Treaty Collection Website & Migration

Project Description:
Prior to the design & development of the public facing website for the Treaty Collection, Trigyn was engaged
in the migration project of Documentum. The United Nations OLA department was already using a legacy
system which was based on the earlier version of the Documentum. Before the new system actually starts
working it was necessary to migrate the entire existing data and documents of the legacy system into the
new system. The data size was around 15 gb. (which includes 65000 treaties and 0.5 million actions with an
approximate 1 million objects to be migrated).
There was a need to write a custom utility to fulfill the requirement as the new system which was designed
includes lot of changes in the database structure. Also, the client requirement includes lot of enhancement.
The migration utility should be taking care of the following needs of the project.

 Migrate data/documents from Documentum 4.1 to 5.3
 Migrate all the versions of the documents such that the version tree should replace correctly in the
Docbase.
 Old Corel Word perfect documents should be migrated as MS Word documents in the new system.
 Status log should be maintained.
The utility was developed with the best possible design. The utility design reflects the exact object oriented
structure of the Documentum Docbase, which made the development task easier to implement and easier
implement new changes later.
The result of the utility was stunning as it was able to migrate the whole data of approx 15gb with an error
rate of merely 0.0001%.
The Treaty Collection is the official website of the United Nations – Office of Legal Affairs that offers access
and search to UN Treaties.
Additionally, The site offers featured news, treaty events, announcements,
training calendar, along with features like photo gallery, in addition to basic content management and
publishing features. The website offers bi-lingual capabilities in English and French. The website offers search
& access functionality to treaty collections stored in Documentum. These include - all multilateral treaties
deposited with the Secretary- General of the United Nations and those formerly deposited with the League of
Nations - their latest status and a link to the full texts; and Bilateral and multilateral treaties registered with
and published by the United Nations Secretariat in accordance with Article 102 up to a certain date - Detailed
treaty references and full texts in all authentic language(s).

Publication using InDesign
Project Name
TSIPS Publication using InDesign
Technology Used
InDesign, Documentum DAM, Woodwing Smart Connector, InEventScript on
Windows platform.
The United Nations OLA department publishes few books and monthly magazines for circulation. The data
for this publication is related to the operation on the treaty objects that are stored in the TSIPS
Documentum system.
The publication of these data in the form of printed books and the softcopy were required. For publication
of these books Adobe’s publication tool InDesign was going to be used.
InDesign’s scripting language was used to make all the required arrangement for the user so that he/she
can easily manage to publish a book.
The unit document that is to be transformed into an InDesign document was created in Microsoft Word.
These Microsoft Word are actual formatted representation of the data stored in the Docbase. The Word
was generated using the XML/XSLT technology by generating WordML (Word markup language) and
stored in the Documentum Docbase.
These Microsoft Word documents were fetched directly from Documentum repository in the InDesign
using a bridge created by involving third party tool Woodwing Smart Connection and Documentum –DAM
Editorial Publishing system.
Thus the created book can be once again stored into the Documentum Docbase hence getting rid of the
possible scattering of the important documents.

• The different publication elements involved different formats. All these formats have some legal
meanings and hence the displayed data in the book should be exactly what was displayed in the previous
system. The problem in achieving this accuracy was the Tool InDesign’s inability to deliver some formats.
Custom scripts were written to cover up this fault and to achieve what was required.
• Since the InDesign scripts required to resides on client machine; if any changes or version updates needs
to be done for these scripts then all the client machine needs to be manually updated which was not
accepted. To overcome this problem, a mechanism was developed which automatically fetches the
latest scripts from the specified server whenever InDesign starts up.
• To generate word in the form of WordML, from the data in the Docbase, no help or guidance was
available.
Also InDesign does not recognize the WordML format of the MS-Word; hence it was required to convert
the WordML to proper Word format (.doc) before it is being used by InDesign.

Brief Description
Trigyn was entrusted with the design, development and implementation of the
website (http://www.unctadxiii.org/) for the recently concluded UNCTAD XIII
conference in Doha, Qatar. The UNCTAD XIII website was implemented using
SharePoint 2010 & Visual Studio 2010 on the Window Server 2008 operating
systems platform. The project included the design and development of the
Website, Online Registration System, Dynamic conference program calendar,
enterprise search, custom workflows, and integration with www.unctad.org
that was also designed and developed by Trigyn. More than 3,500 registrations
and related workflow for approvals were facilitated by the registration module
developed by Trigyn. The Conference drew attention of all the UN Member
States, and was attended by Parliamentarians, Government Representatives,
Delegations, Academia, NGOs, and Private Sector participants from over 100
countries. The online registration was also used for the World Investment
Forum 2012, Civil Society Forum in addition to the UNCTAD XIII Conference
program and related events.
SharePoint 2010 has been used to implement the following features &
functions  An administrative front end to manage the overall content, taxonomy
etc. in addition to the global configuration and site level settings. This
equips the content publishers, authors and site administrators with the
flexibility and freedom to manage the intranet content, including
support for a user management/permissions and a tagging system for
content
 Template(s), Themes, Cascading Style sheets (CSS) based upon designs
approved by client were used to incorporate branding, a consistent
look & feel including the menu / navigation controls, and content
panes. This includes provisioning for common elements in layout (like
header, footer / doormat and sitemap).
 Custom Forms designed and developed to address the specific
requirements for creating various products related to the conference –
session documents, daily journals, statements etc.
 Taxonomy and managed metadata is being reviewed & implemented
for document and content management.
 Trainings on SharePoint 2010 application development and

collaboration features, enterprise search, custom workflows, reporting and
integration with other applications.

CERF Grant Management System

Brief Description
CERF is a humanitarian fund established by the United Nations to enable more
timely and reliable humanitarian assistance to those affected by natural
disasters and armed conflicts. The Fund also serves as an integral part of
humanitarian reform as it contributes to reinforcing humanitarian leadership
and coordination through the Resident/Humanitarian Coordinator (RC/HC) and
the cluster approach. The CERF aims to improve the supply of humanitarian
funding and is different from planning and fundraising tools such as a flash or
consolidated appeal, which help to organize the requirements and needs of
humanitarian response.
Due to the number of tasks involved, managing the projects on the agency level
is a complex process. In this regard, and as more projects are expected to be
implemented, there is a need for a more efficient process to monitor these
requirements.
The CERF GMS Project is divided into 8 phases of 3 months each.
SharePoint 2010 has been used to implement the following features &
functions  Improved tracking of CERF projects throughout their lifecycle; with
more than 500 requests for funding received throughout the year, this
is currently a major issue, with little visibility where each request is in
the workflow.
 Financial Reporting on the allocation of CERF funds.
 Performance & timeliness reports (Key Performance Indicators - KPIs)
on the various workflow milestones, to assist CERF in identify
bottlenecks as they continually strive to improve on the efficiency and
performance of their business processes.
 Template-based generation of key CERF information outputs e.g.
Approval letters to help reduce the time spent on such activities.

Brief Description
The system was designed to export the updated metadata from the
Scanned documents to the document repository in SharePoint. The document is
exported after scanning into the appropriate pre-defined folder hierarchy depending
upon the metadata The system is integrated with MC Captiva InputAccel 6.0
to support scanning and routing of the documents to the appropriate folder in the
SharePoint repository. Currently the system is built to handle typed forms/ documents

This Digital Archiving Standardization application for UNMIN mission provides a
solution for digitizing and classification of scanned records. . This solution will be
built for reusability in other digitization and archiving projects. It offers the
following benefits:

Automatic scanning and digitization of paper documents using InputAccel.

Quality control by separating the user tasks for scanning and checking
documents.

Automatic indexing by dynamically capturing document metadata.

Search of metadata and content of scanned documents, enabling improved
data mining and information management, and capability to locate and
retrieve documents.

Compliance with enterprise standards of Information Management from
implementing the Peacekeeping File Classification Schema (PK FCS).
