Assists in processing meal applications, inputting produce and commodity orders and processing invoices for payment. Communicates pertinent catering information to prospective clients in cooperation and coordination with catering manager and Assistant Director (Ex.: Assists with menu planning, prices, availability, etc.) Receives and confirms receipt (by phone) of catering requests and provides written quotes when requested. Books catering event with district departments. Assists the catering manager in generating production work orders and assigning production site and maintains contact between production site and client for revisions, substitutions, cancellations or reschedules. Maintains organized file of scheduled events ensuring request is complied. Checks production work order for accuracy before billing. Generates invoice for all catered events and submits them for payment to Finance or other agency when applicable. Works in close contact with Finance for timely payment of all invoices. Mails copy of posted invoice to client. Reconciles Finance Departments Catering Journal entry postings with department records. Reconciles Catering Logs from production sites with office records. Verifies time sheet hours for District Cafeteria employees and employees from Temporary Agency. Contacts (by phone) new cafeteria employees to inform of orientation meeting. Audits batches and processes cafeteria and Food Service Department invoices for payment within the deadlines established by accounts payable. Assists the purchasing clerk in inputting any food or supply orders in the computer Assists in processing applications for free and reduced meal benefits. Assists with processing weekly payroll for the department. Assists in auditing all weekly time sheets from the cafeterias. Assists in maintaining records on all department training. Assists in creating marketing materials for department. Answers telephones, directing calls and receiving messages. Distributes department mail. Performs routine typing tasks and making copies as requested.
