General Accountability
The Student Advisor works collaboratively with the Manager, Student Success to provide
success supports for students in the areas of academic advising, awards and financial aid,
campus services referrals and academic orientation/outreach.
Nature and Scope
St. Jerome's University provides a culture and environment for employees that endeavours to
promote the mission of the University. Employees are expected to contribute to the larger
institutional goals and conduct themselves in a manner that fosters the prevailing sense of
collegiality among faculty, staff and students.
The Registrar’s Office at St. Jerome’s coordinates all activities relating to prospective students
and support for current students via student success programming in the areas of academics,
student awards and financial aid. The Registrar’s Office develops and administers the
recruitment program, is responsible for all undergraduate admissions, and coordinates joint
initiatives and procedures with corresponding units at the University of Waterloo.
The Student Success division of the Registrar’s Office is comprised of a Manager and Advisor
who focus on the holistic support of student success through advising, academic support
programming, student awards and financial aid. The Manager and Advisor work closely with
students on navigating their academic pathways and utilize a developmental learning approach.
Specific Accountabilities
Academic Success Advising & Support (100%)








Provides academic advising services to SJU registered students
Develops and maintains current knowledge of relevant curriculum and academic
regulations
Assists with the assessment and sign-off on relevant course override forms, plan
modification forms and petitions etc.
Develops and maintains an understanding of policies pertaining to student issues and
sources of support.
Participates in the planning, implementation and assessment of related academic
support and student development programs
Produces and maintains relevant advising tools (referrals, check-lists, pathway plans
etc.)
Provides financial aid advising services (in person, phone and email) to all current and
prospective St. Jerome’s registered students.
Develops and maintains current knowledge of University of Waterloo Student Awards
and Financial Aid regulations.








Develops and maintains an understanding of guidelines and processes pertaining to St.
Jerome’s scholarships and bursaries.
Administers the processes related to scholarships, fellowships and awards and
bursaries.
Participates in the planning, implementation and assessment of relevant events
Maintains relevant communications for St. Jerome’s Student Success Services.
Reports relevant metrics and institutional data on student advising, student awards and
financial aid, academic progression and retention.
Makes appropriate and timely student referrals to services and student supports at St.
Jerome’s and the University of Waterloo.
Fosters meaningful and collaborative relationships with St. Jerome’s students, faculty
and staff and relevant stakeholders at the University of Waterloo.
Assists the Registrars’ Office Team with recruitment events, academic service events
and activities
Working Conditions






Works University’s core hours
Regular office environment including utilization of various mediums of communication
including digital and print materials, telephone and email
May work other than traditional work day including evening and weekends
Represents the University at local or out-of-town events as required
Periodic lifting and carrying of parcels or deliveries
Active involvement in committees and teams as required to accomplish departmental and
institutional objectives
Qualifications Required





University degree, and 1-3 years related experience
Knowledge of the university environment and the undergraduate experience (and the
needs and concerns of students), with a strong understanding of the First Year university
experience and the transition issues associated with it
Facility with software programs, in particular Microsoft Office Suite, and specifically
Excel.
Strong organizational and communication and interpersonal skills
Demonstrated ability to work independently and as a member of a team.
