Chapter Membership Director & Student Liaison
Chapter Mission:
The fundamental mission of a Chapter is to create a rich membership experience consisting
of, at a minimum, professional networking, mentoring, professional development and other
social benefits through local activities, and by creating volunteering opportunities for
members who wish to make a contribution of their time and skills in support this mission.
Position Summary:
The Membership Director is the Chapter executive responsible for plans and activities to
improve growth and retention of Chapter membership. The Membership Director works with
the Territory Marketing Specialist (“TMS”) to apply Association member engagement
metrics to local activities and to report to the Chapter Board on the effectiveness of its
operations in meeting member needs in order to continually improve the member
experience. At Chapter events or upon request from anyone in the Chapter’s territory, the
Membership Director communicates the benefits of HRPA and Chapter membership and
reports to the membership about current and upcoming programs and benefits.
In addition, as Student Liaison, the Director will have an excellent understanding of the
value of the student membership; have completed an HR program recently or have strong
understanding of them; and are able to connect with students and professors.
Requirements:
Must be an HRPA CHRP member in good standing. Must be able to attend Board meeting
each month, Chapter events, spend at minimum 5 hours per month reviewing membership
metrics in comparison to the Association’s strategic plan and the best practice experiences
as provided by the TMS, implementing member outreach committees, reviewing HRPA
communications and website content about member programs and benefits and be
available as required for ad hoc calls/correspondence. May also spend minimum 4-5 hours
leading a committee. Works closely with the TMS assigned to the Chapter to ensure the
effective use of HRPA’s programs and technologies.
Reports to:
The Chapter Membership Director is elected by voting members, reports to the Chapter
Board of Directors, the Chapter President and is accountable to all members of the Chapter.
If there is no designated Director appointed, the Chapter president will carry out the
responsibilities of this position.
Responsibilities:
 The Membership Director is responsible for keeping an up-to-date roster of Chapter
members’ names and addresses based on the CMC reports;
 Responds to requests for information regarding membership through telephone calls,
personal contacts and correspondence and escalates enquiries as required to HRPA’s
membership staff and/or the TMS;
 The Chapter Membership Director shall promptly forward all applications received to the
Association and, likewise, the Association will promptly notify the Chapter of all
applications processed for members affiliating with the Chapter;
 Notifies the Chapter Board and in particular the Communications Committee Chair of all
new members, members transferring in and out of the Chapter and members who have
resigned from the Chapter;














Responsible for implementing welcome, renewal, keep-in-touch and win-back programs
that impact the local chapter’s engagement, growth and retention;
The Membership Director should create and manage a Membership Committee to assist
with the implementation of membership programs and sub-committees;
Ensures each new member is welcomed into the chapter and introduced to the
membership as soon as possible using the New Member Welcome and New Member
Handoff programs;
Through member outreach activities, ensures that members are introduced to chapter
activities, and to become active in programs, in order that membership retention goals
are achieved;
Attends and participates in all Chapter Board, Chapter and HRPA calls/meetings.
Participates in events, committee meetings, and regional conferences as available;
With the TMS, builds chapter membership by…
 outreach to major employers to increase awareness of the purpose of HRPA and
soliciting their commitment to support HRPA membership for their employees,
 making campus visits to post-secondary institutions in the Chapter’s territory to
communicate to students, faculty, and program directors the value of a career in HR
and benefit of HRPA membership;
Works with the TMS to develop Membership sub-committees…
 New Member Welcome—makes calls to welcome the new member into the Chapter
and personally invite new members an upcoming chapter event
 New Member Hand-off—at their first event, welcomes the new member introduces
them around, and hands them off to others who also introduce the member around
(strategically important to avoid perception that the chapter may be “cliquey”);
 Keep-in-touch—periodically reaches out to member who are not active in the
Chapter to encourage them to become active and remind them of membership
benefits;
 Renewal Call—calls to remind the member of the benefits of chapter membership
and to renew their membership;
 Win-back—calls to resigned members to invite them to give HRPA membership
another try (their circumstances may have changed or new programs introduced that
may make membership more relevant to them);
Ensures the use of all HRPA technologies to capture data that will later be used to
measure Chapter engagement characteristics, .e.g., use of HRPA registration system to
track who is attending events and what types of events are the most popular with which
segments of the member population;
Attend HRPA membership calls and be prepared to discuss challenges and successes,
report on the current trends;
Maintain and track annual membership statistics and report to membership during
Annual Business Meeting year-over-year improvement in growth, retention, and
engagement;
Commitment to continuous improvement and development of position;
Works with TMS, President and Chapter Board to design and develop membership
growth and engagement initiatives;
Creates new member labels for the Program Director;
Maintains the Association’s local mailing address and telephone and responds to any
inquiries on behalf of the Chapter.
