EXECUTIVE DIPLOMA UNIVERSITI UTARA MALAYSIA RULES AND REGULATIONS EXECUTIVE DIPLOMA UNIVERSITI UTARA MALAYSIA RULES AND REGULATIONS The Rules and Regulations stipulated below are deemed effective from 1 January 2011 and govern the conduct of the Executive Diploma programmes offered by Universiti Utara Malaysia (UUM). 1.0 Preamble It is the intention of Universiti Utara Malaysia (hereinafter referred to as “UUM”) to offer the Executive Diploma Programmes (hereinafter referred to as the “Programmes”) for candidates who qualify to register for the Programmes. 2.0 General Admission Criteria 2.1 Only applicants who meet the following admission criteria shall be eligible to enroll in the Programmes: i) Possess at least three (3) credits at Sijil Pelajaran Malaysia [SPM] (or equivalent) level; and ii) Have at least three (3) years’ working experience, after completion of SPM/equivalent/any other higher qualifications; or iii) Possess any qualifications as may be deemed appropriate by UUM on a caseby-case basis. 3.0 Application Procedure 3.1 3.2 3.3 3.4 3.5 Applicants must complete the Application Forms provided by UUM. All application forms must be received by UUM at least two (2) weeks before commencement of Programmes. Only application forms which fulfill instructions stipulated in the application form shall be considered. Offer letters shall be issued by UUM to all successful candidates at least one (1) week before commencement of the Programmes. No candidate is allowed to commence class until official offer letters are received from UUM. 1 3.6 3.7 4.0 Any student who requests for the re-issuance of original offer letters and other related letters must make a written application. UUM will charge a minimum fee of Ringgit Malaysia Twenty (RM 20.00) up to Ringgit Malaysia Two Hundred (RM 200.00) for the issuance of each such document, if it is found that the request was made due to negligent loss of the original copies. Offer letters are only valid for a period of three (3) months from the date stated in the Offer Letter. A candidate who fails to register within this stipulated three (3) months will be deemed to have not accepted the offer. Student’s Fee Payment Policy Will be provided separately at Learning Centre. 5.0 Fee Refund Policy Will be provided separately at Learning Centre. 6.0 Details of Programme 6.1 6.2 6.3 6.4 6.5 6.6 6.7 7.0 The Programmes are conducted on a part-time basis at a venue determined by UUM. The Programmes are conducted on a coursework basis and shall comprise lectures, group-work, presentations, case studies, discussions quizzes and examinations. Full attendance for all modules is compulsory. Details of the various Programmes will be provided separately at Learning Centre. It is the responsibility of the students to attend the Programmes as per the schedule provided by UUM. UUM will not be responsible if attendance at the Programmes, in any way, adversely affects the performance of the student at his/her place of work. The medium of instruction for the Programmes shall be the English Language and/or Bahasa Malaysia only. Change of Programme 7.1 7.2 7.3 If a student wishes to change the Programmes from that which was originally offered, the student must make a written application to UUM, stating the reasons and justification for change before commencement of the third module. All requests for change of Programme must be accompanied by a payment of Ringgit Malaysia One Hundred (RM 100.00) only. No student shall be allowed to attend classes under the new Programme requested for until official notification is received from UUM. 2 7.4 8.0 A student is allowed to request for change of Programme once only during the entire duration of study. Deferment of Study 8.1 Candidates who have registered for the Programmes can request to defer their period of study by sending a written application to UUM, providing reasonable grounds for deferment request. UUM shall consider each request for deferment and arrange for the candidate to re-register for the Programmes at a time deemed appropriate by UUM. Nonetheless, a candidate shall only be allowed deferment for a maximum period of twelve (12) months from the date of application for deferment. Any request for extension of deferment beyond the total of thirty six (36) months (refer clause 9.1) shall be decided on a case-by-case basis by UUM. In the event a student fails to attend the classes as scheduled without prior written approval for a period of two (2) months from the date of offer letter or from the date of the last class attended, then the student shall be deemed to have withdrawn from the course and shall no longer be eligible to attend any further classes scheduled under the Programmes. 8.2 8.3 9.0 Period of Study and Workload 9.1 Students must complete their period of study not earlier than fifteen (15) months from date of registration for the Programmes. The maximum period allowed for completion shall not exceed twenty four (24) months, except in cases as mentioned in Section 8.2 above. A student is only allowed to attend one (1) module a month. 9.2 10.0 Residential Requirement All students may be required to fulfill a residential requirement of two (2) days in UUM, if deemed relevant. The costs of attending this residential module may have to be borne by students if deemed necessary. 11.0 Student’s Responsibility 11.1 11.2 It is the student’s responsibility to ensure that he/she attends each module for its full duration. Failure of a student to attend any or part of any module will automatically mandate the student to re-register for the said module at a time deemed appropriate by UUM. Students must submit an explanation in writing within one (1) week of the date of the schedule for the module, to UUM, giving reasonable grounds, for non-attendance. 3 11.3 11.4 11.5 11.6 12.0 Should no written explanation be received from the student within the time period stipulated above, UUM shall take any action on the student as may be deemed appropriate. Students are required to be attired in proper and formal dress code while attending classes. If a student has requested for a letter for withdrawal of EPF monies, it shall be the responsibility of the student to apply for the monies from EPF within one (1) month of receiving the said letter from UUM. Any request for reissuance of the EPF letter due to failure of student to process request with EPF shall only be made if the student submits a request and payment of Ringgit Malaysia One Hundred (RM 100/-) as stated in clause 3.6 above. Students, shall at all times, keep UUM informed in writing, about any change in address. Any notice required to be sent shall be deemed to have been sent and delivered to the address last given by the student. Assessment 12.1 12.2 12.3 12.4 12.5 Students shall be evaluated throughout their period of study for each module. Assessment can be in the form of attendance, participation, project-work, quizzes, examinations, assignments, etc. Assessment of the programmes will be provided separately at Learning Centre. All assignments and written examinations must be sent to the Learning Centre/lecturer by the due date set by the said lecturer. If the assignment is sent late, UUM reserves the right to give a fail (F) grade to the student or deduct marks given by the lecturer as may be deemed appropriate. Should UUM find evidences of plagiarism and copying among students, UUM reserves the right to give a fail (F) grade to all students involved. 4 13.0 Grading System 13.1 A student will be evaluated based on the following grades, grade points and mark scale: GRADE A AB+ B BC+ C D+ D F X GRADE POINT 4.0 (Excellent) 3.67 (Excellent) 3.33 (Credit) 3.00 (Credit) 2.67 (Credit) 2.33 (Pass) 2.00 (Pass) 1.50 (Pass) 1.00 (Pass) 0.00 (Fail) 0.00 I W 13.2 MARK SCALE 85 – 100 80 - 84 70 - 79 65 - 69 60 - 64 55 - 59 50 - 54 45 - 49 40 - 44 0 - 39 Barred from examination/submitting assignment Incomplete Withdrawn All grade points obtained by a student as stated in paragraph 13.1 shall be used to calculate the Cumulative Grade Point Average (CGPA) using the following formula: n K¡ M¡ i =1 n K¡ i =1 (n = number of modules K¡ = number of credit hours for each module M¡ = grade point for each module) OR Sum of (Total number of Credit hours for each module) x (Grade Point for each module) Total Credit Hours of Programme 5 13.3 13.4 13.5 14.0 A student who obtains a grade F for any of the modules may retake the module in order to obtain a better grade. However, only the latest grade obtained shall be computed towards the CGPA. A student who satisfactorily attended the module but could not take the examination but produces written and acceptable evidence, will be given an I (incomplete) status. Such students will be given a fresh opportunity to re-sit the examination/resubmit the assignment. An X grade shall be given to a student who is barred from taking the examination of any module due to failure to attend the scheduled classes. Pass Status A student must obtain a CGPA of 2.00 and above in order to graduate. 15.0 Appeal on Examination Results 15.1 A student who wishes to appeal against the results received for a module, must within two (2) weeks after the results have been made known, send his/her appeal in writing to UUM. 15.2 Any appeal sent must state the name of the module/modules for which the answer script(s)/assignment(s) is/are to be re-examined. 15.3 A payment of Ringgit Malaysia Twenty Five (RM 25.00) for every module must be sent together with the appeal (this amount is not refundable). 15.4 The Director of EDC will re-examine the paper together with the original examiner. 15.5 The student will then be notified about the outcome of the re-examination and decisions made are final. 16.0 Graduation UUM shall hold a graduation ceremony for the award of Executive Diploma Certificates to all students who successfully complete the Programmes at a date, time and place to be determined. 17.0 Powers of UUM For any provision not covered under these Rules and Regulations, the power to make the decision on such matters like withdrawal from Programme, referral etc. shall normally be dealt with in a manner deemed appropriate.
