MEMBERSHIP & HERITAGE DEPARTMENT November 2015 Checklist COLLECTIONS MANAGER > Reports to Manager, Museum & Heritage Services > Department Membership and Heritage (Museum & Heritage Services team: Collections unit) > Team and Reports > Registrar (direct report) Registration Officer x 2 (direct report) Archivist (direct report) Archives Assistant Deputy Librarian – Collections (direct report) Library Technician Library Cataloguing Job Goal This role leads the Collections unit and is responsible for the management of the various museum, library and archives collections held by the MCC Membership and Heritage Department – the Australian Gallery of Sport & Olympic Museum collection (AGOSOM), the MCC Archives collection (MCCA), the MCC Library Collection (MCCL), the MCC Museum collection (MCCM) and the National Sports Museum collection (NSM). It is also responsible for the development and integrity of the documentation and collection management systems that underpin these collections and for any conservation treatment. The role is responsible for the storage of all collection objects, the environments in which they are stored and for managing the provision of access to those collections. > Accountabilities > Policy and Planning > Plan the ongoing development and refinement of the Vernon Collection Management System (Vernon CMS) and the Library Management System (Softlink) to meet current and future needs Ensure documentation is in place for all MCC collections with details recorded and maintained Plan data enhancement projects for digital environments to support exhibition and program outcomes, and to improve access to collection information Develop and maintain operational budgets for the Collections unit Plan the ongoing recovery, rationalisation and transfer onto Vernon of documentation relating to the museum collections Plan work schedules so that documentation objectives are met Support the Manager, Museum and Heritage Services in the development and implementation of policies and procedures Support the Manager, Museums and Heritage Services in collection, exhibition and program development strategies, planning and other major projects Provide advice on collection management practice to other parts of the MCC Organising and Operating PAGE 1 OF 4 MELBOURNE CRICKET GROUND POSITION DESCRIPTION MEMBERSHIP & HERITAGE DEPARTMENT November 2015 Checklist COLLECTIONS MANAGER > Monitoring and Control > Lead, manage and develop the Collections unit to build a high performing team that consistently delivers on agreed objectives Lead the management and delivery of the of the ‘Owned vs Loaned’ project for the museums collections Oversee the operations of, and represent, the Museum & Heritage Services team in the absence of the Manager, Museums and Heritage Services Manage all elements of the collection management systems (CMS) (Vernon and Softlink), including authority term definition, hierarchical term list creation and user access control, working towards a high level of consistency between the two CMS packages Manage and implement data enhancement projects Work with Manager, Museums & Heritage Services and Librarian to ensure the successful implementation of the new library cataloguing/collection management software project Ensure that all collections are well managed and documented Address the backlog of cataloguing across all collections Manage and oversee the object cataloguing process ensuring that the cataloguing of new acquisitions is prioritised Manage the Museum Accreditation Program process Coordinate other staff (including volunteers) to ensure delivery of cataloguing objectives Coordinate conservation approaches to the collections including storage considerations, identifying and reducing risks, and identifying and arranging treatments for selected objects Advise staff on copyright and permissions matters as required Manage access to the collection stores and the collections in response to public/ internal/ stakeholder enquiries Supervise media, external providers, contractors, and volunteers Undertake after hours/ weekend work to support installations, openings, events, functions and security requirements as reasonably required Undertake other duties as directed Control and monitor expenditure against approved budgets to ensure budget is achieved Oversee work undertaken by the Collections unit and relevant volunteers to ensure consistently strong outcomes and delivery on agreed objectives/priorities Oversee the administration of the collection valuation cycles and all collection insurance matters Monitor the collection stores and associated work areas to ensure that they are well maintained, clean and tidy at all times Monitor all object cataloguing undertaken by staff (including volunteers) and perform regular audits to ensure accuracy and relevance - These are outlined in the Leading at the ‘G framework. > Qualifications and Skills Qualifications and Experience Tertiary qualification – to postgraduate level – in museum studies or related discipline essential A sound knowledge of Australian sporting history is desirable Considerable experience working in a comparable role within the museum or heritage sector desirable, including a proven ability to manage collections and develop pertinent policies and procedures Experience working with Vernon CMS or equivalent collection management systems Experience in appropriate manual handling procedures for museum or fine art objects, and a demonstrated high level of competency and attention to detail when undertaking physical tasks Skills and Abilities Considerable leadership and management experience, building high performing and effective teams that deliver on agreed objectives Solid coaching skills, with capacity to provide guidance and feedback to help an employee or group of employees strengthen their knowledge, skills and abilities to accomplish a task or solve a problem Effective planning skills, with ability to develop and actively monitor plans to accomplish work operations and objectives Extremely well developed organisational and time management skills; the ability to effectively plan project schedules, and deliver established project goals A clear and strong attention to detail Demonstrable ability to work on team based projects, including staff supervision and direction.
