Q.1. What is the estimated fountain volume for the last 12 months for Mountain Dew?
A.1. Approximately 128 BIB’s.
Q.2. If a vendor is rewarded preferred status, what portion of the business will they receive in each outlet? Will it be determined by cold space, displays, facings? Is that going to be a firm percentage (i.e. 75%, 70%)?
A.2. Please see Section 4.16 under “Possible Incentives” Proposers should identify what portions of space they desire in exchange for the compensation offered to the University.
Q.3. What about other products that are not included in the RFP like juices. Will these be part of the consideration in the bid? There is no volume tied to them specifically.
A.3. Fountain juices are not specifically included in this RFP. Proposer should discuss any optional products that would be offered to the University, including bottled juice and fountain juice.
Q.4. In the Union section Union South is estimating a 30-40% increase in volume when they reopen. How did you come up with that figure? Do you anticipate the volume coming from some of the other accounts near there (E2 Deli)?
A.4. The estimate is based on sales from the old Union South. Some area delis may be affected by the opening of
Union South, though with the opening of the WI Institute for Discoveries directly across the street there will be additional foot traffic around Union South.
Q.5. Who are the decision makers for the bid?
A.5. The Evaluation Team is not public record during the proposal period and evaluation period. The Evaluation Team is made up a key personnel affected by this contract.
Q.6. If our company provides funding who decides where it goes and how it is paid out?
A.6. Per Section 4.16 Parameters on Consideration Offered to the University d: Direct payments to the University cannot be offered as consideration.
Q.7. Who will enforce the contract at the outlet level. If a unit is not complying with the preferred company how will that be rectified?
A.7. Contractor should contact the Contract Administrator if a Unit is not complying. The Unit may lose any preferred benefits.
Q.8. Based on section regarding Important program qualifiers page 21, you state in d; no locations shall be required to participate in the program. Does this mean you may have a preferred vendor but that does not guarantee the space or volume?
A.8. If Preferred Contractor status is proposed and the University awards a Preferred Contractor, the enhanced access provisions established by the contractor will be guaranteed. The University may choose not to award Preferred
Contractor status if no proposal is sufficiently appealing. Preferred Contractor status would be awarded to one, and only one, Proposer.
The purpose of the Preferred Contractor option is to explore opportunities for more collaborative partnerships with contractors. The goal is to bring better value to the University and the Campus Community while offering opportunities for increasing volume and visibility to the awarded contractor.
It is up to the contractor to propose a program that is sufficiently appealing for the University to participate. The degree of University participation will be driven by the perceived value of the premium offered relative to the degree of special opportunity demanded.
-2-
The University will not guarantee sales volume, though proposals offering expanded consideration upon achievement of specified volume thresholds will be considered.
Proposals that require complete elimination of competitor products may not be well received. Proposals that allow a single distributors products and image to dominate, while still providing a means to offer competitor products demanded by the University in some manner may be considered if appropriate consideration is offered.
Q.9. When will we be notified of the need/desire for a live/oral presentation? When will the presentation take place?
A.9. If Oral Presentations are required we will try and give at least 7 days notice. At this time we do not have a set date for presentations.
Q.10. When will we be notified of the UW's final decision regarding a beverage supplier?
A.10. At this time we do not have a set date for award notification.
Q.11. When will the plans be made available for the new and remodeled locations discussed on pg. 2 of the
RFP? What are the related equipment requirements for these new facilities?
A.11. Both Housing locations are in the design stage and we do not have exact space available. Both the new Gordon
Building and the Lakeshore Building should have similar equipment requirements to the existing Gordon
Commons/Pop’s Club/Ed’s Express.
Q.12. Section 3.10 addresses the transferability of this contract to other campus locations. We may need to
exclude those properties that fall under the UW / Coca-Cola Athletics Agreement.
A.12. Athletics locations are not a part of this contract.
Q.13. Must a proposer submit a proposal to be a Preferred Vendor?
Proposers do NOT need to submit a proposal to be a preferred vendor. In order to be considered for award though, a proposer must submit answers to questions in Section 4.9 through 4.15, including the pricing they are offering the
University. If the Proposer would like to offer the University additional discounts for specific space or other considerations they should also answer questions in Section 4.16.
Q.14. Is current pricing available?
A.14. Current bottle and can pricing is available by email Dave Brinkmeier, BIB pricing is available at http://www.bussvc.wisc.edu/purch/contract/wp5087.html
Q.15. Under the scope of the RFP, it includes the residence halls, deli's ran by the WI Student Union, and two student unions. Does the RFP include the Division of University Housing Dining and Culinary services and all of the locations listed under that?
A.15. Yes. Housing, Residence Halls, Dining, are all the same department.
Q.16. When you say primary vendor, I am assuming you are open to a vendor providing a better price for items if we would have as an example XX% of space?
A.16. Yes.
Q.17. Are you open to having a primary fountain beverage vendor, and a different primary bottle and can vendor?
A.17. Yes.
Q.18. Am I correct in that all individual locations have a choice whether to participate?
A.18. Correct.
