Minimum Requirements for Blanket Purchase Orders (BPO) Reference: Tangible Items BPO’s are not appropriate when accountability is important (e.g. tools, furniture, computers, audio / video equipment …) as there is no mechanism to systemically “receive” the products purchased. The purchase requisition for a BPO must depict the following: • a crisp description of what is being purchased (i.e. art supplies; landscaping supplies; perishables; electronic components; janitorial supplies …) • a list of all personnel authorized to purchase against the BPO • a stated purpose for the purchase (e.g. supplies for classroom purposes; in support of outreach events; for the College for Kids program; for routine maintenance of the boiler room; construction materials to build stage props for the theatre department; costume rental for plays; art supplies for drawing class; specimens for biology classes, …) • the duration of the BPO (six months to one year maximum); a BPO should only cover the period of time remaining in the fiscal year of the initial release Please contact the Buyer supporting your location should you have questions regarding BPO requirements.
