AND PROMOTIONS

Guidelines for Fundraising Events and Promotions
LEGAL GUIDELINES:
1. Event/Promotion must comply with all relevant laws, including the laws of the State of New
Mexico.
2. If circumstances warrant, UNM Children’s Hospital, may at any time through its CEO,
Administrators or Executive Director of Development, direct you to cancel the event/promotion.
By signing the application, you hereby agree to cancel the event/promotion, if so directed, and
further agree to release UNM Children’s Hospital, Children's Miracle Network, and its officers,
directors, and employees from any and all liability and connection to any such action.
3. Event/Promotion should fit the mission and promote the appropriate image of UNM Children’s
Hospital and/or Children's Miracle Network.
4. Children’s Miracle Network is a North American non-profit organization dedicated to helping local
hospitals raise money for state-of-the-art care for children. “CMN” began in 1983, and has 170
member hospitals across the U.S.A. UNM Children’s Hospital is a founding member of Children’s
Miracle Network.
5. UNM Children’s Hospital and/or Children's Miracle Network cannot sponsor or endorse
fundraising events/promotions or products. Printed materials and other information should state
the “Proceeds will benefit UNM Children’s Hospital.”
LOGO GUIDELINES:
1. The UNM Children’s Hospital and/or Children's Miracle Network logo is a registered trademark
and cannot legally be reproduced without permission from the hospital.
2. The Development Office must review all promotional materials (including press releases,
public service announcements, scripts, poster, invitations, etc.) before they are used.
POLICY GUIDELINES:
1. All fundraising events/promotions for UNM Children’s Hospital and/or Children's Miracle Network
require advance written permission from the UNM Hospitals Executive Director of Development.
2. A hospital representative may be able to attend your fundraising event/promotion. Personal
involvement of the development staff will be handled as stated on the att ached form. Please
contact the Development Office at (505) 277-5685 as early as possible to schedule on our
calendar.

SPONSOR GUIDELINES:
The Sponsors agree to:
1. Call the UNM Hospital’s Development Office at (505) 277-5685 before approaching businesses
and corporations for assistance with the event/promotion. As many are already involved in
supporting UNM Children’s Hospital and/or Children's Miracle Network they may not wish to make
additional donations.
2. Submit a signed copy of the “UNM Children’s Hospital Application for Fundraising Event/
Promotion” to the UNM Hospitals Development Office for review at least nine (9) weeks before
event/promotion.
3. Obtain any necessary permits, licenses or insurance. Please attach completed copies to your
application.
4. Allow UNM Children’s Hospital to review any contracts required for the event/promotion in
advance of the event/promotion.
5. Indemnify and hold harmless UNM Children’s Hospital, the UNM Health Sciences Center, The
University of New Mexico and Children's Miracle Network, and all its officers, directors and
employees from any and all claims and liabilities in any way related to the event/promotion.
6. Notify and inform the public regarding any net or percentage amounts that will actually be
donated to the hospital.
7. Notify donors that the I.R.S. requires that all tickets, invitations or entry forms state what portion
of the contribution is tax deductible.
8. Advise the UNM Children’s Hospitals Development Office of any changes in the event/promotion.
9. Keep the expenses to less than fifty percent (50%) of the total raised, without prior written
approval of the UNM Children’s Hospital Development Office. NO EXCEPTIONS.
10. Pay any additional expenses if the event/promotion expenses are greater than the total co llected.
11. Provide, within 60 days after the last day of the fundraising event/promotion, a final accounting of
income and expenses to the UNM Children’s Hospitals Development Office.
12. Make checks payable to:

13. To establish a separate bank account if the budget for your fundraising event/promotion is greater
than $10,000. The title of the account should say “…to benefit UNM Children’s Hospital.” Only
event/promotion expenses may be deducted from this account and all donations are to be held in
trust for UNM Children’s Hospital.

UNM CHILDREN’S HOSPTIAL
Levels of Involvement for Special Events
Level I Events under $5,000
Sponsors:
Plan and run event with minimal assistance from UNMCH Development staff.
Staff:
Provide support materials, which may include a banner, canister(s), flyers, stickers and
other available information.
Write and distribute press releases
Provide staff visit/assistance on event day as appropriate (1 person)
Level II Events From $5,000-$19,999
Sponsors:
Plan and run event with moderate assistance from UNMCH Development Staff.
Staff:
Attend initial meeting to review plans and offer suggestions
Attend planning meetings (if appropriate)
Maintain contact throughout planning process to advise and monitor progress
Write and distribute press releases
Provide staff visit/assistance on event day as appropriate (1-3 persons)
Level III Events Above $20,000
Sponsors:
Plan and run event with maximum assistance from UNMCH Development Staff.
Staff:
Might recommend a third party Event Planner if appropriate
Attend initial and planning meeting to review plans and offer suggestions
Maintain contact throughout planning process to advise and monitor progress
Write and distribute press releases and Produce public service listings/announcements
Assist with solicitations and with volunteer recruitment
Defined clerical assistance (pre and post event) as negotiated
Produce donor and gift acknowledgements as appropriate
Provide staff visit/assistance on event day (1-5 persons, or as negotiated)
