July 9, 2012 BMMACC Meeting Minutes Present: Sue, Stephanie, Patti, Bjorn, Sheila Absent: Steve, Erin, Moe, Joe Sue called meeting to order at 7:32 p.m. 2012 Dues Assessment Update We have started to receive payments from homeowners for 2012. Linda is logging in the received payments using the Google docs spreadsheets. Patti is working with Stephanie to deposit checks into BMMACC bank account. Tonight Patti gave Stephanie payments for 109 LOTS, and has approx. 75 newly received payments for Linda to process and then give to Stephanie for deposit. When dues payments are processed at the bank they will be noted in the bank system using the LOT #. Stephanie will order a “BMMACC FOR DEPOSIT ONLY” stamp to be used to stamp checks for deposit; this will help provide proof of payment in form of a cancelled check for homeowners. Stephanie will set up automatic bill pay via the BMMACC bank account to simplify the payment of neighborhood expenses. Patti will provide vendor/billing statements & account numbers to aid Stephanie in this endeavor. Updates on Issues/Best Practices Sue will create a follow up letter/notice of violation and deliver them to the homeowners and/or property management company and/or renter who are still in violation of CC&R’s. She will also post “thank you” letters as follow-up to those who got a letter but have since complied with the CC&Rs. Call to adjourn meeting by Sue & seconded by Sheila. Meeting adjourned 7:57 p.m.
