The United Nations OLA department was already using a legacy system which was based on the earlier version of the Documentum. Before the new system actually starts working it was necessary to migrate the entire existing data and documents of the legacy system into the new system. The data size was around 15 gb. (which includes 65000 treaties and 0.5 million actions with an approximate 1 million objects to be migrated). There was a need to write a custom utility to fulfill the requirement as the new system which was designed includes lot of changes in the database structure. Also, the client requirement includes lot of enhancement. The migration utility should be taking care of the following needs of the project. Trigyn Technologies - Confidential Page 10 of 22 Trigyn Technologies – ECM Collateral 2012 Migrate data/documents from Documentum 4.1 to 5.3 Migrate all the versions of the documents such that the version tree should replace correctly in the Docbase. Old Corel Word perfect documents should be migrated as MS Word documents in the new system. Status log should be maintained. The utility was developed with the best possible design. The utility design reflects the exact object oriented structure of the Documentum Docbase, which made the development task easier to implement and easier implement new changes later. The result of the utility was stunning as it was able to migrate the whole data of approx 15gb with an error rate of merely 0.0001%. The Treaty Collection is the official website of the United Nations – Office of Legal Affairs that offers access and search to UN Treaties. Additionally, The site offers featured news, treaty events, announcements, training calendar, along with features like photo gallery, in addition to basic content management and publishing features. The website offers bi-lingual capabilities in English and French. The website offers search & access functionality to treaty collections stored in Documentum. These include - all multilateral treaties deposited with the Secretary- General of the United Nations and those formerly deposited with the League of Nations - their latest status and a link to the full texts; and Bilateral and multilateral treaties registered with and published by the United Nations Secretariat in accordance with Article 102 up to a certain date - Detailed treaty references and full texts in all authentic language(s). The United Nations OLA department publishes few books and monthly magazines for circulation. The data for this publication is related to the operation on the treaty objects that are stored in the TSIPS Documentum system. The publication of these data in the form of printed books and the softcopy were required. For publication of these books Adobe’s publication tool InDesign was going to be used. InDesign’s scripting language was used to make all the required arrangement for the user so that he/she can easily manage to publish a book. The unit document that is to be transformed into an InDesign document was created in Microsoft Word. These Microsoft Word are actual formatted representation of the data stored in the Docbase. The Word was generated using the XML/XSLT technology by generating WordML (Word markup language) and stored in the Documentum Docbase. These Microsoft Word documents were fetched directly from Documentum repository in the InDesign using a bridge created by involving third party tool Woodwing Smart Connection and Documentum –DAM Editorial Publishing system. Thus the created book can be once again stored into the Documentum Docbase hence getting rid of the possible scattering of the important documents. Trigyn Contribution Full Life-Cycle • The different publication elements involved different formats. All these formats have some legal meanings and hence the displayed data in the book should be exactly what was displayed in the previous system. The problem in achieving this accuracy was the Tool InDesign’s inability to deliver some formats. Custom scripts were written to cover up this fault and to achieve what was required. • Since the InDesign scripts required to resides on client machine; if any changes or version updates needs to be done for these scripts then all the client machine needs to be manually updated which was not accepted. To overcome this problem, a mechanism was developed which automatically fetches the latest scripts from the specified server whenever InDesign starts up. • To generate word in the form of WordML, from the data in the Docbase, no help or guidance was available. Also InDesign does not recognize the WordML format of the MS-Word; hence it was required to convert the WordML to proper Word format (.doc) before it is being used by InDesign. The Fund also serves as an integral part of humanitarian reform as it contributes to reinforcing humanitarian leadership and coordination through the Resident/Humanitarian Coordinator (RC/HC) and the cluster approach. The CERF aims to improve the supply of humanitarian funding and is different from planning and fundraising tools such as a flash or consolidated appeal, which help to organize the requirements and needs of humanitarian response. Due to the number of tasks involved, managing the projects on the agency level is a complex process. In this regard, and as more projects are expected to be implemented, there is a need for a more efficient process to monitor these requirements.
