Dear Resident:
Welcome and congratulations on your choice to make the University of the Incarnate Word Housing your home
away from home for the 2012– 2013 academic year. UIW’s enrollment growth has also influenced the
increased demand for campus housing. Despite the additions of new residence halls, the number of students
who want to live on campus has already exceeded our capacity. Our desire is to honor every housing
applicant with an opportunity to have the convenience of living within close proximity to classes and campus
life. Thus, all housing applicants will be offered university housing.
Our goal is to engage all students in the culture and activities of UIW, especially new students and those less
familiar with the San Antonio community. We are working diligently as cancellations come in to assign rooms
to those who are still waiting for a room assignment. Please monitor your cardinal email account as we will give
you update housing information on June 15, 2012.
Currently, the number of students applying for housing exceeds our capacity. Please note that we do
currently have the option to live in housing that UIW has acquired at the Courtyard Marriott, 5.6 miles
from the campus OR have the option to break your housing contract without penalty (see option chart
below). Enclosed, please find the list of amenities offered at the Courtyard Marriott for UIW residents.








Please know that students housed at the Courtyard Marriott will enjoy the same privileges as main campus
residents, and more. The UIW Residence Life Administrative Team will manage and oversee resident
students and staff assigned to the hotel space. Courtyard Marriott residents will also have a Resident
Assistant (RA) who lives in the building and serves the same function as on-campus RAs. Please review the
enclosed Frequently Asked Questions document for more details about the policies, guidelines and amenities.
We are confident that we will be able to offer you comparable Residence Life services that will complement
your collegiate experience.
Please advise us which of the above options you would like by sending an email to
housing@uiwtx.edu. If we don’t hear from you by the deadline of June 15, 2012, you will not be
assigned a room for the Fall 2012 semester. Feel free to call us with any questions you might have about

Where is the Courtyard by Marriott located and how can I learn more about it?
The hotel is located on Broadway, just outside Loop 410, 5.6 miles from the UIW campus.

How soon will I get a room on campus?
As soon as possible. We know from experience that students change their minds about living on campus, or for a variety
of reasons, decide to leave the University before the end of the semester. As spaces in the residence halls on campus
are vacated, we will offer them to students at Courtyard by Marriott. Our plan is to relocate students to a residence hall
on campus by the beginning of the Spring 2013 semester.
If I am offered a room at Courtyard by Marriott and would prefer to wait until a room is available on campus, may I
get my deposit back?
Yes, we will return your deposit if you request it in writing by August 1, 2012 (this deadline only applies to student
assigned to the hotel). However, if you want to leave your housing application active with priority status for the Spring
2013 semester, you should leave your housing deposit with the University. Priority will be given in date order to
students who have a deposit on file.
How much will it cost to live at the Courtyard by Marriott?
The cost of a double room assignment in the Courtyard by Marriott is $3,740 per semester. The purchase of a meal plan
is optional for the semester you live at the hotel. If you wish to purchase a meal plan, you may purchase all declining
balance points in the denomination you desire.
Will financial aid cover my room at Courtyard by Marriott?
For financial aid purposes, Courtyard by Marriott rooms contracted by the University are considered UIW housing. If
your financial aid includes money for housing, your room at Courtyard by Marriott should be covered, but you should
always consult your Financial Aid Advisor. The room and optional meal plan are billed by UIW and payable at the UIW
Business Office.
Will I have a roommate at the Courtyard by Marriott?
Yes, most likely you will be assigned a roommate. All rooms are double occupancy and you will be notified of the name
and contact information of your roommate as soon as one is assigned.
May I pick my own roommate?
If you know another UIW student who is also awaiting a room assignment, you may request that person as a roommate.

When I am reassigned to housing on the UIW campus, will my roommate be assigned with me?
We will make every effort to assign your desired roommate. The actual assignment will depend on availability.
When I move from Courtyard by Marriott to a residence hall on campus, will the cost of my housing be adjusted?
Yes, your housing cost will be prorated according to the rate associated with your new on campus housing assignment.
You will maintain whatever meal plan you have selected (if any) until the end of Fall 2012 semester. In Spring 2013, the
meal plan charge will be charged according to your selection.
Will transportation be provided to and from Courtyard by Marriott to UIW?
The University will not offer transportation to and from the campus. The hotel provides a free shuttle to destinations
within a three mile radius (e.g Airport, North Star Mall, Quarry Market). A Student VIA Bus Pass is available upon
request. The VIA, route # 9 runs all day and evening and is convenient to the hotel.
What about parking on campus?
A UIW parking permit is required of all students and staff who park on campus. Residents of Courtyard by Marriott will
have the same opportunity as residents on campus and will be able to purchase a Resident (R) parking permit. The “R”
Permit allows the resident student to park in all legal spaces (not reserved, specially labeled, or coned) between
Broadway and the San Antonio River, in addition to spaces on the west side of the campus.
Where will I eat? What about a meal plan?
A complimentary hot breakfast will be served daily and is available to UIW residents of Courtyard by Marriott. A small
refrigerator and microwave are available in the rooms so that you can prepare your own snacks and meals. Additionally,
a number of restaurants are located within a few miles radius of the hotel; some are within walking distance.
A meal plan is not required of Courtyard by Marriott Residents. Residents have the option to purchase one of three
meal plans or dining dollars. The meal plan and dining dollars may be used at any of the six food service locations on
campus. The meal plans are priced per semester and are as follows: Plan E- $1900; Plan G- $1475; Plan D- $1050). To
select a meal plan or dining dollars, contact Joanna Arredondo, Residence Life Coordinator, (210) 829-6034 e-mail
housing@uiwtx.edu . The UIW dining dollars may not be used for purchases at the hotel.
How safe will I be in the hotel?
The hotel is located in a generally safe part of the city and is equipped with security cameras. The hotel is staffed 24
hours a day by hotel personnel. Hotel personnel provide security for the hotel. Students are expected to exercise
standard safety precautions as they go about their daily routines. Such precautions include, but are not limited to:
locking the door to their room at all times; safeguarding valuables and electronic card access key to the hotel room;
purchasing renters insurance; not allowing friends and others access to the room unless present (unless they are
authorized hotel staff ). In case of emergency, residents should call 911 and contact hotel staff immediately. They
should also notify the Resident Assistant on duty.
As a University student, what role will the Courtyard by Marriott staff have in my stay there?
You will contact the staff for the usual needs and services of any hotel guest staying there: maintenance issues, use of
the hotel facilities, concerns about housekeeping, etc. In addition, your RA is your liaison with the hotel, and any
concerns should also be addressed with him/her. The hotel staff is authorized to handle resident disturbances, illegal
activity, and infractions of hotel policy at their discretion and according to Courtyard by Marriott guidelines.
What rules or policies will I have to follow if I have a room in Courtyard by Marriott?
You will be expected to adhere to the terms and conditions of all UIW resident students. The policies are outlined in the
UIW Residence Life Handbook and the UIW Student Handbook. All students must also follow Courtyard by Marriott
guest policies.
Will I have a curfew?
No, UIW resident students do not have a curfew. Cohabitation is prohibited.
Am I allowed to have alcohol in my room?
Alcohol is not permitted in the possession of students under 21 years of age. Both residents assigned to the room must
be 21 in order to consume or have alcohol in the room. Alcohol is permitted if both residents of the room are 21 years
of age and those consuming the alcohol are of legal age. Illegal drugs are never permitted.
What should I bring with me?
Residents of Courtyard by Marriott will have the benefit of the hotel providing some things that students often purchase
for themselves. For example, the hotel provides a phone, alarm clock/radio, cable television; a microwave and
refrigerator; iron and ironing board; coffeemaker; and hair dryer. As in most hotel rooms, closet space is limited.
