In a large folder or in Windows Explorer, for example. And once you have found what your are looking for, new questions arise: Could there be associated correspondence on this issue, maybe drawings? And is this really the current version? Maybe the search does not take very long because your filing system is well organized. Maintaining such a system, however, is usually time-consuming and even the best filing system cannot prevent documents from being accidentally deleted. Users are granted access to all documents in the company’s network – user-friendly, reliably and fast while allocated access rights and password protection increase data security. The storage space required is reduced significantly while simultaneously eliminating redundant archives, ensuring low overhead and nonconformance costs. The Document Management module lets you find documents quickly instead of a lengthy search. Its version control ensures that all versions of a document are maintained in the right sequence. Our Solution The Document Management module is a professional, user-friendly software solution for uniform administration and archiving of all documents and files. Not only does it allow quick import of documents from a great variety of applications, but special programs and storage media also provide a technical basis for long-term archiving that complies with legal requirements. Easy-to-use search functions, reduced copying expenditure and efficient editing of documents with integrated applications help further reduce expenditure of time and material. Answers for energy. Functional overview The Document Management module allows you to register documents, assign them to various objects of Plant Management and distribute them to designated recipients. Intelligent "index cards " One of the special strong-points of this solution is its ability to manage a wide range of document types. The documents are identified via intelligent "index cards". These "index cards " are screens that can be individually modified and allow for assignment of keywords and qualifiers. They have a decisive advantage over traditional hardcopy index cards: They allow a much more powerful search and thus faster, reliable retrieval of all archived documents. Full-text search Of course, using the keywords from the electronic index cards is not absolutely necessary for finding a document. You can also search for individual words or parts of sentences in scanned texts and Microsoft Word or Excel files. It is not even necessary to type the word you are looking for correctly: The fuzzyfull text search will find any document containing the search term. Archiving in the universal TIFF format A great variety of documents can be archived in their original formats as well as in the compressed TIFF format. The Document Management module provides a tool to create the TIFF format from any Windows application. This international standard raster format allows viewing drawings and documents with either the integrated viewer or any other TIFF viewer at any work station any time. Teamwork, security and version control Once a document has been created or imported to the Document Management module, it is covered by its security concept and status and version control at all times. Archived documents have to be checked out of the archive zone for editing. This automatically changes its status and no other user in the network can edit it at the same time. When the document is checked back into the archive zone, version control ensures that existing versions are not accidentally overwritten. An elaborate authorization scheme makes sure that only the persons for whom a document is intended can access it. Annotations (redlining) You can add annotations to a document. For that purpose, numerous drawing and marking functions are available in several colors. Annotations are saved with the document, but without changing the document itself. Integration of scanners The Document Management module allows controlling scanners for the formats A4 to A0 for paper and microfilm.
