Whitefish Bay Public Library Position Title: Position Status: Appointing Authority: Supervisor: Administrative Services Librarian Part-time. Hourly. Confidential. Benefits as eligible. 25-30/hrs week. $20/hr Library Director Library Director GENERAL PURPOSE Assist the Library Director in the provision of library service to the Whitefish Bay community and all library patrons. Create and maintain a welcoming and functional environment, and a technology platform that carries the library into the future. Support the Whitefish Bay Public Library Mission Statement and Values set by the Library Board of Trustees. ESSENTIAL DUTIES AND RESPONSIBILITIES I. Administrative Support 1. Assist the Director with short and long term planning for library service to the WFB community. 2. Research and forecast changes and trends in public library service to assist in planning. 3. Maintain records and files of library business documents. a. Create and maintain spreadsheets for budget and other purposes. b. Prepare statistical and narrative reports for internal use and for board meetings. c. Assist with preparation of annual budget d. Assist with preparation of annual report. 4. Prepare grant applications and research of outside funding resources. 5. Assist Director with preparation for board meetings and attend meetings as recorder. II. Technology Management 1. Oversee technology used by the Whitefish Bay Library. a. Maintain an inventory of hardware and software. b. Plan for needed upgrades/changes and make recommendations. c. Maintain technology at levels that provide appropriate resources and functionality to patrons. Install software upgrades when applicable. d. Plan and implement staff technology training and development. e. Troubleshoot computers. 2. Seek ways to streamline library functions using technology. 3. Monitor general technology trends in library service and make recommendations. 4. Research and forecast changes and trends in the Whitefish Bay Library patron usage to assist in technology planning. III. Facility Management 1. Execute the Building Maintenance Plan for the Library. Provide monthly updates to the Director and periodic updates to the Board. Revise and update the plan as appropriate. Contact vendors as needed. 2. Be responsible for space planning, optimizing the available layout to accommodate patron needs. 3. Monitor general facility trends in library service and make recommendations. 4. Research and forecast changes and trends in Whitefish Bay Library patron usage to assist in facility planning. IV. Reference Desk Support 1. Be part of a reference team that involves service on evening and weekend hours on a rotational basis. 2. Participate in reference desk shifts and interact with patrons in person, over the phone and through the library website. Use reference interview skills to locate, evaluate, and select appropriate resources to fulfill patron needs. Offer interlibrary loan or infopass when appropriate. Follow up with patrons as needed. 3. Instruct and assist patrons on CountyCat and interpret the MCFLS shared system to them. Instruct patrons on library subscription databases, BadgerLink, library recommended websites, and other Whitefish Bay Public Library 4. 5. 6. V. information resources. Create patron instructional guides for library services and maintain and update as needed. Follow library and department policies and procedures and interpret to patrons as needed. Follow and interpret MCFLS and ILL policies and procedures as applicable. Provide reader’s advisory to recommend books and use reader’s advisory tools to assist patrons in finding books of interest. Assist patrons with basic computer questions. Patron Service and Team Work Maintain a professional demeanor along with excellent communication skills and contribute to the overall well being of the workplace. 2. Contribute to a positive, helpful, friendly, inviting environment for library users and maintain a level of excellent patron service. 3. Act as a team player and maintain positive interpersonal relationships with co-workers. 4. Teach basic computer classes and be available by appointment for patrons for individual computer instruction. 5. Monitor the public computer area and assist patrons with basic computer questions. 6. Follow library and department policies and procedures and interpret to patrons as needed. Follow and interpret MCFLS and ILL policies and procedures as applicable. 7. Maintain confidentiality of library patron information. 8. Act as Librarian in Charge as needed and oversee opening/closing procedures. 9. Attend and participate in staff meetings when required. 10. Professional Activity Maintain a commitment to continual learning to improve skills and professional knowledge through reading professional literature and attending local training sessions and other opportunities as they arise. Stay current with trends in library facility management, information technology and library administration and their application to the Whitefish Bay Library. Participate in MCFLS committees and attend meetings as appropriate. DESIRED MINIMUM QUALIFICATIONS A. Education: Preference will be given to candidates who have completed an ALA accredited Masters Degree in Library/Information Science. Candidates with some coursework will be given consideration. B. Knowledge/Skills/Abilities Thorough knowledge of current library principles, materials, practices, and patron service. Ability to perform professional supervision and administration as applied to library operations. Working knowledge of computer applications for library services, internet searching skills and ability to discern reliable website information. Excellent communication skills, both verbal and written. Ability to operate all items listed under Tools and Equipment. TOOLS AND EQUIPMENT USED Automated shared resource system (CountyCat), networked personal computer and peripherals, MS Office and other job related software, printers, copy machine, fax machine, scanner, telephone, calculator, paper cutter, laminator, elevator and carts. The noise level in the work environment is usually quiet to moderately noisy.
