Our clients include private companies, financial institutions and fully listed public companies with typical transactions falling broadly within the £10 million to £200 million 'mid-market' value range. Job Role: Client facing duties: Relief reception when required (we have a permanent receptionist) Preparing and clearing meeting rooms Meeting clients and showing them to meeting rooms Preparing and serving refreshments Helping to put together our brochures Checking Meeting Schedule Liasing with suppliers, maintenance companies Back office duties: Answering phones in a timely manner and taking accurate and detailed messages Assisting Support Services Manager and Marketing Manager Basic Accounting function, entering supplier/customer invoices onto Sage, reconciling credit card statement, expenses Extensive use of e-mail to communicate internally and externally Opening and distribution of all post, franking of outgoing post, fedex etc Ensuring all printers are stocked with paper Maintaining stationery levels and marketing literature Keeping stationery room tidy Assisting secretaries with printing and binding of presentation documents Assisting marketing manager with mailshots, liaison with printers, assisting at events Ensuring common parts are kept tidy Running of errands as and when required Travel arrangements and accommodation for group conferences or events Provide support to secretaries for work overflow when required Update in-house bespoke database system Book couriers, taxis etc Deliver The Person: Good team player with excellent communications skills, highly organised, articulate and confident Professional and Confident manner as Client facing Must be relied upon to treat all information (both verbal and written) in a confidential and sensitive manner Accustomed to working under pressure and for a demanding team Is self-motivated and uses initiative Flexible, committed to quality, effectiveness and accuracy Manages own time, pro-actively manages workload effectively and ensures deadlines are met Interacts effectively with Executives/Partners and other Team Secretaries and both internal departments and clients Excellent telephone manner Strong interpersonal skills, must be experienced and proficient in establishing strong relationships with clients and peers Basic to Intermediate skills in Microsoft Office packages, especially PowerPoint Excellent standard of written English, proof reading skills and great attention to detail when drafting documents
