Restricted Program Enrollment BPA Process Begins: When a student applies for a high demand program such as Nursing, Dental Hygiene, Massage Therapy and Radiologic Technology either through the Admissions Office or through the Counseling and Advising Center. Input: Admissions application or program change application, transcripts (high school, GED, previous college, AP, IB, CLEP, etc.), quality point calculation. Process Ends: When a student has been admitted, withdraws application, is placed on a wait list, or when he/she declines admission to a high demand program. Output: Admission certificate, wait list letter or letter admitting student to the Liberal Arts – Health related advisement degree (LA7A). Process Actors: Admissions Counselors, Admissions Processor (support staff), ETS, Student, Academic Departments, Counselors/Advisors, Counseling and Advising support staff. Admissions Review Process: 1) Counselor picks up application in the TBA –Nursing, Dental Hygienist, Radiology, or Massage queue of imaging. a) The counselor reviews the student’s file to assess the prerequisites that need to be completed prior to being a qualified applicant: i) ii) iii) iv) v) vi) BIO, CHE, MTH 098 (Math A in high school) for Dental, Nursing and Massage BIO, MTH 104 (Math B in high school) for Radiologic Technology Must reside in Monroe, Livingston, Ontario, Wayne, Orleans, or Genesee County for Nursing Must be a New York State resident for Dental Hygiene and Radiologic Technology Must be employed by a sponsoring dentist in NY for DH04 online Must be a U.S. citizen or permanent resident for Massage (as well as Nursing, Dental and Radiologic Technology) vii) NU04, NU11, and NU12 have specific course requirements that need to be completed. All programs require students to be an LPN prior to their acceptance. b) If the student does not have one of the above prerequisites for his/her chosen program, the counselor acts on his/her application for another program such as Liberal Arts – Health Advisement Sequence (LA7A). c) If the applicant meets the prerequisites for his/her chosen program, the counselor determines classes completed and grades received that apply to the chosen program and writes them down on a spreadsheet (Excel). This spreadsheet is given to a support staff member who calculates the student’s points for the program. d) High school applicants are processed in the following way after meeting residency requirements: i) Applicants should have prerequisites completed with a “B” or better and have a minimum high school average of 85 1 Restricted Program Enrollment BPA ii) For Nursing: (1) Applicants with the highest grades in prerequisite courses are admitted (2) Applicants not accepted are placed on the waitlist (high school waitlist, separate from regular applicant waitlist) or accepted into LA7A (3) Approximately 10% of applicants accepted to Nursing are directly from high school iii) For Radiologic Technology: (1) Applicants with the highest grades in prerequisite courses are admitted, Math SAT of over 500 or Math ACT of over 21 (to waive from placement) (2) Look for any college courses taken while in high school including dual credit, AP, IB, CLEP iv) For Dental: (1) Applicants can be completing prerequisite courses (BIO, CHE, MTH) in their senior year (2) Approximately 5 high school students are accepted to DH01 (5 strongest candidates based on grades), and remaining high school applicants are accepted to DH02 – three semester option 2) Once points are calculated for all applicants, the support staff member sorts the database by point totals. 3) The Admissions Office and Counseling Office combine their lists and rank students according to points. 4) Each academic department determines how many students they will accept into the program. Based on this number, the students on the database are divided up into 3 categories: accepts, waitlist and Liberal Arts – Health Advisement (LA7A) admits. a) If an applicant is accepted, an admissions certificate is generated and mailed to the student including an “Intent to Enroll” card. Students must return the Intent to Enroll card to the Admissions Office by the date indicated on the card to ensure their spot in the program. If the student does not return the card by the given date, contact the academic department or show up to his/her advisement appointment, he/she forfeits his/her space in the program and we select the next student on the waitlist. b) Letters are generated to students on the waitlist from the processor’s desktop. Waitlist students have 2 options: Decides to remain on wait list – if space becomes available, student will be accepted into degree program through admissions 1. Decides to remain on wait list and matriculate into another degree program so they can register for the semester Student decides not to remain on wait list – 1. student contacts admissions to change/update program 2. application is re-routed to TBA – General queue in electronic workflow for counselor to review c) Students not making the waitlist are sent a letter advising them that they have been admitted into the Liberal Arts-Health Advisement Sequence (LA7A). 2 Restricted Program Enrollment BPA Counseling and Advising Center Review Process: 1) Counselor reviews prepared application. a) The counselor reviews the student’s file to assess the prerequisites that need to be completed prior to being an applicant: i) ii) iii) iv) v) BIO, CHE, MTH 098 (Math A in high school) for Dental, Nursing and Massage BIO, MTH 104 (Math B in high school) for Radiologic Technology Must reside in Monroe, Livingston, Ontario, Wayne, Orleans, or Genesee County for Nursing Must be a New York State resident for Dental Hygiene, Radiologic Technology and Massage Must be employed by a sponsoring dentist in NY for DH04 online b) If the student does not have one of the above prerequisites for his/her chosen program, the student is rejected and is sent a letter explaining what has to be done to reapply to the program. c) If the applicant meets the prerequisites for his/her chosen program, the counselor determines classes completed and grades received that apply to the chosen program and writes them down on a spreadsheet (Excel). This spreadsheet is given to a support staff member who inputs the information for calculation of the student’s points for the program. 2) Once points are calculated for all applicants, the support staff member sorts the database by point totals. 3) The Admissions Office and Counseling and Advising Center combine their lists and rank students according to points. 4) Each academic department determines how many students they will accept into the program. Based on this number, the students on the database are divided up into 3 categories: accepts, waitlist and Liberal Arts – Health Advisement (LA7A) admits. a) If an applicant is accepted, program change “Accept Letter” generated and mailed to the student. b) Letters are generated to students on the waitlist explaining the process. c) Students not making the waitlist are sent a letter advising them that they have been admitted into the Liberal Arts-Health Advisement Sequence (LA7A). Other issues: Only students admitted into Nursing (except for NUR 110), Dental Hygiene, Radiologic Technology and Massage can register for classes offered by that department. Once a student “stops out” or leaves the program for any other reason, we need to make sure their matriculation does not carry over to a future semester. Students in these situations need to formally re-apply to the program and cannot just continue their matriculation. 3 Restricted Program Enrollment BPA In years past, Nursing (Donna Price) would notify the Counseling and Advising Center if there was a nursing student who was leaving the program so their program could be updated to LA04 or LA7A (so if the student decided to return to MCC they would not have the NU02 matriculation). This has not been done in several years and may want to be reconsidered. Dental Assisting students who apply for Dental Hygiene will be given priority if they successfully complete the DH03 program and receive an “A” grade in DAS 120. Students who “stop out” of a restricted enrollment program must get department approval to start the program again. The Nursing department also contacts the Counseling and Advising Center when students are to be taken from the waiting list. NU04, NU11, and NU12 have specific course requirements for admittance to the program. 4
