INTERNET CONSULTING SERVICES
1.1
Blackbaud NetCommunity Grow Overview
Covenant Hospice, Inc has recognized the need for an enhanced online solution including fundraising and
communication tools. Covenant Hospice, Inc engaged Blackbaud to implement Blackbaud NetCommunity
Grow, an online content management, fundraising, and email marketing solution that integrates with The
Raiser’s Edge, Covenant Hospice, Inc’s system of record for constituent data.
1.1.1
Project Overview
The purpose of this project is to successfully implement Blackbaud NetCommunity Grow to facilitate online
giving and to execute an email marketing plan. For purposes of this Scope of Work, ‘Blackbaud’ includes both
Blackbaud, Inc. and its agents or partners.
Project components include the following:





Implement functional tools within Blackbaud NetCommunity Grow.
Develop a 12-month calendar that identifies all milestones, tactics, and responsibilities associated
with the execution of Covenant Hospice, Inc’s email marketing strategy.
Execute four (4) targeted, Blackbaud-defined email campaigns based on criteria and content
provided by Covenant Hospice, Inc.
Provide Covenant Hospice, Inc with ongoing reports, training, and thought leadership to maximize
your success with the NetCommunity Grow solution.
Implement a website content management system (CMS) using Blackbaud design to enhance
administrative work of website and user experience while visiting the website.
Please Note: This Scope of Work is subject to the Blackbaud NetCommunity Scope of Work Assumptions

Approach
This implementation consists of three distinct sets of services:
1) The deployment of a website design and functional tools within Blackbaud NetCommunity Grow
2) Assistance publicly launching your Grow website
3) An Email Campaign program to help Covenant Hospice, Inc achieve results for fundraising and
email marketing

Design
As part of this engagement, Blackbaud will provide the following additional design services for Covenant
Hospice, Inc:

Blackbaud will provide Covenant Hospice, Inc with a Creative
Worksheet to collect preliminary information about Covenant
Hospice, Inc’s branding, positioning, and other visual design
topics. The Creative Worksheet must be completed and
returned to Blackbaud one week prior to the Visual Design
Session. Following the Visual Design Session (see below), the
Blackbaud visual designer will provide an in-depth Creative
Brief to summarize design findings, recommendations, and
feedback from the Visual Design Session process.
Blackbaud and Covenant Hospice, Inc will hold up to two (2)
remote meetings to discuss design goals and objectives to
determine the direction of the new website design. The
following customer characteristics will be considered and
reviewed during discovery:
 Identity and branding
 Visual design preferences
 Existing style guide and color palette (if applicable)
 Covenant Hospice, Inc’s images and other supplied digital
assets
 Website usability best practices
 Existing website information architecture
Blackbaud will produce design concept(s) in accordance with
the functional deliverables described in Section 1.1.4. If
additional page designs are requested, a time and materials
change order will be required.
Blackbaud and Covenant Hospice, Inc will review the design
concept(s), noting any changes requested by Covenant
Hospice, Inc in the provided Design Feedback Form.

Blackbaud and Covenant Hospice, Inc will review the final site to demonstrate that it meets the approved
visual, functional, and technical requirements. Covenant Hospice, Inc will provide formal acceptance of
deliverables to Blackbaud.

Site Launch Assistance
At the conclusion of System Deployment, Covenant Hospice, Inc will possess the training and tools to
publically launch their website. During Site Launch Assistance phase, Blackbaud will provide Covenant
Hospice, Inc with regular check-ins as well as consulting and design support, to facilitate this build out and
testing of the new site. Please also refer to the Customer Experience Flow document for a detailed breakdown
of activities during your System Deployment.

Email Campaign
Blackbaud designed the Email Campaign to help organizations achieve results through the execution of
targeted eCommunications. The Email Campaign phase enables Covenant Hospice, Inc to implement best
practices for online fundraising and eCommunications, utilizing technology in Blackbaud NetCommunity
Grow and The Raiser’s Edge.

*Blackbaud will migrate the content from the existing Covenant Hospice, Inc website. Covenant Hospice, Inc will provide a
spreadsheet of pages to be migrated. The content migrated will be in the same format as the existing site. The content styles
will adopt the CSS from the new website. Content Migration does not include the following: Flash, JavaScript, Forms,, or Link
Pages (unless the linked page is listed in the spreadsheet). If the page contains over 3 images or linked documents, more time
maybe required to migrate the page.
Quality Assurance
Blackbaud will conduct a round of Quality Assurance that will include the following activities:
Cross browser testing for design elements in Internet Explorer 7/8/9, Firefox 3.6+, Safari
(latest) and Chrome (latest)
Build accuracy testing to ensure that browser rendering matches the original design
concepts.
Content Management testing to ensure that content can be easily edited and updated
where appropriate.
Scope Check to ensure that all scoped tasks, activities and deliverables have been met.
Mobile Optimization Package


Blackbaud will provide a Design Checklist to allow Covenant Hospice, Inc to select their
desired color and font choices.

 Mobile Giving, either through a Donation Form, Event Registration Form, or Payment Part is
designed to be a straight forward process, allowing for minimal user input in order to make a
quick donation through a mobile device. As a result, certain options that would otherwise be
available on desktop giving forms are not available on their mobile counterparts.
 Current features that are not supported via mobile giving forms:
o Recurring Gifts – if recurring gifts are desired, a link redirecting the user to the
desktop version of the site will be needed
o Multiple Designations – if this feature is required, it is recommended multiple
donation forms linked to a single Payment Part be utilized.

Quarterly Grow Program deliverables are pre-set and scheduled by Blackbaud in partnership with Covenant
Hospice, Inc. An implementation schedule will be created at the time of project kick-off. Further, a 12-month
email campaign calendar will be furnished prior to the first quarterly campaign. Covenant Hospice, Inc is
responsible for providing resources to participate in NetCommunity Grow program events/activities. If
Covenant Hospice, Inc opts not to participate or misses a deadline for a specific NetCommunity Grow
program deliverable, then Covenant Hospice, Inc forfeits the deliverable. Blackbaud is not accountable for a
missed deliverable on behalf of Covenant Hospice, Inc.

Licensing and System Access
In order to facilitate the email campaign, benchmarking work, and campaign reports, Covenant Hospice, Inc
agrees to allow Blackbaud access to their Blackbaud applications, including NetCommunity Grow and The
Raiser’s Edge. Blackbaud will deliver services associated with the email campaign program included with
Blackbaud NetCommunity Grow. If split hosted, a connection to The Raiser’s Edge system via Terminal
Services or a workstation connected to a server with a broadband Internet connection is required. By agreeing
to this Scope of Work, Covenant Hospice, Inc certifies that Blackbaud may extract, analyze, and publish
campaign performance results. Covenant Hospice, Inc is expected to perform regular back-ups of The
Raiser’s Edge database and test those back-ups so that irreparable data loss is not suffered should anything
happen to the production database.

Social Confirmation Widget
Summary
The Twitter and Facebook share buttons allow a user to Tweet a preconfigured message, or share your
website address in a Facebook update directly from a confirmation page. Blackbaud will build Twitter and
Facebook buttons into the custom confirmation page of up to three (3) transactional forms. Time has been
included to consult around which confirmation pages to choose.
Note: Covenant Hospice, Inc will provide the default text that will be prepopulated in the user's Tweet
message.
Flickr Widget*
Summary
Allows Covenant Hospice, Inc to integrate features of the third-party photo gallery site, Flickr, into their
website. Covenant Hospice, Inc can display up to 20 of the latest images from an existing Flickr account.
Features
 Displays thumbnail size images from the public feed of a Flickr account on Covenant Hospice, Inc’s
website.
 Can integrate a lightbox overlay to view a larger version of the images when clicked by the user.
 Can show up to, but no more than, 20 thumbnails of the most recent Flickr photos from a single
Flickr account.

Homepage Slideshow – Basic
Summary
The Basic Slideshow provides an improved presentation style for home and landing page banner areas.
While displaying only one frame at a time, the slideshow can contain multiple formatted content frames that
cross fade from one to another at specified intervals. Additionally, frames can be advanced using basic
forward and reverse navigation.
Features
The features and functionality of the slideshow are as follows:

*Technical Assumptions
1) Customizations may include implementation of one or more third-party tools. Therefore, any changes to
the functionality of the third-party tool(s) may result in decreased functionality of the customization.
Blackbaud is not responsible for any customizations that become non-functional as a result of the thirdparty application changes.
2) There may be limitations set forth by the third-party applications regarding the frequency of access to
their tools. Any rate limiting enforced by the third-party applications for calls made to their servers would
be applicable to the customization.

The purpose of this project is to successfully implement one (1) standard Friends Asking Friends website in
Blackbaud Sphere to facilitate peer-to-peer fundraising.
Project components include the following:

Implement one (1) peer-to-peer fundraising website using Blackbaud best practice design for event
information, online registration, and personal or team fundraising pages.
Provide Covenant Hospice, Inc with training for event administrators.

for peer-to-peer fundraising website. Blackbaud will then build design chosen by
Covenant Hospice, Inc for peer-to-peer fundraising website.
Event main page implementation will reflect Covenant Hospice, Inc’s general brand
and color palette, and Covenant Hospice, Inc logo will be placed in the design.

The billing terms referenced in the billing terms column of the Consulting Services Estimated Budget table are

The professional services described here are provided on a time-and-materials (T&M) basis
only.
The estimate(s) cited above represents an estimate only and does not reflect any binding
obligation for Blackbaud to complete those services within the estimated time or cost. Any
required changes to the estimates will be processed with approval as defined in the Change
Order section of this agreement.

Upon signing and returning the Agreement to Purchase, Blackbaud shall invoice Covenant
Hospice, Inc for services rendered based on the number of hours expended by Blackbaud.
The services described here are billed on a fixed price basis. An invoice for one hundred
percent (100%) of the total will be generated upon completion of the engagement. These
fees do not include any travel-related expenses.
The services described here are billed on a fixed price basis. An invoice for one hundred

Purchase. These fees do not include any travel-related expenses.
In addition to the aforementioned, please refer to Section 3 of the Master Software and Services Agreement

APPENDIX: OPERATING GUIDELINES AND GENERAL ASSUMPTIONS
3.1
Change Orders
Blackbaud will not perform services identified by either party as outside this Statement of Work without the
following procedure:
 The Blackbaud Consultant will provide a Change Order documenting the scope change; additional
resources required; changes to the work plan, including due dates, if applicable; and additional
estimated time and fees, if applicable.
 Blackbaud will perform the additional services after receiving formal authorization. Formal
authorization constitutes Covenant Hospice, Inc Project Manager’s written acceptance of, and
agreement to pay Blackbaud for, any additional services requested and set forth in the Change Order.
Both Covenant Hospice, Inc and Blackbaud must properly execute the Change Order before any resources will
be requested or assigned to the task(s) or any services will be performed.
Any properly executed Change Order is subject to the terms of this Statement of Work.
3.2
Deliverable Acceptance
Deliverables will be considered accepted by Covenant Hospice, Inc unless Blackbaud receives written
notification from Covenant Hospice, Inc of errors within ten (10) business days of receipt. If Blackbaud receives
written notification of errors within ten (10) business days after receipt of the deliverable, Blackbaud will
address reported errors in a revised deliverable. Covenant Hospice, Inc will then have an additional ten (10)
business days to report that all errors have been resolved by the revised deliverable.
If Blackbaud does not receive written notification of unresolved errors, the deliverable will be considered
accepted by Covenant Hospice, Inc.
3.3
Expiration of Statement of Work
If, (i) within one year of execution of the Statement of Work, Covenant Hospice, Inc has not scheduled any
work to be performed, or (ii) if Covenant Hospice, Inc has scheduled work to be performed, but due to
unavailability of Covenant Hospice, Inc such work has not commenced within six (6) months of being
scheduled, the Statement of Work will be deemed to be terminated by Covenant Hospice, Inc and any fees
paid by Covenant Hospice, Inc in connection with this Statement of Work shall be retained by Blackbaud and
applied toward a cancellation fee.
3.4

Cancellations or postponements of a scheduled Fixed Price (FP) professional service may be made with no
penalty if cancelled or postponed 10 or more business days before the start of the service. Cancellations or
postponements of less than 10 business days follow the policy below:

General Assumptions
Blackbaud assumes the following when performing the professional services described in this document:
1. If professional services are performed on-site, the Blackbaud representative will perform work during
the days of Monday through Friday.
2. If services are being performed remotely, Blackbaud assumes client will have Internet connectivity from
database server and workstations. Blackbaud further assumes that consultant performing work will be
granted full security access to database server and workstations as necessary to complete this
Statement of Work.
3. Covenant Hospice, Inc will ensure that the specialized expertise for the hardware platform, third-party
database and network administration is available on an as-needed basis to support installation and ongoing activities throughout the engagement.
4. Unless Blackbaud Application Hosting Services are included in the project, system, server and
workstation backups are the responsibility of Covenant Hospice, Inc. This includes the development
and implementation of the system backups and recovery programs. Covenant Hospice, Inc
understands the detailed System Recommendations for the software application and database located
on the Blackbaud website: http://www.blackbaud.com/products/system/requirements.aspx.
5. If applicable, Covenant Hospice, Inc understands the detailed Blackbaud Application Hosting Services
system requirements located on the Blackbaud website for the software application and database:

6. All written materials provided with this engagement supplement, but do not replace, the Blackbaud
software documentation and are subject to the terms and conditions of the Master Software and
Services Agreement. Customer should consult the standard online user documentation for information
regarding product processes, features, functions and requirements.
