Opening & Closing the Lab Opening the Labs Please do the following when opening the labs for general use: Ensure that all computers, monitors, scanners, printers, and DV decks are on & ready for use. Load all printer trays with paper. Ensure that all displays, keyboards, & mice are neatly arranged on the desks. Ensure that each desk is paired with a workstation chair. When working in the TCC, you also need to ensure that each breakout room has an adequate number of workstation chairs and any that any other chairs are appropriately placed throughout the lab. Return the three small wastebaskets to the breakout rooms & verify that the touch panels are operational. Unlock the TCC’s lost & found drawers. Report any unresolved problems to me either in person, phone, or email. Open the lab door(s) at the scheduled time. Do not open the lab(s) early. It creates the expectation that we always open early or will do so at the user’s request. Place the Computer Services poster just outside of the lab entrance if working at the TCC. Otherwise, place the lab’s OPEN/CLOSED sign just outside of PH 220. Note: Those working in the TCC should not need my assistance in gaining access to the lab in the morning. Those in PH 220, however, will need assistance due to the lab doors being locked. Please knock on the door when you arrive. Often, I am already inside. Otherwise, please wait for my arrival. If I do not arrive by the time the lab should open you will need to either get the key from Tuttleman or have a TCC consultant deliver it to you. Closing the Labs Please do the following when closing the labs: Make closing announcements 30, 15, 10 and 5 minutes prior to close. You may have to follow up with users who are wearing headphones to ensure they are aware that the lab will close shortly. Turn off everything except for the Dell PCs. PH 220 closers should also make sure the LCD projector is off. Ensure that each desk is paired with a chair. Follow the same protocol mentioned in the previous section. Dispose of any large pieces of trash left on the desk and floor. Those in the TCC should get each breakout room’s trash bin & place them next to the gray trash bin near the consultant desk. Straighten up consultant desk & printer areas. Make sure the breakout room lights are off. Ensure that the TCC’s breakout rooms & paper cabinets are (still) locked. Wipe down all machines. Use disinfecting wipes for the PCs & glass cleaner for the iMacs & breakout room plasma screens. Give all TCC lost & found items to Paley Library’s circulation desk. Put the TCC doorstops in the lost & found drawer and lock it up. Report any outstanding problems or issues to the lab manager. Bring in easel & Computer Services poster if working at the TCC. Bring in the lab’s OPEN/CLOSED sign if working at Pearson. Promptly close the lab at the scheduled time. Ensure that the lab entrance is locked & any doorstops are placed behind the consultant desk. PH 220 as a Classroom PH 220 usually hosts a number of classes and events each week. Thus, you may find yourself closing the lab as a class is about to start and reopening it when the class ends. Please adhere to the following procedures. Make announcements indicating the lab will close due to an upcoming class. Announcements should come 15, 10, and 5 minutes in advance of the class beginning. Flip the lab’s OPEN/CLOSED sign so it reads “CLOSED”. Do this a few minutes prior to the class/event beginning to deter general lab users from entering the facility. Avoid doing anything distracting while the class/event is in session. Such acts include chatting, typing loudly, watching movies, etc. All off duty staff should leave PH 220 once a class or event begins – even if the instructor says it’s OK for you to stay. I will make an exception to those who have to start their Pearson shift within the next 30 minutes. Note: Sometimes the University Scheduling Office will put a class or event in PH 220 that starts the same time the lab is set to open. On those occasions, I will open the facility 10-15 minutes early to ensure that it starts on time. Make sure to arrive so that you’re working around as a few users as possible when prepping the lab.
