CLASS TITLE:
WAREHOUSE RECEIVING AND DISTRIBUTION CLERK
BASIC FUNCTION:
Under the direction of the Director, Purchasing and Material Management, receive incoming and
process outgoing shipments; inspect for proper quantity, product specifications and condition
upon arrival; perform order expediting services as required. Perform daily warehouse, delivery
and distribution services as directed. Interact with vendors, shippers and District staff regarding
rush orders, backorders, shipping discrepancies, and damaged or lost shipments. Log and
deliver overnight and priority courier items to appropriate destinations in a timely manner. Perform
surplus disposal and records management activities as directed. Maintain a safe, clean and
organized work area.
1. Receive incoming and process outgoing shipments; inspect for proper quantity, product
specifications and condition upon arrival; stage and execute furniture and equipment
shipments and deliveries as required; store and palletize inbound and outbound shipments as
required; perform order expediting services as directed. Perform daily delivery and distribution
services as directed, including incoming shipments and central stores items, such as bulk
paper stock and copy/printing jobs. Enter receipts and returns into the PeopleSoft system on a
timely and accurate basis. Maintain timely and accurate receiving and delivery records. (E)
2. Maintain a safe, clean and organized work area. Consistently maintain the warehouse and
surrounding perimeter to ensure a safe, clean and organized work area. Properly store and
organize goods and equipment in such a manner as to maximize safe access and space
efficiency; keep floor space clear as an operational priority. Ensure proper handling and
storage of hazardous materials and other shipments requiring special handling (e.g. heavy or
large items, live animals, vaccines, microbial cultures). (E)
3. Provide timely and accurate communications with vendors, shippers, District staff and
Purchasing and Material Management staff, especially with regard to rush orders, fixed
assets, late orders, back orders, damaged orders and order/shipping discrepancies. Return
damaged and incorrect shipments as directed and in a timely manner. Advise the appropriate
buyer on a timely basis regarding rush orders, late, damaged, or incorrect shipments and
actions performed to resolve them. Coordinate with District Accounting staff to resolve fiscal
year-end billing and receiving discrepancies. (E)
4. Receive, record and deliver overnight and priority courier shipments to appropriate
destinations in a timely manner. Package and record materials for shipment via independent
carriers (e.g., UPS, Federal Express); monitor billing of UPS and courier service charges and
maintain sufficient account funding to cover operational needs.
5. Receive, inspect, store and distribute warehouse stores items (e.g. schedules, bulk paper
and stationery stock, etc.) in a timely and organized fashion. (E)

6. Ensure timely and accurate aggregation, listing, storage, disposal and reporting of surplus
furniture and equipment for release of these items for sale, auction, donation or other disposal
as directed. Prepare accurate and timely itemized surplus lists, including all relevant data and
fixed asset information, and submit same to the Director of Purchasing and Material
Management in advance of surplus removal from any District premises. Coordinate and
schedule with surplus disposal contractor to pick up goods whenever there are six or more
pallet loads in or adjacent to the Warehouse. Ensure timely, accurate and complete disposal
records and corresponding receipt of auction proceeds back to the District.
7. Support special project assignments as directed, including receipt and distribution of large
equipment, furnishings and fixtures, or other items relating to building construction and
departmental relocations.
8. Assist and support other departmental functions as directed, including Purchasing, Fixed
Assets, Surplus Disposal, Mail and Courier Services, Copy Center, Printing Services, Records
Management, Disaster Preparedness, and Central Stores.
9. Maintain, monitor and inventory District record storage, including the organization, retrieval
and scheduled disposal of file boxes.
10. Perform other duties as assigned.

Principles and practices of basic logistics and transportation systems.
Principles and practices of ERP shipping, receiving/asset management software.
Principles and practices of mail, records management, fixed asset and surplus disposal
operations.
Modern office practices, procedures and equipment.
Basic recordkeeping and database management techniques.
Health and safety regulations, including proper lifting and heavy equipment handling techniques.
Methods of safe handling and storage of hazardous materials and heavy equipment.
Applicable OSHA, FEMA, and other regulations.
Oral and written communications .
Correct English usage, grammar, spelling, punctuation and vocabulary.
District organization, operations, policies and objectives.
Basic math.
Interpersonal skills using tact, patience and courtesy.
ABILITY TO:
Operate and maintain heavy equipment. Including forklift, pallet mover, hand and power tools
Operate and maintain District mail processing equipment and accessories in accordance with
federal U.S. Postal Service and District policies and procedures.
Operate and maintain a variety of District vehicles and carts, including cargo trucks, passenger
vehicles and electric carts.
Plan and organize work; establish appropriate priorities as required.
Coordinate and execute complex logistical projects and timelines.

EDUCATION AND EXPERIENCE:
Any combination equivalent to graduation from high school and two years of closely related work
experience.
LICENSES AND OTHER REQUIREMENTS:
Valid California driver license.

PHYSICAL EFFORT:
Moderate to heavy physical labor including frequent lifting, carrying, pushing and pulling of
objects weighing up to 100 pounds; frequent to constant standing, walking, bending, kneeling
and stooping while performing a variety of activities, including moving furniture or equipment,
etc.; repetitive use of upper extremities on a regular basis; ability to operate electric cart, forklift,
and cargo vehicles to travel and/or to pick-up/deliver equipment and supplies to a variety of
locations on campus; subject to occasional travel to various District locations to work.
EMOTIONAL EFFORT:
Ability to develop and maintain effective working relationships involving interactions and
communications personally, by phone and in writing with a variety of individuals and/or groups
of individuals from diverse backgrounds on a regular, on-going basis; ability to concentrate on
detailed tasks for extended periods of time and/or intermittently while attending to other
responsibilities; ability to work effectively under pressure on multiple tasks concurrently while
meeting established deadlines and changing priorities.
WORKING CONDITIONS:
Work includes indoor and outdoor environment; with limited exposure to inclement weather
conditions during travel to and from assigned work/delivery areas; exposure to noise and
emissions from heavy equipment and travel to other campus facilities. Frequent exposure to
fumes from chemicals, emissions, environmental dust and frequent high levels of noise from

machinery and industrial shredding equipment. Risk of working with heavy equipment, such as
forklifts and cargo lift-gates. Also intermittent exposure to hazardous materials and working on or
around construction sites. Subject to moderate public contact and frequent interruptions.
Intermittent exposure to impatient, angry and/or verbally aggressive individuals. Ability to work at
any District location or authorized facility during day and/or evening hours including weekends
on an as-needed basis.
