Dear Vendor, Special Olympics Cumberland County would like to invite you to showcase your talent or business by participating in our upcoming shopping expo on Saturday, December 6th, 2014 from 10:00 am – 4:00 pm at the Gilmore Therapeutic Recreation Center. This event is an opportunity for shoppers to get lots of Holiday, gift and personal shopping done in one place, in one day. The Gifts Galore & S.O. Much More shopping expo is announced with a variety of local business and media sources such as the Up & Coming, Women’s View, ARRAY, and other local magazines, billboards, local television and radio stations as well as newspapers and social media sites like Facebook and twitter. There is a non-refundable registration fee that will go directly to Special Olympics Cumberland County. This includes advertising for the event, an 8’X8’ vendor space with one 6’ table (vendors may bring additional table if desired). Applications for vendor space will be assigned on a first-come, first serve, payment received basis. We will only accept one vendor per company and no more than 5 vendors in one category (jewelry, wreaths, lotions, etc) Vendor set-up will begin at 7:00 am on the day of the event and all tables need to be cleared by 6:00 pm. No applications/money will be accepted after November 14, 2014, unless postmarked by that date. Upon application approval, you will receive an email requesting your help with promoting the event on our Facebook page and to your customer base or you can provide us with your database and we will do the work for you! We strongly encourage you to contact your customer base and any possible prospects you may have. Let your potential customers know about this amazing opportunity to shop and learn more about your business in a fun and friendly atmosphere. Share this opportunity with other business associates and encourage them to jumpstart and showcase their businesses. All vendors are asked to assist in getting the word out! Participating businesses are asked to donate a door prize for the Silent Auction. The Silent Auction bidding will take place throughout the day and give you the opportunity to showcase your business to everyone. Door prize winners will be selected at the end of the day. Any business may provide bag stuffers (key chains, printed material 8.5”x11” or smaller, business cards, coupons, notepads, etc.) Material Deadline is 5:00pm on November 14, 2014. TERMS OF BOOTH PAYMENT All vendor space agreements issued must be returned with booth payment in full. (Full payments will be returned only to vendors that were not accepted to participate or in the case of event cancellation) SUBLEASES The company signing the vendor space agreement cannot sublease any portion of their vendor area without the express written permission of Special Olympics Cumberland County All products provided, literature distributed, service provided or other activity must be directly related to the company signing the original vendor space agreement. Special Olympics Cumberland County has the right to have anyone subleasing removed. (i.e. A rep for Avon is approved to have an Avon booth. He/She cannot have Pampered Chef products/literature on the table also, even if he/she is a rep for more than one company. He/she CAN purchase two booths by filling out and paying for two applications. – Avon and Pampered Chef) EXHIBITOR PARKING No reserved parking is available. We ask all vendors to park in the back lot or along the street side of the parking lot after unloading. Please do not leave your vehicle in the loading area. BEVERAGES AND FOOD The selling of alcoholic beverages and/or other beverages or food (food intended for immediate consumption such as lunch items and beverages) by Vendors is prohibited unless pre-approved by an official of Special Olympics Cumberland County. Jams, jellies, fudge, candies, etc. are approved exceptions. CHARACTER OF TABLES Special Olympics Cumberland County reserves the right to approve the character of all displays and to prohibit any display or activity which, because of the noise or other objectionable nature, detracts from the general character of the vendor, interferes with a neighboring vendor or is otherwise not in the best interest of the event. Advertising signs and stunts which are aggressively promotional in nature, intended for use in the booths or the general area of the vendor hall must be submitted to Special Olympics Cumberland County for approval prior to the first day of the official move-in. Under no circumstances shall an in-booth voice amplification system be used. NOISE/USE OF SOUND Loudspeakers and high volume equipment are prohibited. Audio video equipment must be restricted in volume as to not to disturb other vendors. Special Olympics Cumberland County reserves the right to enforce these restrictions at its own discretion. MATERIALS SUBJECT TO LICENSE/RESTRICTION & SALES TAX The Vendor agrees to obtain, at its own expense, any licenses or permits from government bodies which may be required for the operation of its trade or business during the show and to pay all taxes that may be levied as a result of the operation of its trade or business in the space. The Vendor agrees to indemnify, defend and save harmless Special Olympics Cumberland County, and The City of Fayetteville against any and all claims for loss, injury, lack of license or payment, or damage to persons or property, brought on behalf of any person, firm, or licensing agency, and arising out of acts, omissions, or negligence of vendor, its agents, or employees. MANAGEMENT Special Olympics Cumberland County reserves the right to close any vendor leased herein, without liability, should vendor or any employee thereof engage in acts that are substantially disruptive and against the best interest of the Expo. Vendor expressly waives any recourse for damages against Special Olympics Cumberland County in the event this agreement is revoked or cancelled by Special Olympics Cumberland County for violation of any provision hereto. In case of acts of God or conditions necessitating the canceling of the Event, Special Olympics Cumberland County shall not be held responsible and no refunds of vendor space payments will be made. Special Olympics Cumberland County reserves the right to relocate or resign any vendor when circumstances warrant so longs as said relocation or reassignment is in the best interest of the Event. Special Olympics Cumberland County reserves the exclusive right to change the floor plan in any manner whatsoever without notifying Vendor in advance of any change.
