Working relationships Reporting to: Number of roles this job manages: Other key relationships: Director RIBA London Region 0 Responsible for managing relationships with CPD speakers, members, venues and a range of outside organisations, partners, sponsors and stakeholders Main responsibilities 1) Take responsibility for the coordination of RIBA London stand at the MIPIM and MIPIM UK trade shows, liaising with partners, recruiting practices, managing delivery of promotional material and associated publications. Lead on the coordination and delivery of the biannual RIBA London trade missions including managing participating practices, liaising with partner organisations, setting up visits. 2) Take responsibility for coordination of RIBA London practice visits. Ensuring crucial member facing activity continues strengthen the relationship between members and the RIBA. Manage the upkeep of the RIBA members’ database. 3) Work closely with the Project Manager Skills and Business Development on the promotion and delivery of CPD events. Lead on the bookings, payment and administration of events. Be the initial point of contact for member queries on CPD. Take a lead on the event management of some seminars including arranging speakers, finding venues and identifying relevant case studies. 4) Work closely with Partnership Manager to produce the bi-weekly e-bulletin. Taking responsibility for collating stories and drafting copy. Be responsible for maintaining the region’s web pages. 5) Liaise with finance department to process purchase and sales invoices. Working with colleagues to manage cross team project budgets. Follow up outstanding invoices to ensure payment. 6) Lead on the production of the RIBA London Practice Directory. 7) Responding to telephone, email and postal queries and liaising with members to ensure appropriate literature is available for external events (e.g. careers days. 8) Undertake special projects as identified by the Regional Director. Job Description Template Version: 13 April 2015 Useful information RIBA London’s CPD Core programme has grown significantly over the last few years providing nearly 1300 places at over twenty seminars across two venues. The CPD programme also includes a range of both national and locally organised CPD events. The Project coordinator position is vital to the support of this programme and ensuring significant income targets are met. The Coordinator position will be expected to deputise for the Project Manager, Skill and Business Development in their absence. RIBA London’s Programme of business development support for our members includes promotional support at MIPIM, MIPIM UK, and trade missions. These activities involve a large amount of recruitment and liaising with members. This post plays a vital support role to the Partnerships Manager and Director, again to ensure that member feedback is positive and challenging income targets are met. The post also provides a range of cross team support – including covering for the Project Manager Skills and Business Development and Project Coordinator Celebrating Architecture in their absence – to ensure continuity of service to members. Ability to work outside normal working hours along with an ability and willingness to travel as and when appropriate are also required. We currently run a programme of CPD sessions on Tuesday evenings – around 15 per year. Attendance at some of these will be required. Skills, knowledge and experience Experience of working in or studying in a design, construction or architectural related field. Knowledge of teaching and learning approaches. Evidence of delivering high profile projects and event with demanding deadlines, on time and to budget with multiple stakeholders, press involvement and external venues. Experience of office management or administration, with knowledge of finance procedures including purchase orders, invoicing, etc. Evidence of excellent communication skills, both written and verbal. Experience of using ICT and social media develop new ways of communicating activities and events and providing ways for member to communicate with each other. Demonstrable experience of project working using Prince 2 methodologies Evidence of creating digital content as well as traditional publications Experience of working in or studying in a design, construction or architectural related field.
