GEELONG FOOTBALL CLUB
FUNCTION TERMS AND CONDITIONS
Tentative Bookings: All function bookings will be held for five (5) working days. Confirmation of a
booking will occur upon providing credit card details and receipt of the completed deposit request
form.
Credit Card Details: To secure any Function Room Booking, all function organisers must provide
credit card details which will be kept on file by the Geelong Football Club’s Functions’ Department.
Deposit: When booking a function you must pay a non-refundable deposit as specified by the
Functions department.
Final Payment: Full balance of payment is required no later than three (3) working days prior to
the function. All additional costs (i.e. bar tabs, additional meals, extended hire time etc) must be
paid to the venue on the night of the function prior to departure. If payment is not received, any
monies owed will be processed against the credit card on file. Where the Club has not received
payment by the stipulated time, the Club has the right to cancel the booking without notice.
Payment types available include Visa, Master Card, Cheque, EFT and AMEX (3% surcharge).
Refund: A deposit will only be refunded in full if a function is cancelled more than ten (10) working
days prior to the function date. If the function is postponed and rescheduled to be held within six
months of the original booking, deposits paid may be transferred.
Cancellation: If you cancel a function within ten (10) working days prior to the date of the
scheduled function, you will be charged a cancellation fee of 30% of the total cost of the function. If
you cancel a function less than 72 hours (3 working days) prior to the date of the scheduled
function, you will be liable to pay for to entire function amount.
Prices: All prices will be charged in accordance with the Geelong Football Club’s prices as at the
date of the Event Order. All prices are inclusive of GST.
Venue Allocation: The Geelong Football Club will endeavor to hold the function in the room
requested. Where necessary, The Geelong Football Club reserves the right to relocate any
function to another room within Simonds Stadium.
Simonds Stadium Major Events Clause: The City of Great Geelong (COGG), as landlord in the
lease of Simonds Stadium, has the right to book the stadium and all of its facilities for major events.
Should the event clash with an existing function room booking, The Geelong Football Club will
contact the function organiser immediately in an effort to assist in the relocation of the function to
where possible, another function room within the Stadium or if necessary in sourcing another
Venue. It is worth noting that this is a rare occasion, but one that the Geelong Football Club has
no control over and cannot accept liability for.
Function times: All functions must commence and conclude within the stipulated
timeframes outlined within the agreement. If a function exceeds the agreed timeframe,
additional hire charges will apply, payable on the night of the function.
Menu choices: The Geelong Football Club endeavors to ensure the menu ordered is available for
your function. Please note that some items on the menu may vary and be substituted with like
items due to seasonal availability or market fluctuations.
Indicative Numbers: The function organiser must provide the Geelong Football Club with
indicative numbers at the time of booking but no later than two (2) weeks prior to the date of the
function.
Final Numbers: Final function numbers for catering purposes are required seven (7) working days
prior to the date of the function. Please note that this will be the minimum amount charged and any
increases to these numbers during the week leading up to the function must be approved by the
Club’s Functions’ Department. If accepted, payment for the additional attendees must be paid for
prior to the function. No refunds will be given for guest reductions after final catering numbers have
been submitted. Should numbers not be provided to the Club’s Functions Department by the
specified time, the indicative numbers provided at the time of booking will become the guaranteed
guest count.
Dietary requirements: Please inform our staff of any dietary requirements that your guests may
have at the time of confirming your final numbers (7 working days prior to the function). Requests
for special dietary items that are made during the function may not be possible. If they are
requested and can be delivered at the time of the function there will be an additional charge for
these items.
Catering: The Geelong Football Club retains the right to provide all catering. No food or beverage
may be brought onto the premises without prior approval by the Functions Department.
Liquor License: The Geelong Football Club is a fully licensed venue. Guests are not permitted to
supply their own beverages. Our license ceases at 12:00am (except Sundays at 11pm, Good
Friday and Anzac Day between 1pm and 11pm). All persons are required to vacate the premises ½
hour after the bar closes. As part of our clubs responsible service of alcohol policy, we will not
serve shots, jugs of spirits or double spirits.
Surcharge: All functions held on a Sunday will incur a 10% surcharge. All functions held on Public
Holidays will incur a 20% surcharge.
Additional Hiring Costs: Additional equipment may be hired from Club Cats. In the event that
additional equipment is hired, fees and charges will be incurred by the function organiser
dependent on the type of equipment required.
Security: To ensure the safety of your guests as well as others, all events that are
scheduled to run for >4 hours and where alcohol is served are required to have security
present. The Geelong Football Club will arrange a registered ESM security controller at an
additional cost to the organiser at the following rates:


50-100 Guests:
100 Guests+:
1 x Guard required @ $40 Per hour (minimum 4 hours)
2 x Guards required @ $80 Per hour (minimum 4 hours)
The Geelong Football Club will determine the amount of guards required for each event based on
the type of function. Should additional Guards be required they will be charged at the above rates.
Smoke Machines: Smoke machines are not permitted for use in any function room at Simonds
Stadium. Should fire alarms be activated due to the use of any unapproved source, all associated
costs will be on-charged to the function organiser.
Smoking: The Geelong Football Club’s stadium is a non-smoking venue. Guests are only
permitted to smoke in the areas outside of the stadium specifically designated for smoking.
Due Care: The Geelong Football Club is not liable for any loss or damage of any items before,
during or after a function. You warrant that you will do all things necessary to ensure the safe
keeping of any items before, during and after the function.
Damage: To the extent permitted by law, the Geelong Football Club excludes its liability for any
loss (whether direct or indirect) incurred by you or attendees at the function. Furthermore, you
accept all responsibility (including financial) for any loss to the property and/or fittings of the Clubs
facilities during the function. Any such monies will be processed to the credit card on file.
Function Organisers: You warrant that you will conduct the function in an orderly manner, in full
compliance with all applicable laws (including Liquor Licensing Commission Laws) and Geelong
Football Club requirements. The Geelong Football Club reserves the right to exclude or eject any
or all, objectionable persons from the premises without liability.
I/We acknowledge, as the Function Organiser/s, that I/we have read and understood the
terms and conditions. I/we acknowledge that these terms and conditions are to be read in
conjunction with the Event Order and constitute the whole agreement with The Geelong
Football Club.
