Minutes of Meeting held Monday 12th November 2012

Cordia
Alison is going to meet with the pupil council to discuss what the children think
of school meals and will feedback at the next meeting. Jo is going to contact
Kathleen O’Donnell from Cordia to update her that we are collating views on
Cordia and will be in touch for her to attend a future meeting.

Jo asking what was happening with the Play zone re finance. Plans have been
draw up by Jen and so now we need to find out the costs. Julie is going to
contact a joiner to see if they would price the job. Elaine is going to speak to
Alex McCartney from City Building to find out whether we can still use an
independent company to carry out the work or if City Building would be required
to do the works??
PVG
Julie attended training for PVG run by the SPTC (Scottish Parent Teacher
Council) As far as Parent Council activities such as selling tickets and running
events such as the Christmas fayre everyone doesn’t need to have their PVG so
long as we operate safe working practices i.e. work in pairs. Even for school
disco we would only need the People involved in toilet supervision to have their
PVG. If however we run a regular club or have the same person carrying out a
job every year then this is classed as regulated work as so do need their PVG. If
the Parent Council were to join the CRBS (The Central Registered Body in
Scotland) then as a voluntary organisation we can get our PVG done for free. We
need to nominate a lead person responsible for enrolling with the CRBS,
submitting PVG Scheme applications. All voted in favour of joining the CRBS and
then voted Julie to be the CRBS lead person.
We will need to set up a Child Protection Policy for our parent council and have
an incident book for all parent council events.
Vacancy on the Parent Council
Currently we have 13 parent members on the Council so we have one vacancy
which will be advertised in the next news bulletin to see if any parents are
interested. Karyn McAllister, Jane Hamilton and Julie Smith are all due to
step down at the beginning of next year but will remain on the council till the
next AGM.
Sound System
Jim Robertson, a previous member of the Council, has informed the school that
by the end of the year the Radio mics in the school will no longer work due to
change in radio frequencies. Jim has sourced new radio mics and the cost of 1
new radio mike and 4 lapel mics and amplifier?? Is approx £806 + VAT. All
members voted to purchase the full set so Jim Robertson and Jim Gemmell will
arrange the purchasing.
Parent Council Survey
At the parents evening in November Parents were asked to complete a survey
covering topics such as playground, health & wellbeing, education support, play
zone, learning lounge, extracurricular activities and after school clubs.
Jim is going to collate the information and present at a future meeting.
Christmas Fayre
It would be helpful if all members could email there availability for helping
setting up on Friday 30th November from 6pm til 8pm and on the day of the
fayre, 1st December 2012 from 9am til 1pm. Please let us know even if you can
only help for a couple hours. Since the meeting Yorkhill Sleigh Bus is no longer
able to come and so they will be taking a table. Mrs Robertson would like a table
for her fair-trade stall.
Parent Council – Whole Xmas Bash!
Denise has been finding out about holding a xmas film in the school. To show a
film we need a licence from the NPLC motion picture licensing company it costs
£72/ year or £81/year if we would like to charge for showing films. We could
use the Shawlands Academy assembly hall to show the film; Denise and Elaine
are going to check on availability and quality of the film.

Thanks to Louise for organizing the shopping night which was a great
success
Recipe Book post food festival. Kiran and Jo are going to work on the
recipe book hoping to tie it in with the Book fayre in March.
Need for a Banner to advertise council events, there are banners
available with reusable letters so we could use them for different events,
costs approximately £50-£60 maybe should think about this for future
events
South Seed Planters are now only supplying to residential areas and we do
not fall into their catchment so they cannot help with our playground
green space
Bruce has volunteered to join the Playground subgroup and help with the
playground applications etc
Burns Night Jim outlined that the food elements of the Burns night was
one of the most difficult elements to organize, and a different format
may be more straightforward, and perhaps hold it closer to Burns Night.
Kiran suggested that we promote it more as many people from other
sections of the community weren’t aware what Burns Night was about.
Alison’s Mum has nearly finished the Banners for the Houses and hoping
that there will be an unveiling in the school very soon.
The next Parent Council meeting will be on the 14th January 2013
