£29,868 - £39,120 pro rata

Purpose of Job:
The School Business Manager (SBM) holds a key post of responsibility within the
school. Reporting directly to the Headteacher, the SBM is responsible for ensuring all non-teaching aspects
of the school run efficiently and effectively. The SBM will work alongside the admin staff contributing to
the day to day smooth running of the office. The SBM is also a member of the Senior Leadership Team
(SLT) and is expected to contribute significantly to the continuous improvements of the school’s services.
Principle Accountabilities:
1. Accounting and Finance
 Advising the Headteacher on all financial matters and report on the financial feasibility of particular
projects.
 Responsible for the preparation of appropriate budget plans to support the school development
plan and the development of strategies to address changes in internal and external funding
arrangements.
 Preparing regular expenditure and income accounts for presentation to the Headteacher and
Governing Body, budget monitors and forecasts for Governors, and management accounts for
budget holders.
 Attending Finance and General Purpose’s meetings as required, preparing reports on all financial
matters for the Headteacher and Governors and making recommendations relating to budgetary
control and the implementation of any improvements.
 Being responsible for the school’s accounting procedures and resolving specific problems, including
the system for ordering, payments, maintenance of bank account, preparation of an assets register
and management accounts.
 Implementing and maintaining LA financial guidelines ensuring they complement the efficient
running of the school.
 Ensuring value for money in aspects of legal tender and insurance
 Managing the Capital Project Programme in liaison with the Southwark Diocesan Board (SDBE).
 Being responsible for the monitoring and updating the school’s financial procedures and policies
and the Governing Body’s Scheme of Delegation
 Coordinating the purchasing of goods and services ensuring that accurate stock and Inventory
control systems and safeguards are maintained. To check deliveries of all goods and on-going stock
taking.

Maintaining an inventory of school assets and ensuring their security.
Having overall responsibility for the receipt, safekeeping and banking of all income.
 Managing income generating activities.
 Chasing any outstanding debts owing to the school and coming up with strategies to minimise debt
owed.
2. Human Resources and Payroll
 Managing the recruitment process including the coordination of the whole process, drafting
adverts, obtaining references for shortlisted candidates, organising and attending interviews,
managing communication with candidates and start up administration.
 To be responsible for the administration of the human resources functions for all support staff.
These will include areas such as the administering of starters and leavers, contracts, maternity
procedures, redundancy and dismissal within the guidelines and policies determined by the
Governors and LA.
 To liaise with the human resources provider regarding staffing issues as necessary.
 Being responsible for managing and co-ordinating the payroll service used by the school. This will
involve liaison with the payroll service provider (LA or Contractors) ensuring that statutory
deduction/pension arrangements etc. are correctly processed.
 Being responsible for ordering supply teachers and other temporary staff.
 Liaising with trade union representatives as and when necessary.
 Carrying out new and annual teacher salary assessments with the Headteacher.
 Reviewing salary levels of all support staff and make recommendations to the Headteacher and
Governing Body.
 Dealing with support staff complaints, queries, incidents, referring them to another senior manager
if necessary.
 Being involved in some disciplinary meetings.
 Ensuring the school adopted all necessary human resources policies with advice from human
resources provider.
3. Administration and School Support
 Clerking Governing Body committee meetings and panels, with responsibility for the preparation
and circulation of agendas, minute taking and reporting on specific items. Ensuring that Governors
are kept informed of developments, and draft correspondence on behalf of the Chair of Governors.
 Line managing support staff as designated by the Headteacher.
 Directly supervising office staff, monitoring and delegating work as necessary. Ensuring that
induction programmes and annual appraisals are completed for all support staff, and determining
individual training and development needs.
 Reviewing the level of support staff in the light of the changing needs of the school and make
recommendations to the Headteacher.
 Monitoring the school’s catering arrangements.
 Implementing statutory or LA requirements as they affect the management of the administrative
function of the school.
 Preparing statistical information and reports required by the DFE and LA.
 Maintaining complex records systems and establish a variety of systems for use by teachers and
support staff.
 Assisting the Headteacher in day to day administration and carry out any delegated tasks.
 Making decisions relating to the day-to-day management of the school’s administration functions.
 Managing the school reception service and providing cover as necessary.
 Dealing with a range of telephone queries from parents, professionals, etc.

Dealing with any emergency brought to their attention, deciding on the best course of action and
either dealing with the situation if appropriate or referring it to another Senior Manager.
4. Computer Systems Management
 Acting as systems manager for the administrative computer network and all processes relating to
I.T.
 Identifying developments for the use of ICT to improve effectiveness of school administration. To
ensure the repair and maintenance of all office equipment, photocopiers etc.
5. Management of School Premises




Liaise on all areas with the Premises Manager
Acting as first point of contact for premises matters when the Premises Manager is off site.
In conjunction with the Headteacher act as a point of contact for any competitive tendering
arrangements.
Ensuring that the general cleanliness, hygiene, appearance and safety of all buildings are
maintained to an acceptable standard.
