CBPM Alumni Affinity Group Meeting Minutes Monday, February 9, 2015, 7:00PM, Hanawalt House Conference Call # – (605) 475-3220 Host Access Code # - 615572*; Participant Access Code # - 615572# I & II. Welcome and Call to Order Jerry called meeting to order at 7:03PM. There is a quorum present. * NOTE – AAB Bylaws will be in effect replacing the CBPM AAG’s previous governance documents. III. Call to order Present: Hoang Dinh, Alfred Magallanes, Kevin Doody (Assistant Vice President for Major & Annual Gifts in the Advancement Office), Jerry Gonzalez, Renee Deming, Carrie Hasse. Present via conference call: Raymond Medina IV. Agenda Agenda changes: New Business discussed first, then Alumni Relations Office report. V. New Business A. CBPM Picnic, Sun. April 26th in Sneaky Park. Time TBA. Carrie Macias is out on vacation at this time, but Alfred will talk to Abe about the email communication on this event announcement. B. Plans for an event at the Orange County Campus in Irvine. Separate from the Speaker/Lecture series (Mr. Willard Caddell event postponed). Raymond asked if this may be tied in with a class being. Alfred suggested having it offsite as a “Happy Hour” social event. Jerry asked for volunteer on a point person, Raymond accepted and can talk offline about logistics and date planning. Carrie stated that the Registrar’s office will have the names of those eligible for Commencement, or those that have already completed between Winter and Spring terms. Carrie can also work with the Orange County campus administrators on the students and date availability. C. Spring 2015 Grad Finale, Sat. March 21st in Sneaky Park. Time TBA. Volunteers to help staff the table, collect interest cards, etc. Carrie mentioned she and Rick are out of town that weekend, also conflicts with Gala ’15 Weekend at the Sheraton Fairplex in Pomona. D. Carrie has brought new business with a letter to be drafted and sent to soon to be graduates in all CBPM campuses (regional, online, main). Minimum 4 times a year to be sent out listing something along the lines of Top 5 reasons for the CBPM AAG, the mission statement, and tailor it to any upcoming events. Carrie and Hoang met a few weeks ago about drafting the letter, which has not been finished yet. Right now we need the additional resources that can help incorporate this into an Outreach/Mentor program. A suggested strategic plan is needed to address. a. Alumni Relations Office (Monika/Alfred) A. Kevin Doody introduced himself to the group as well as everyone introduced themselves to him. Kevin came on board in December 2014. Late last week, he met with Rick, Deborah Olson, and Myra Garcia discussing the international travel fundraising for students, brainstorming, and Rick invited Kevin to tonight’s meeting. He’ll look into the availability of government grants for travel, and for La Verne graduates in particular to view CRN’s and find how many Alumni travelled abroad. Deborah suggested that there are other Colleges that have travel abroad programs, and this helps Advancement to reach out to those who had positive experiences and to donate to future students. Fundraising activity can either go out by hardcopy mail or through a social media networking site. Updates to come. Hoang has committed to being the first to help. B. Alfred talked about the CEO Summit on Wed. March 18th, Gala ’15 on Sat. March 21st, CBPM Picnic on Sun. April 26th, and continuing to work on data integrity in the office. He’ll meet with the chairs to make sure Alumni contact information is up to date. The Spot is still being pushed for better ways of marketability online. Spring receptions have been selected Bakersfield, Burbank, and Irvine campuses for a programming sense rather than a cocktail event. Count Me In Challenge, goals have met for 2014-2015 academic year, and ongoing. Participation is the focus for all the Affinity Group leaders. Retreat workshops have been postponed due to previous illnesses, but will be rescheduled at a later date. VII. Minutes Motioned, seconded, and passed. VIII. Previous month’s meeting minutes submitted. 2. Volunteered for Winter Commencement activities as member of CAPA AAG Board. Commencement staff and AAB Board would like more volunteers, and suggested that this group needs a presence. Congratulations to all CBPM graduates, especially the student guest speaker Raymond Medina. Events Chair (Rick via Hoang) Report: 1. Hockey Night in Ontario makeup date has been announced for Sat. April 4th vs. Stockton Thunder at 6:00PM (Easter weekend). Tickets and event details will be posted at the end of this week. 2. Still working on some lecture dates but nothing is final as of yet. Will report to the group as soon as information is available. Outreach Chair (Rick via Carrie) Report: 1. Covered under New Business. Marketing Chair (Ebony) Report: 1. No report. Burbank Chapter President (Joe via Hoang) Report: 1. Burbank’s Board met this past Sat. February 7th to plan their activity calendar for the year. The first event will be a networking event with a guest speaker in attendance, either on Sat. March 21st or 28th with more information to follow. Alumni Advisory Board Representative (Raymond) Report: 1. Sun. January 11th meeting. The focus was what an Alumni Association member benefits. Also reported what was happening with the CBPM AAG. IX. Old Business A. Recap of Winter Grad Finale, Sat. November 22nd, 2014 and follow-up of interest cards. a. Database of our members b. Calendar of events i. Hoang mentioned that these issues with technology and internal processes were tabled and never truly addressed since the transition from the previous President. ii. Jerry suggested that we’ll meet offline to change this process, where the email addresses are pulled and a “welcome” email sent from the CBPM AAG thanking them for attending.
