CLASS TITLE:
MATERIAL MANAGEMENT SPECIALIST
BASIC FUNCTION:
Under the direction of the Director, Purchasing and Material Management, receive incoming and
process outgoing shipments; inspect for proper quantity, product specifications and condition upon
arrival; perform order expediting services. Perform daily delivery and distribution services. Interact
with vendors, shippers and District staff regarding rush orders, backorders, shipping discrepancies,
and damaged or lost shipments. Log and deliver overnight and priority courier items to appropriate
destinations in a timely manner. Perform surplus disposal activities.
REPRESENTATIVE DUTIES:
1.
Receive incoming and process outgoing shipments; inspect for proper quantity, product
specifications and condition upon arrival; perform order expediting services as directed,

and central stores items, such as paper stock and copy/printing jobs as required. Enter
receipts and returns into the PeopleSoft system in a timely and accurate manner. Maintain
timely and accurate filing systems. (E)

Maintain a safe, clean and organized work area. Consistently maintain the warehouse and
surrounding perimeter to ensure a safe, clean and organized work area. Properly store and
organize goods and equipment to maximize safe access and space efficiency; keep floor
space clear as an operational priority. Ensure proper handling and storage of hazardous
materials and other shipments requiring special handling (e.g. live animals, vaccines,
microbial cultures). (E)

Provide timely and accurate communications with vendors, shippers, District staff and
Purchasing and Material Management staff, especially with regard rush orders, fixed
assets, late orders, back orders, damaged orders and order/shipping discrepancies.
Return damaged and incorrect items as directed and in a timely manner. Advise the
appropriate buyer on a timely basis regarding rush orders, late, damaged, or incorrect
shipments and actions performed to resolve them. (E)
4.
Receive, record and deliver overnight and priority courier items to appropriate destinations
in a timely manner. Package and record materials for shipment via independent carriers
(e.g, UPS, Federal Express); monitor billing of UPS charges and maintain sufficient
account funding to cover operational needs. (E)

Receive, inspect, store and distribute warehouse stores items (e.g. schedules, paper and
stationery stock, etc.) in a timely and organized fashion.

Ensure timely and accurate collection, listing, disposal and reporting of surplus goods and
equipment. Interface with facilities staff and other District staff to identify, aggregate, list
and prepare surplus goods for release of goods for sale, donation or other disposal as
directed. Prepare accurate and timely itemized surplus lists, including all relevant data and
fixed asset information, and submit same to the Director of Purchasing and Material
Management in advance of surplus removal from any District premises. Coordinate with
surplus disposal contractor to pick up goods whenever there are six or more pallet loads in

or adjacent to the Warehouse. Ensure accurate and complete disposal records and
corresponding receipt of auction proceeds back to the District. (E)

Support special project assignments as directed, including building construction and
departmental relocations.

Assist and support other departmental functions as directed, including purchasing, fixed
assets, surplus disposal, mail and courier services, copy center, records management,
disaster preparedness, and central stores.
9.
Perform other duties as assigned.

Principles and practices of shipping/receiving, warehouse and central stores operations.
Principles and practices of mail, records management, fixed asset and surplus disposal operations.
Modern office practices, procedures and equipment.
Basic recordkeeping and database management techniques.
Health and safety regulations, including proper lifting and equipment handling techniques.
Methods of safe handling and storage of hazardous materials and equipment.
Applicable OSHA, FEMA, and other regulations.

ABILITY TO:

Order, receive, deliver and inventory a broad variety of goods, including equipment, supplies,
printed goods, records and mail.
Operate and maintain heavy equipment.
Operate and maintain District mail processing equipment and accessories in accordance with
federal U.S. Postal Service and District policies and procedures.
Operate and maintain a variety of District vehicles and carts, including cargo trucks, passenger
vehicles and electric carts.
Maintain a computer database and perform complex reporting as required.
Plan and organize work; establish appropriate priorities as required.
Estimate and calculate costs of services.
Operate a variety of office equipment including a computer terminal.
Establish and maintain cooperative and effective working relationships with others.
Add, subtract, multiply and divide quickly and accurately.
Understand and follow oral and written directions.
Lift objects weighing up to 100 pounds.
Climb ladders to access storage above floor level.
Meet schedules, timelines, including timely delivery of received goods.

Demonstrate sensitivity to and understanding of diverse academic, socioeconomic, cultural,

EDUCATION AND EXPERIENCE:
Any combination equivalent to graduation from high school and two years of closely related work
experience.
LICENSES AND OTHER REQUIREMENTS:
Valid California driver license.
WORK DIRECTION, LEAD AND SUPERVISORY RESPONSIBILITIES:
Not applicable.
CONTACTS:
Vendors, shippers, co-workers, District faculty and staff outside contractors, and members of the
general public.
PHYSICAL EFFORT:
Moderate to heavy physical labor including frequent lifting, carrying, pushing and pulling of
objects weighing up to 100 pounds; frequent to constant standing, walking, bending, kneeling
and stooping while performing a variety of activities including moving furniture or equipment,
etc.; repetitive use of upper extremities on a regular basis; ability to work at computer, including
repetitive use of computer keyboard, mouse of other control devices; ability to operate electric
cart to travel and/or to pick-up/deliver supplies to a variety of locations on campus; subject to
occasional travel to various District locations to work.
EMOTIONAL EFFORT:
Ability to develop and maintain effective working relationships involving interactions and
communications personally, by phone and in writing with a variety of individuals and/or groups
of individuals from diverse backgrounds on a regular, on-going basis; ability to concentrate on
detailed tasks for extended periods of time and/or intermittently while attending to other
responsibilities; ability to work effectively under pressure on multiple tasks concurrently while
meeting established deadlines and changing priorities.
WORKING CONDITIONS:
Work includes indoor and outdoor environment; with limited exposure to inclement weather
conditions during travel to and from assigned work/delivery areas; exposure to noise and
emissions from heavy equipment and travel to other campus facilities. Frequent exposure to
fumes from chemicals, emissions, environmental dust and frequent high levels of noise from
machinery and industrial shredding equipment. Working with heavy equipment, such as forklifts
and cargo lift-gates. Requires the use of personal protection equipment. Intermittent exposure to
hazardous materials and working on or around construction sites. Subject to moderate public
contact and frequent interruptions by individuals in person or by telephone. Possible interaction
with disagreeable persons. Ability to work at any district location or authorized facility during
day and/or evening hours including weekends on an as-needed basis.
