2012/2013 President’s Report

The 2012 /13 season got off to a great start, however unpredictable wet weather affected play in the closing rounds, again underscoring that it was only the most consistent teams that made it through the shortened

Finals Series.

Grand Finals were held at Blacktown International Sportspark again this year, thanks to the Association for this opportunity. It was a great day for players to be able to play on premium grounds and for the spectators there was plenty of shade available to relax and watch some very competitive games.

Our club walked away with 2 Premierships. Congratulations to both Teeball Girls (Penguins) and Majors

Girls (Pioneers). Four teams were also runners up in Teeball Boys (Piranhas), Minor Boys (Punks), Major

Boys (Pirates) and Div 1 Ladies (Pretenders). This was a great effort with some hard fought games.

This year club members have been busy building on their skills off the field as well as on, with quite a number of qualifications being gained in the areas of Coaching, Scoring and Umpiring. We have been committed to strengthening our Club across all areas of the sport by ensuring these opportunities are available to all, and supporting members wishing to pursue these areas and will continue to do so into the

Off-Season and beyond.

Our players and officials have gained valuable experience at Club with many continuing through to

Representative Duties at Association, State and National Level. Whilst others have chosen the more relaxed and social side of this great team sport.

We are continuing to increase awareness and attract new Players and Officials for our Club. We held

Promotion Mornings at local Shopping Centres (such as Centro Nepean and Emu Plains), as well as creating a Club Facebook page – linking important notifications and News items to our Club webpage. We encourage all members to regularly check these pages to ensure you do not miss out on any opportunities or deadlines as they arise.

This Season we introduced the Club Marquee to the Grounds on Game Day. This became a place where people could meet, exchange equipment, check duties and pick up clothing from our Uniforms Manager.

I would like to thank our Executive Committee who volunteered tirelessly all year round to ensure things ran smoothly. As a Committee this year, we have secured Fundraising Opportunities with Bunnings, running 2 successful BBQs with the help of many volunteers from our membership. We have consolidated Club assets and have commenced a program to replace/update Club kits. One of my aims for the next season will be to support Coaches with additional training aids where possible. The new committee will be well placed in the lead up to the new season with most major purchases having been made this year.

As we move towards the end of season presentations for both the Junior and Senior Divisions, I would like to express my sincere Thanks to so many people for their efforts. To the Coaches, Scorers, Managers,

Umpires and Parent Helpers – without whom this season would not have been possible. To all the Parents and Grandparents who brought the children to all the training sessions and games.

And finally to the Players that gave their all this season – I Thank You all.

I have learnt a lot in my maiden year as President and have appreciated the support that has been given. I am looking forward to next Season and I hope to see you all there again.

Secretary’s Report

I would like to express my thanks to everyone that helped out this year.

From those that helped run the Bennyball kids around the diamonds, to those that helped in the Canteen

(especially those that dropped everything to help when a Team came up short), to those that Coached and

Scored, to those that worked on Committee, to those that Umpired.

Together you made this Season a success for Penrith Softball Club.

A massive Thank You goes out to those that made themselves available to work at the Bunnings BBQ’s. We received very little time to prepare for either of these events and yet you made yourselves available very fast.

The injection of funds into our club will be well spent to ensure we have a supply of equipment for the

Season ahead.

On the Playing side of things….

Congratulations to our Grand Final winning teams – the Penguins and Pioneers. Both games were fantastic games to watch and the Victory’s were well deserved by these consistent teams.

Bad luck to our other teams in Grand Finals – some great softball was played but it just wasn’t their day.

Piranhas, Punks, Pirates and Pretenders all falling short on the day (Pirates and Pretenders by ONE Run each! Aaaargh!)

Congratulations to all those Players and Officials selected to Representative or Development Teams for the upcoming Representatives Season. We wish you the best of luck for the season and hope all the Umpires calls go your way.

Treasurer’s Report

Funds taken during the season were paid to the Association to ensure the club was financial to participate in the scheduled games.

Member registration fees paid to Penrith City Softball Association totalled $15,360.00. A full report showing income and expenditure will be submitted at the AGM on the 29 th April. The clubs financial year closed on 31 st March.

Thank you to all the members who paid on registration day or via the post / direct deposit, this allowed me to worry less about getting to the bank ensuring the money is deposited.

A total of $340 was refunded to members for their time and dedication to Penrith Softball Club. An additional $60 was donated back to the club by some families after they were offered their refund.

The financial records for this season are available to view upon request or available at the Penrith

Softball Club AGM.

Registrar’s Report

During the 2012-2013 season Penrith Softball Club had approximately 218 registrations in total;

205 registered players, 5 member on permission and 8 registered officials. In addition we also had 4 players on permission playing with the club to support our teams and 5 voting member registrations. Most of our coaches are playing in the afternoon timeslots, great to see.

PCSA (the Association) received the club registrations on time with a final registration submission prior to the third week cut-off date.

The team sheets submitted to the Association were also on time and in good order.

To all the coaches who checked off the names and addresses at the end of the season thank you, this ensures the postal addresses are correct for the coming season and all deserving players receive trophies.

Thank you to all the players and parents that helped to make the registration process much easier.

This season the registration forms were pre-printed, this saved a lot of time for families with several members.

Registration Day for the 2013-14 Season will be held at the Centro Nepean Shopping Centre,

Centro Emu Plains Shopping Centre, Southlands Shopping Centre and the Surveyours Creek

Softball Grounds on dates yet to be named. These will be advertised on both the Facebook Page and the Web Site when they have been decided upon by the 13-14 Committee..

Umpires

The annual Umpires exam will be held on Monday 27 th May at 7:30 pm at Penrith Anglican College.

Umpires are required to pass this exam AT LEAST every 2 years otherwise their Accreditation will lapse. If you did not sit the exam last year you will need to sit it this year.

Darren O’Neil successfully attained his Level Two Accreditation in Umpires at U15 State held in Lismore

2012 after a year of dedication to the art.

Robyn Bailey was rewarded for her work in striving for an attaining her Level One Umpires Accreditation.

She received the PCSA UIC’s Award for a Junior Umpire.

Darren O’Neil was awarded the Senior Umpires Award for his dedication to Umpiring in the 2012-13

Seasons and beyond.

Both were presented by Chris Houison (PCSA UIC) at the Grand Final Day and Congratulations from the

Committee to both of you for your hard work.

The Fundraising Levy was introduced as a motivator for Volunteers. Some people seem happy to pay rather than help out and that’s ok. Some people help out and don’t want their money repaid - Its good to see money doesn’t motivate everyone.

So Thank You to everyone that played their part this year – from Canteen to Bunnings BBQ and to

Umpiring. Without you the Our Club would grind to a halt.

We literally say this every year (you can go back and look at previous editions) - There is lots of space on our Club Website to put photos. So, next season we would love you to email us photos you have taken of your kids, or players in their team. Of course, this applies to the senior teams too. During winter the site will be updated with registration forms and contact details of the new committee ready for the start of the 2013-14 season.

Annual General Meeting

Come to our Annual General Meeting where we talk about what worked and what we could do better. Then, after the elections, we begin planning things for the 2013-14 season.

All positions will be declared vacant. Each club member has the right to vote for the new committee at the

AGM. For junior players, a parent has the voting right.

The following positions are available:

President – Delegates & Oversees the running of the club. Run monthly club meetings. Attend Assoc

Meetings relating to club presidents & voice opinion for the club. Listen to club members concerns and find solutions to problems with the help of the committee.

Vice President – Back up the President. Run meetings if President is unavailable. Problem solve & offer advice to President.

Secretary – Take minutes at monthly meetings. Receive & Send info via post or email as required.

Treasurer – Record all money coming in or out of the club’s bank account. Issue receipts for Registrations

& Uniforms. Write cheques. Provide a financial statement for income and expenses and reconcile with the bank statement. Supply an end of year, 31 st March, financial report. Liaise with the Registrar and Uniform

Officer.

Registrar – Record all registrations as they come in, noting whether they have paid or not. Collect copies of birth certificates for new junior players. Put players in age groups by birth year. Have detailed reports ready for Assoc registrar by due date. Record late registrations and / or de-registrations then notify the

Assoc.

Delegates to Assoc Meetings – Attend monthly Assoc Meetings. Offer our club view on issues raised, usually discussed before with club committee. Raise new issues if required. Bring any paperwork to following club meeting & give brief report of the juicy stuff.

Uniform Officer – Check with manufacturers on price & availability of uniforms. Attend rego day with samples provided so players can try them on. Receive orders & payments for uniforms. Collect uniforms from manufacturer. Distribute at training day before season starts or on game day (last resort). Be available for late comers to try uniforms on at a mutually agreed time.

Ground Maintenance Coordinator – Attend or arrange for a suitable replacement to all working bees as set out by PCSA Grounds Coordinator. Arrange for someone to be at the grounds on time each Saturday to assist with set up of the complex.

Umpiring Coordinator – Devise a system of your own – to ensure all club umpiring duties are covered. If a team misses a duty, inform them of the makeup game they need to do.

Canteen Coordinator – Club usually has 3 or 4 duties for the season. Email request to all club members or visit teams a week or two before & ask for parents/players to fill spots in the canteen roster. Give a list to committee & one to the canteen on duty day.

Member Protection Officer – Ensures all adults associated with juniors sign the relevant form. Hand the signed forms to the Association’s Member Protection Officer by the due date and as new helpers are identified.

Coaching Coordinator – Allocate coaches to teams with input from the committee. Notify coaches of upcoming courses.

Scoring Coordinator – Make sure each team has a scorer. Offer help to new scorers by sitting with them or arranging for someone to help for a few games. Notify scorers of upcoming courses.

Judiciary

– Only required if a judiciary hearing is called due to an player/official’s ejection from the game. Attend a meeting where both sides are heard. Make an informed decision based on the rules/regulations that are in place relating to the matter being addressed.

Website Coordinator – Keep our website updated with anything and everything softball. Harass committee to give you all the info on time.

Photo Coordinator – Organise with company a suitable price & photo day/s. Bring info to monthly meeting to discuss. Remind everyone about photo day, be there to help out. Make sure team managers have paperwork & money ready on the day. Follow up with photographer. Pick up photos & distribute to team managers. Or devise your own method of providing team photos to all teams within the club.

Registration Day and Uniforms 2013/2014 Season

Dates will be set by the new committee for 2013/2014. Please check our website for the dates and the appropriate forms. Current Members will receive paperwork via email or normal post as available, Please ensure you keep your contact details up to date with us so you don’t miss out.

Just as a reminder, your forms need to be in on or before the last Registration Day. Positions in Teams will not be held open and you will not be placed in a team unless we have the completed registration forms.

Completed Forms and Cheques can be mailed to The Registrar, PO Box 424, KINGSWOOD NSW 2747, if if you cannot get there. You can also Direct Deposit (Comm Bank: BSB 062589 Acct 10496146) – please put your surname as reference and send an email to notify us of the deposit. Forms will be available on the website from mid June 2013.

We would like to thank Bunnings North Penrith (Peachtree) for their enabling us to hold our two Barbeques there in this season.

With the money raised we have purchased much needed Balls, Teeball equipment and Team Kit Bags.
