GENERAL INFORMATION- REQUIREMENTS AND GUIDELINES
Pricing and Event Overages
Banquet prices are subject to change without notice. Twenty-Four (24) percent taxable service charge and eight
(8) percent state sales tax will be added to all food and beverage, function space, audio-visual, and miscellaneous
charges. Food and beverage are not permitted in Hotel function space from outside the Hotel. Any excess food
and beverage from a catering function is not permitted to leave the Hotel premises due to health liability reasons.
Any event extending past the contracted end time is subject to a $100.00 per hour fee. All overage, if any, must be
paid upon completion of the event unless previously arranged with the Hotel.
Timing and Weather
- Breakfast menus are valid 5:30 am – 10:30 am.
- Lunch menus are valid 11:00 am – 2:30 pm.
- Reception and dinner menus are valid beginning at 5:00 pm.
Buffet and Station pricing is based on a one hour presentation; for longer presentations, additional charges will
apply. Entertainment at outdoor functions must conclude by 10:00 pm; at indoor functions, by midnight.
For all outdoor functions a weather call will be made according to the following schedule:
- Breakfast functions: the evening prior
- Lunch functions: 9:00 am
- Dinner functions: 2:00 pm
Weather calls will be made by you upon the recommendation of the Event Manager and Banquet Captain. Should
you be unavailable, the decision will be made upon your behalf. Should the chance of precipitation be higher than
40 percent, the weather call will be made in favor of the indoor location by default.
Banquet Event Orders and Guarantees
Banquet Event Orders must be signed and returned to your Event Manager with your preliminary attendance
guarantees no fewer than 10 Business Days prior to your function date. A final guarantee of attendance at Group’s
Event is required by 12:00PM, three (3) business days in advance of Group’s Event. This will be considered a
guarantee for which you will be charged even if fewer guests attend, unless your attendance exceeds your
guarantee. If Hotel does not receive Group’s guarantee and if the Banquet Event Order is unsigned, Hotel will use
the estimated number of persons initially anticipated as Group’s guarantee, and the billing will be for the greater
of the following: (i) The number of persons for which the Event was originally booked, or (ii) The number of
persons in attendance. Function space is assigned by Hotel based on the number of persons anticipated. It is
Hotel’s policy to set 3% above the guarantee. Should the Group’s attendance increase more than 3% above the
final guarantee, the Hotel reserves the right to offer alternate menu options at a higher menu price in order to
accommodate Group’s last minute changes. Should Group decrease its attendance requirements, Hotel reserves
the right to charge or change, as applicable, rental fees and/or to reassign specific function space, provided the
revised function space can adequately accommodate the Event (or particular function at the Event) requirements
(as determined by Hotel).

GENERAL INFORMATION- REQUIREMENTS AND GUIDELINES
Alcohol / Smoking
As a licensee, Hotel is responsible for the administration of the sale and service of alcoholic beverages in
accordance with state laws and regulations. Therefore, all alcoholic beverages to be served in function space must
be supplied by Hotel. All alcoholic beverages to be served in Hotel’s function space (or elsewhere under Hotel’s
alcoholic beverage license) must be dispensed only by Hotel servers and bartenders. Hotel’s alcoholic beverage
license requires that Hotel request proper identification (photo ID) of any person of questionable age and to refuse
alcoholic beverage service if the person is either under age 21 or when property identification cannot be produced.
Hotel may also refuse alcoholic beverage service to any person who, in Hotel’s judgment, appears intoxicated.
California law requires that all alcohol sales will conclude at 2:00 a.m. (last call by 1:30 a.m.) in accordance with
licensing. Due to California law, smoking is only permitted in designated outdoor areas of Hilton San Diego Mission
Valley.
Unattended Items and Additional Security
Hilton San Diego Mission Valley cannot ensure, and will not assume any responsibility for damages to or loss of any
merchandise or articles left in the Hotel during or following Group’s function. Additionally, Hilton San Diego
Mission Valley shall in no way be responsible or liable for, the security of items left unattended in function rooms.
If Group requires security with respect to such items or for any other reason, Hotel will assist with making these
arrangements.
If, in the sole judgment of the Hotel, security is required to maintain order due to the size and nature of your
event, the Hotel may require you to provide, at your expense, security personnel. All off site security services must
be bonded and licensed in the state of California. Proof of insurability, naming the Hilton San Diego Mission Valley
and its Ownership, as the additional insured must be provided 72 hours prior to your event. All security personnel
to be utilized during the Event are subject to Hotel’s prior approval and shall be retained solely at Group’s cost and
expense.
Damage / Outside Vendors
You will be responsible for any damages done to the facilities during the period of time of your event, including the setup/ teardown, and for any persons that are under your control of contractors hired for your organization.
Should you choose to hire an outside vendor to provide any goods or services at the Hotel during the event, the
hotel requires proof of insurability naming the Hilton San Diego Mission Valley and its Ownership as the
additionally insured. This paperwork must be provided 72 hours prior to the event.
Promotional Materials
Nothing should be posted on, nailed, screwed, or otherwise attached to columns, walls, floors, or other parts of
the building or furniture. Distribution of promotional gummed stickers or labels is strictly prohibited. Anything in
connection, therewith, necessary or proper for the protection of the building, equipment, or furniture will be at
the expense of the Group. For your convenience, the Hotel has strategically located signage throughout the hotel
displaying meeting information and, upon request, will provide a reasonable quantity of easels for the Group’s
signage. The Hotel requests that all signage be limited to the meeting and lobby levels, and requires that all
signage intended for display in public area of the Hotel be professionally printed. Any requests for meeting specific
"branding" of the Hotel, including public areas, meeting levels, lobby, or guest floors must be submitted with
professional artwork to the Hotel for approval, at least 30 days in advance of arrival.

Shipping/Packages
Hotel is not responsible for storage or materials handling. Please ensure that prior arrangements for storage or
materials handling have been made with Hotel before any shipment of materials to the Hotel. If Group is
approved to ship packages to Hotel, Group agrees that (i) all packages shall be properly labelled with Group’s
name, the name of the Event, the dates of the Event and the assigned Event Manager’s name and (ii) packages will
arrive no more than three (3) business days prior to the start of the Event. Each box/package sent will be charged in
accordance with the following:
INBOUND PACKAGES:
 Standard sized box -- 11 ½ ”W x 18”L x 10”H, up to 20 lbs. @ $15.00 each
 Large/Oversized box -- Additional charges will be applied pending on size and weight.

 Large/Oversized box -- Additional charges will be applied pending on size and weight.

FORKLIFT USAGE (4 hour minimum):
 Forklift rental -- @ $350.00 per hour or part thereof
 Forklift labor -- @ $75.00 per hour or part thereof
