Monica Stoch (Communication/Technology Coordinator). Board Members Absent: Doug Ross (Secretary) Call to Order: Melissa called the meeting to order at 12:30 pm. Melissa thanked Ricoh USA for sponsoring the luncheon. Secretary’s Report: In the absence of Secretary Doug Ross, President Melissa Moore presented the Minutes from the meeting held April 19, 2011, at the Sandestin Beach Resort in Destin, Florida. Ralph LaRue moved that the Minutes be approved as submitted, Charlie Figari seconded the motion, and the Minutes were approved unanimously. Treasurer’s Report: Andy Meeks, who took on the duties of Treasurer upon the resignation of Mark Reeves, presented the financial documents and provided a brief recap of our current financial position and budget. He then asked Susan Caples to present the Audit Committee report. Audit Report: Susan Caples, Chair of the Audit Committee, commended Andy Meeks for taking on additional duties as Treasurer after the resignation of Mark Reeves, until a new Treasurer was appointed, and for his efforts in maintaining accurate records and reports of NACAS South financial matters. She thanked the other members of the Audit Committee (Aadrian Dawsey and Donna Swarb). She reported that the financial information was received on a timely basis from NACAS South. She reported that the financial documents adequately and accurately reflected the finances of NACAS South and that NACAS South is fiscally healthy. Jean Ann Caywood moved that the Treasurer’s report be approved as submitted, Bob Anderson seconded the motion, and the motion was unanimously approved. 1 National Committee Reports: Communication Services: Bob Anderson, representing Barbara Brooks, presented the Communications Services Committee report. He mentioned that the Communications Services Committee is merging with the Membership, Marketing and Social Networking committees. He reported that the Student Author contest deadline has been changed to March 1. The winning student article will be in the Summer edition of College Services instead of the Spring issue. Membership: Kyle Cullars, representing Susan Nowicki, presented the Membership Committee report. He reported that as of March 31, membership is 782, with 7 new members, and reported that business partner membership is at 224 total, with a net gain of 9 members. He reported that recruitment is a focus of the Membership Committee and encouraged the group to recruit members. He asked for volunteers willing to be mentors at the upcoming NACAS National Conference in Atlanta and thanked the membership for their support and involvement. Business Partners: Mike Trevathon presented the Business Partner Committee report. He mentioned that they are ramping up recruitment of business partners and reported that the NACAS Business Partner Survey of the Membership was conducted and the results will be posted on the NACAS website. In addition, the deadline for nominations for the NACAS Business Partner-of-the-Year is July 16, with the winners to be announced at the 2012 Annual Conference. Awards: Herb Ganey presented the Awards Committee report. He outlined some of the existing awards and mentioned the new David H. Lord Award for Exemplary Community Service. He asked past award recipients to stand and be recognized. He encouraged us to visit the NACAS website and nominate a colleague or self-nominate. NACAS Education Foundation: Charlie Figari provided a brief summary of the role the NACAS Education Foundation and introduced the coin-toss fundraiser. He thanked Teri Bump and American Campus Communities for providing the raffle gift, a Kindle Fire, for the winner of the coin-toss game. The individuals who had contributed to the Foundation during the Business Meeting played the coin-toss game and the winner, Ronda Gillie, received the Kindle Fire. NACAS South Awards Committee: Angela Peterson presented the NACAS South Awards Committee report. She thanked the members of the Awards Committee and announced that the University of Houston partnership with Aramark was the recipient of the Outstanding Collaboration/Partnership Award. NACAS South Professional Development Committee: Jean Ann Caywood presented the NACAS South Professional Development Committee report. She reported that the Advanced Institute for Managers and the Senior Leadership Forum were successful, announced some upcoming professional development opportunities, and encouraged the group to watch the national office for new professional development opportunities. On behalf of NACAS South, Jean Ann presented a photo collage plaque to Dr. Bob Hassmiller in recognition of his 10 years of service as NACAS Chief Executive Officer and for all of his support to NACAS South. President’s Reflections: Melissa Moore announced that this was a record-setting conference, with a record 29 first-timers and a record attendance of 238. She noted that NACAS South is financially sound 2 and thanked Andy Meeks for his success in obtaining business partner support and thanked Connie Davis for the excellent program. She then provided her reflections on the past year, which included a Top 10 reasons to be involved in NACAS and NACAS South. NOTE: President Melissa Moore wanted to express her appreciation to the outstanding services of the outgoing coordinators, Monica Stoch (Communication/Technology) and Jean Ann Caywood (Professional Development). In addition, she wanted to introduce the coordinators who served as appointees at the discretion of the Board: Ray Galleno (Communication/Technology), Martha Davidson (Professional Development), Angela Peterson (Membership Coordinator), and Carole Gibson (Conference Coordinator). NACAS South Constitution and Bylaws: Eric Monday, Past-President, announced that the NACAS South Constitution and By-laws Committee had no recommended changes at this time. He opened the floor for any recommended changes and there were none. NACAS South Nominating Committee: On behalf of the Nominating Committee, Eric Monday (Chair of the Nominating Committee), announced the slate of officers for the 2012-2013 term: President: Connie Davis, Southeastern Louisiana University President-Elect: Andy Meeks, Northern Kentucky University Vice President: Doug Ross, University of Georgia Secretary: Monica Stoch, University of Kentucky Treasurer: Bob Ritenbaugh, Auburn University Southern Representative to the NACAS National Board: Bill Redwine, Morehead State University Eric opened the floor for nominations and hearing none asked for a motion to close the floor for nominations. Susan Caples moved, Bob Anderson seconded the motion, and the nominations were closed. Eric called for a motion that the slate of officers for 2012-2013 be accepted, Charlie Figari moved, Martha Davidson seconded, and the slate of officers was unanimously approved. Eric asked Connie Davis to come forward and she was sworn in as the new President. The remaining newly-elected Board members were then sworn in. Resolutions: Past President Eric Monday presented the following resolutions to the membership: Be it resolved on this 8th day of May, 2012: That the Board of Directors of the National Association of College Auxiliary Services South recognizes Charlie Salas, the Austin Host Committee and the Hyatt Regency Austin for providing exceptional hospitality to our members, partners and guests during the 2012 NACAS South Annual Conference. That the Board of Directors of the National Association of College Auxiliary Services South recognizes Andy Meeks for his outstanding Business Partner Program at the 2012 Annual Conference and the establishment of 10 new partnerships. That the Board of Directors of the National Association of College Auxiliary Services South recognizes Andy Meeks for his outstanding service bringing the NACAS South financials up-todate when the NACAS South Treasurer had to resign due to work commitments. 3 That the Board of Directors of the National Association of College Auxiliary Services South recognizes President Melissa Moore for her service, distinguished leadership, and untiring support of our association and its Board this past year. Melissa, we wish you all the best with your new, and very well-deserved, title of Past President. That the Board of Directors of the National Association of College Auxiliary Services South continues to recognize all of the men and women serving our country in the armed forces. We continue to offer our deepest gratitude. That the Board of Directors of the National Association of College Auxiliary Services South recognizes its colleagues who have lost their jobs due to the difficult economic times and for the hard work and dedication they’ve shown to the auxiliary services profession. Pass the Gavel: Past President Eric Monday asked current President Melissa Moore to complete her final action as President by passing the gavel of the presidency to the newly-elected President, Connie Davis. As requested, Melissa presented the gavel to Connie Davis as the newly-elected President. Connie thanked the 24 speakers for the NACAS South annual conference and thanked Carole Gibson, Conference Coordinator; Andy Meeks, Vice President and business partner coordinator; Charlie Salas Chair of the Host Committee and the members of the Host Committee; and Melissa Moore, Past President; and all of the Board members and volunteers as well as the NACAS national office for their support of the conference and congratulated them on a successful conference. Connie introduced herself and summarized her involvement in higher education and with NACAS. She encouraged us to get involved with NACAS and NACAS South and to reach out to our business partners. She asked the NACAS past-presidents and NACAS South past-presidents to stand and be recognized. Upcoming Conferences: Rich Steele, Host Committee Chair for the 2012 NACAS Annual Conference, and other members of the Host Committee gave a presentation about the upcoming NACAS annual conference to be held October 28-31, 2012 in Atlanta, Georgia. Jean Ann Caywood, Host Committee Chair for the 2013 NACAS South Annual Conference, gave a presentation about next year’s annual conference, to be held May 4-8, 2013 in Hilton Head, SC. Adjournment: There being no further business before the Board, Melissa Moore offered a motion to adjourn the meeting, seconded by Andy Meeks, and the meeting was adjourned.
