Creating a Memorandum A memorandum, commonly referred to as a "memo," is a written letter intended for in-house use only; memos are not intended for use outside of the organization. Memos, like letters, have standard formatting elements. Memo Formatting There are a variety of formats for office memorandums: professional, elegant, or contemporary. The format that is selected should be reflective of the type of organization. The memorandum always contains the heading "Memorandum," or "Interoffice Memorandum." "Memo" can be used if the chosen format is contemporary. The heading should be noticeably larger than the rest of the memo text. The organization's logo can be added to the top of the memo for organization identification. The following items should appear below the memo heading: TO > Who the memo is being written to cc > (courtesy copy) Who the copy of the memo is being sent to, if applicable FROM > Who wrote the memo DATE > Current date SUBJECT > The subject of the memo Place a bottom border under SUBJECT. The content, or body, of the memo is typed below the border. The body should be typed in single spacing and double spaced between the paragraphs. Quadruple space after the body and type the memo writer's name. Signature Line As in a business letter, the writer of the memo must sign his name above his/her typewritten name. Reference Initials If the memo is typed by a person other than the memo writer, reference initials should be used. The memo writer's initials are typed in all uppercase followed by a colon. The typist's initials are typed directly after the colon (no space after the colon). (i.e., GWB:tlc) Memorandum Example Click on "Memorandum Example" for an example of a memo.
