I. INFORMATION
A. Notes of 9/13/12: Distributed and reviewed.
II. DISCUSSION/ACTION
A. Datatel Shutdown: W. Warren reported a temporary shutdown of Datatel for the purpose of
moving the servers which will involve both ECC and CEC campuses. Registration will begin
11/20 for priority groups. There will be a five day system shutdown the following week,
November 26-30. Datatel will not be available. My ECC/Portal will be affected for several
hours during this week. Registration will resume 12/3/12. Plan B – call off shutdown if the
move does not take place. The IT department will know the contractors progress by 11/19.
No transcript access will be available during the shutdown. Students will need to be informed
that it will not be available. On 11/12, students will have access to check registration
appointments.
The campus will be informed of the shutdown through Community Relations (i.e. A. Garten,
H. Parnock), social network, and a scrolling message on Portal. W. Warren will check on the
following: (1) message posted in registration date time box. (2) post on the main portal page for
all portal users.
B. BP/AP 5055 Enrollment Priorities: Board policy may need to be changed and the administrative
policy will need to be reviewed. New components to Title V 58108 will need to be incorporated.
Will the College continue to comingle summer and fall registration or split up? Summer/fall
registration will be in May and June. The College may need to delay new student registration to
mid-summer to give students an opportunity to complete their assessment, orientation, and ed
plan. How do we interpret cohorts and sub-cohorts? The committee will need to have further
discussion on this.
C. Title 5 Section 58108: The new code on enrollment priorities will be implemented in Fall 2014.
If the College decides to comingle summer and fall registration, it will begin summer 2014. It
will have an impact on ITS and Community Relations. Students will need to be informed on
how it will affect those on probation or have earned 100 or more units.
Some questions and discussion points:
 Ed code does not limit registration priorities for vets and foster youth. What happens if
veterans and foster youth do not go through the three components – orientation,




assessment and ed plan? Which cohort will they be placed under? How do we flag those
students that have met the three components and awarded priority registration?
How to code the general population of students who completed the three components?
Where do first time students fit in? Priority is given to high school students within ECC
service area.
Registration component needs to be re-written. How to define subcategories? District
designated groups?
Need to review priority groups. Are there too many?
A decision will need to be made by early 2013. B. Mulrooney provided a breakdown in each
section into different components. For easier discussion, questions were added to each
component. Committee members were asked to include additional comments and questions.
This will be discussed at a future meeting.
III. OTHER
The next Enrollment Management meeting will be held on November 8 at 2:00 p.m. in Lib 202.
