Open, Close, Supervision Checklist

Staff will be responsible as a team to ensure the following is actioned:
 Use safe manual handling techniques when performing the following duties
 Are always vigilant on shift in identifying and immediately making safe the facility
 Check and identify the emergency plans are accessible in your work area
 To report immediately to your supervisor, including but not limited to trip hazards, EXIT signs not
being illuminated, flickering lights or out of order equipment
 Ensure any equipment out of order will be signed and wrapped in hazard tape so it is clear to all users
the equipment is out of order.
Items in bold are specific for gym instructors. In the event a reception person is running late this
document can be referenced by gym staff and found at reception in the ‘Communication File’ in the
reference section.

Swipe your access card on panel near security phone at main entrance (this will deactivate alarm)
Swipe access card to enter reception office
Turn on relevant lights for the centre in accordance to light panel colour code system with switches
Check phone for messages if red light is on, press voice mail and follow the prompts to listen
to messages
5. (Gym) instructors to turn on lights for Gym & ShapeHer, switch on TV’s, air-conditioning
(open windows ¼ for airflow of evaporative system), fans, electronic exercise equipment,
equipment is put away and ensure music has automatically turned on
6. (ShapeHer) Turn on circuit timer, music and light in front of whiteboard
7. (All) Remove and report any trip or slip hazards/faults and make safe immediately with signage and
hazard tape
8. Log onto reception computers using ‘atrops’, open flex and log in using your login details. Open the
‘check in’ & ‘POS’ tabs
9. Remove float from safe 1 and follow ‘Reception Till Checklist’
10. EFTPOS Machine – Process a settlement in accordance with eftpos settlement process located at
reception. Settlement print out to go in Centre Administrator’s in tray
11. Weekday, unlock crèche & sales office doors
12. Unlock cupboards & place confectionary stock on shelves (rotate stock and ensure the oldest stock
is at the front)
13. Cleaning duties – ensure all tasks are done in accordance to the appraisal/program diary
responsibilities list
14. Staff to check your work email within the first hour of your shift and any new communications in the
communication file
On shift supervision and maintenance:
15. Action ‘Gym Cleaning Roster’
16. Clean the main entrance window door to gym as required throughout the day.
17. Remove any unwanted items from the gym walls, floors, machines, lockers including rubbish and
unauthorised signs.
18. Clean gym equipment seated areas with a water and mild detergent solution only (other chemicals
will rust equipment). Ensure left dry
19. In the event it is humid and windows start to fog and floor becomes slippery in gym, turn of the ‘cool’
and just have fans on high with entrance door wedged open to create airflow.

20. Dust equipment using supplied cleaning apparatuses.
21. Check air-conditioning is functioning correctly and report to supervisor as required.
22. Maintain all out of order equipment and ensure it is safe
23. Work with clients to ensure weights are returned to their storage location and the facility is safe for all
to use
24. When rostered on for floating in ShapeHer, monitor space with regular walk abounds during shift and
maintain as per the above.
Close process
Sports Courts / Crèche / Function Room:
25. All windows locked
26. Check all external door are shut properly and locked
27. Email management if any safety issues are identified
28. All lights off
Gym / ShapeHer:
29. Turn off all lights as you do your walk around checks
30. File Program cards and lock appraisal room cabinet (put key in safe)
31. Tidy and put away all equipment magazines, turn off all electrical cardio equipment,
computer, fans, TV’s, and circuit timer in ShapeHer
32. Hand lost property to reception
33. Windows locked (check them physically) and lock tennis court and emergency exit doors
34. Check Spin room and Group Fitness room is locked and secured, including external doors
Reception:
35. Empty towels from bin and put in washing machine and turn on with powder
36. Settlements and banking, as per ‘Reception Till Checklist’.
37. Call security 15 min before you are about to leave to advise you are closing
38. Lock safe lid
39. Shut down computer
40. Back reception door locked
41. Lights off except one set left on in reception
