Return a copy to the student. Contact the student by email and notify them of the concerns regarding Academic Honesty. Briefly explain the concern and request a meeting and/or an explanation of the incident. E.g. “Your submitted work bears an extraordinary similarity to that submitted by another student/to published work/… This appears to be inconsistent with Academic Policy http://www.senecacollege.ca/academic-policy/acpol-09.html” Meet with the student(s) to discuss and document the incident. Sometimes, an email exchange is sufficient. If multiple students are involved and one of them is unaware of others involved or insists on innocence, maintain the privacy of the students. If student has a valid explanation no further action is taken and no report need be filed. If student does not have a valid explanation complete this Academic Honesty Report. Have the student sign or email to acknowledge either the violation and penalty or that the incident was discussed. A mark remains pending until the committee has ruled. Encourage the student to document their explanation of the incident. If the student fails to respond, note the communication attempts with the student and submit the report Submit this report along with a copy of the course’s lab/assignment or test questions, highlighted/annotated documentation of the student’s work, evidence of dishonesty (e.g. SafeAssign report, code comparison, another student’s similar work, copy of or links to materials used without citation and reference, unauthorized aids), copies of emails to/from student, faculty actions taken, and any other relevant background to the Academic Honesty Committee Chair. PDF format of these items is preferred to paper. When possible, submit reports involving multiple students at the same time or, add a note cross-referencing students involved. Incidents occurring at the end of the semester When a potential violation of academic policy occurs on a final exam or last assignment and there is no opportunity to meet with the student or further investigate the incident prior to the end of semester’s promotion meeting, the following procedure should be followed: Submit a grade of INC (incomplete) for the student Contact the student by email to explain the incident and request an explanation (see above) If possible, meet with student(s) to discuss and document the incident Submit this report along with relevant documents to the Academic Honesty Committee (see above) Academic Honesty Committee follow up If the student acknowledges a violation of academic policy, the Academic Honesty Committee will apply the appropriate academic penalty in accordance with section 9.3 of Seneca Academic Policy and send a letter explaining the outcome to the student and the faculty member. If the student does not respond to an email request to meet with the committee or fails to appear without notice, it may result in a penalty in accordance with section 9.3 of Seneca Academic Policy. If the student does not acknowledge a violation of academic policy, the Academic Honesty Committee will meet with the student and the faculty as necessary to investigate the incident. The Academic Honesty Committee will send a letter explaining the results of the investigation to the student and the faculty member.
