EVENT SERVICE REQUIREMENTS
1. All necessary function space needs to be included in the contract at the time of signing. Meeting room
set-up requirements must be advised at the time of booking due to limited capacities. It is necessary that
we are in receipt of menu selections and special requests for catering functions no later than twenty-one
(21) days prior to the function.
2. Menus, prices, service and room arrangement shall be provided by the Hotel as outlined. The customer
agrees to pay the price per person along with the given guarantee of number of people regardless of the
number of persons who attend the function.
3. All pricing is subject to increase due to current fluctuating market conditions.
4. Patron agrees to advise the Hotel at least five (5) business days in advance of the function, of the
definite guarantee number of attendee’s. If attendance falls below the guaranteed number, patron will be
charged the guaranteed amount. The Hotel will set 5% over the guaranteed number for the group upon
request. It is required that accurate counts are given to the Hotel. The Hotel is limited in providing any
additional last minute food, beverage, and services within a 72 hour window. Additional charges will apply.
5. The Hotel reserves the right to move assigned function room(s). The Hotel guarantees adequate space
for set requirements and number of attendees listed in contract. Please contact the Hotel immediately if
the number of attendees or set requirements changes. The Hotel will accommodate the changes to the best
of our ability and availability. Room rental charge will increase if the event is moved to a larger room.
6. If a change from the original/approved room set-up is requested within 24 hours or on day of the
function, a labor charge will be added to the banquet check.
7. The Hotel may request that the customer obtain and pay for bonded security (or) police for traffic
control resulting from various events/trade shows or when valuable merchandise or exhibits are displayed
and held overnight in the Hotel. Electrical requirements, charges and guidelines for Trade Shows are
strictly enforced by the Hotel.
8. The customer is responsible for the arrangements and all expenses of shipping materials, merchandise,
exhibits, or any other items to and from the Hotel. The Hotel must be notified in advance of shipping
arrangements to insure proper acceptance of these items upon arrival at the Hotel. A rental fee will be
imposed if items are delivered prior to 72 hours before function.
9. The Hotel is not responsible for damage to or loss of any items left in the Hotel and function area prior,
during or following any event. Safe deposit boxes are available at our Front Desk. The customer is
responsible and shall reimburse the Hotel for any damage, loss or liability incurred at the Hotel by any of
the customer's guests or any persons or organizations contracted by the customer to provide any service
or goods before, during or after the function. Special fire and safety regulations apply for Exhibits/Trade
Shows.

10. Any items (i.e. signs and banners) that are hung on the Hotel walls must be pre-approved by the Hotel.
Any promotional signage for your event must be pre-approved by the Hotel if going elsewhere in the Hotel
(i.e. Lobby). Hotel must pre-approve any promotional literature that mentions or describes Hotel services.
Confetti and rice are not allowed. The Hotel reserves the right to impose a clean fee of $250.00 for
excessive clean up.
11. If your organization is "Tax Exempt" for Guest Room Taxes, only the Federal Government, when billed
direct, is exempt in Massachusetts. For Food and beverage taxes the state requires we have on file prior
to service, a photo copy of your ST #2 and ST #5 exemption certificate with current expiration date
coverage beyond the date of your function.
12. Patron agrees to begin its function at the scheduled time and agrees to vacate the designated function
space at the closing hour indicated on the contract. The Patron further agrees to reimburse the Hotel for
any overtime wage payments or other expenses incurred by the Hotel because of the Patron's failure to
comply with these regulations.
13. Patron will conduct the function in an orderly manner, and in full compliance with the rules of the Hotel
management, and with all applicable laws, ordinances and regulations. Hotel reserves the right to exclude
or eject any and all objectionable person(s) from the function, or the Hotel premises without liability.
14. In the event the Hotel, at request of the Guest or Patron, furnishes any food, beverage, or any other
services not provided for in the contract, Patron agrees to pay Hotel the charges prior to leaving the Hotel.
Hotel can not bill the client.
15. No food or beverages of any kind will be permitted to be brought into the Hotel by the Patron or any of
the Patron's guests, or invitees from the outside.
16. Holiday Inn Taunton is the only licensed provider of alcoholic beverages on the Hotel premises:
therefore, alcoholic beverages may not be brought into the Hotel from an outside source. Any violation to
this license may jeopardize the Hotel. Your cooperation in this matter is appreciated. Please be prepared to
show valid identification when required. The Hotel reserves the right to I.D. and not serve any guest in
order to comply with State law.
17. Consuming raw and under cooked meats, poultry, seafood, shellfish or eggs may increase your rick of
foodbone illness, especially if you have certain medical conditions.
ADVANCE DEPOSIT
A deposit is required for all functions that have Catering. Deposits are non-refundable (i.e. cancellation or
modifying originally contracted dates). Catering Functions are subject to the usual and customary service
charges and applicable taxes.

PAYMENT AND CREDIT POLICIES
Complete pre-payment is required three (3) business days prior to the group’s arrival or event date. Full
payment can be made by cash, certified check, or money order. Major credit cards are accepted however,
we do obtain full pre-authorization against the credit card three (3) business days prior to the group’s
arrival or event date. Full pre-authorization of the credit card is to secure funding for your event or group
prior to arrival. Once the event or group departs, the final payment will be made by processing the credit
card to the credit card company. If the client chooses to make other arrangements at the time of departure
and not utilize the credit card, it may take up to a week to release the authorization previously obtained.
If payment is to be made with a personal or business check, the Holiday Inn Taunton requires full payment
or the balance amount owed paid fourteen (14) days prior to event date or group arrival. If it is an out of
the country check, the Hotel requires the payment twenty one (21) days prior to the event or group arrival.
Companies or organizations, seeking Direct Billing credit extension with the Hotel must satisfy some
requirements. Please ask your Sales Manager’s for these requirements noted on the Taunton Holiday Inn’s
Direct Bill application.
Social events and Weddings are not eligible to be Direct Billed. These functions require payment in full, at
least three (3) business days prior to function, by certified check or money order. Personal checks are
accepted if received fourteen (14) days prior to the function. Major credit cards are acceptable and the
above mentioned pre-authorization process will occur.
Payment upon departure is not acceptable and will not be extended to any group, event, or individual. All
groups, events and individuals must have an approved payment method before rendering of services.
