Minutes - May 13, 2015

Welcome & Minutes from April 8 meeting approved
Financials (Handout)
General Fund total balance = $27.5K; encumbered $17,745, unencumbered funds = 9,829.19
Unencumbered = $5300 without Ad Sales for next year; $9000+ with Ad sales
Duke’s: $1400+ (check has been received and deposited)
Give Big: $1275 (waiting for stretch and check) – still to come and not in totals above
Steve – IPAB and Rocket Club were also on the list; FOI will be on the list next year
ACTION: ANNIE - send Financial Report to Debbie and Debbie will post on the website
Spring Grants
Encumbered $6K previously with the idea we may want to increase that amount
Spring Grants received: 13 requests have come in from 11 groups totaling $18K+
Reference point: Fall Grant Cycle = $8150 to 10 groups (4 are requesting again)
Several requests are very high – one is $7000 for personal uniforms for Cheer squad
Cannot fund personal equipment that will be kept by athletes/students – asked to resubmit
Motion passed to increase the Spring Grant total disbursement maximum amount to be $10K
ACTION: DEBBIE – future discussion - Publicize what we have bought to spread the word about how
the money is being spent
Athletic Director report
$1000 donation made to Ingraham by alumnus – THANK YOU! – much needed to cover unanticipated
costs to the ASB accounts: extra time for Antonio, extra tournament costs, post-season costs
Budgets are due – 65 clubs and all coaches need to submit a budget through ASB. Coaches were
reminded that any money that is expected to go to personnel needs to go through ASB.
New coaches to be hired (not many!): football, girls basketball asst coach
Scholarship: 101 club – 6 kids from Ingraham won this award and get a fancy lunch at WAC
Juniors – encourage all to apply for Gasparovich scholarship – 4 students won $2000 each
Group loves Ingraham – baseball, football and also girl athletes
Spring sports updates: soccer lost in a heartbreaker, penalty kicks; discussion about incident at Beach
game and future plans to ensure players’ and coaches’ safety.
District tennis player, district golfer and Sara Reed will likely go to state
Track – PR’s, school records -- likely have State contenders
Softball won the Sound division
ACTION: ALL – Join on Facebook: “Friends of Ingraham HS Athletics” – group administered by Traci
Upcoming Events: Sports Banquet on 5/21, 7pm; Senior Awards Night on 5/27

Volunteer came to Traci and wants to be involved – Ari will contact Ellen - He will do the clock for
Football and Basketball
Motion approved to launch the site – soft launch - ASAP
ACTION: DEBBIE - take FAQ’s etc off of the old site so that it can be decommissioned

ACTION: ELLEN/JEN - Payment questions remain (what are these?); question about whether design
needs to be completed before we go live

Sports Program
Please give out the spring programs to your teams
Sales Progress form was passed out -- $7000 has been committed
Discussion about individual teams using website page to sell ads to benefit specific teams (not entire
IABC), and how that competes with IABC general fundraising. Can revisit after website is launched in fully
in use.

Planning for Annual General Meeting
Officers are proposed to remain the same
Directors: we are looking good – a couple openings but ideas about new Directors were discussed
Speaker: Eric McCurdy – district AD – request for him to join us
Agenda: IABC events and status, speaker, Breakfast pitch, Ad pitch, financial report
ACTION: Debbie - Nick of Time pictures to Karen

Other Business
Parent info – sports paperwork is not on-line – Traci is working on stream-lining the paperwork
Right now people have to go through all the forms and create email addresses
Discussion about parent meetings and idea of having one big meeting each sports season
Similar model happens at Ballard and West Seattle – Traci will contact them
Ideas were generated for speakers for the Breakfast
ACTION: FOI Liaison – need new representation – Rotation group of folks (Steve is interested)

ACTION: HEATHER & MARIA - Welcome Wagon –will staff table – Steve has tri-fold
