Goal Creation for 21CCLC Evaluation Committee Schmitz asked the committee what progress they would like to see over the year in the committee. The ideas included: Creating awareness about the impacts (using data) of afterschool. Development of evaluation tools to show/ reach out to others. Both qualitative and quantitative data to use in program evaluations in-order to convince donors of the impact of afterschool. Waukon created a qualitative book to describe their evaluations. Cogan stated that they send out surveys every month for students, parents, faculty and parents. They have found it beneficial in sharing quotes with staff from frontline staff. Council Bluffs has an evaluator that compiles surveys and responses but that google forms may be good to use for the in-house evaluation. Stoffel stated that inserting a how-to guide in creation of pie charts and surveys can provide great insights to evaluation. Stoffel will e-mail the “how-to” to the committee. Cogan stated they use Youth Services to pull reports and to create mail merges for surveys and emails using google and Gmail accounts. Osterhaus shared the following DCAT links to the evaluation committee 1)http://dhs.iowa.gov/sites/default/files/Decat_Handbook_0.pdf 2)http://dhs.iowa.gov/decategorization. The Evaluation committee members stated they want to become familiar with google forms and surveys (how-to). Stoffel plans to make a power-point explaining how to evaluate their program. The committee stated that the wiki page is very complex to navigate through. The committee suggested making their own “section” in which the evaluation committee can access tools. Cogan stated that St. Mark has a program called EZ Reports in which parents email are tracked in the system. Stoffel stated that Council Bluffs has flexibility in their student attendance. Children are signed up by parents however they are not required to attend programming every day. Stoffel stated that she will share the power-point on Youth Services software. Work plan for 2016 The Committee stated that they want to include how to do surveys on google forms and report back on the outcomes for the work plan. They would also like a partner/PPICS list on the Wiki. Jaras stated that if afterschool programs have an existing relationship with an evaluator they will include their expenses in 4% of the grant. Jaras stated that the software does not count in the 4%, but that 4% will be allocated to an outside evaluator. The committee stated that they would like to review implementation of evaluation tools and share with each other what worked and what did not.
