The Look of Entertainment (An Equal Opportunity Employer) Wedding Reception Planning Guide P.O. Box 5517, Kingwood TX 77325 www.thelookofentertainment.com or Telephone: 832-341-7464 or lookofentertainment.sw@gmail.com or 800-948-4039 FAX Your Wedding is one of the most important days in your life. On this day you have invited family and friends to come join you for this momentous occasion. When asked the Bride and Groom what they remembered most, the answer is the moment they said “I do”. When the wedding guests are asked the same question, usually the answer will be “The Reception”. Since every Wedding is unique, then every reception must also offer that special touch to enhance and compliment the wedding to make it the day you have always dreamed of. At ‘The Look of Entertainment’, from the moment we are selected to provide the entertainment for your reception until the very last musical note is played, we will be there for you. We know that hiring the DJ for a wedding requires so much more than just playing some music in the background; our role for most wedding receptions is to lead the reception based on your input with as much or little wedding tradition as you like. In most cases, we will work as many hours prior to your wedding helping to plan as we will for the wedding itself. Our Wedding Packages include all of this time built into the price and include any time we may need to coordinate with the venue or other service providers. Not only do we plan our service specifically to your wedding, but we also develop back-up plans for equipment and people to ensure that you can enjoy the festivities of your very special day without any worries of equipment failure or last minute mistakes. This easy to use guideline is a great way for us to start organizing your event. As part of every bid we can plan as much or as little as you like, we include unlimited consultation with us and we also provide in-home service if you would like to sit down and review the details in person. During the in home consultation we can listen to sound bites of the ‘special’ songs to help you pick out the ones perfect for you. The following is the basic flow: Gathering Music: These are the songs that we will play while the bride and groom are getting pictures taken and the guests are arriving at the reception venue. The Grand Entrance: Ether we can provide the narration, or we can let you designate someone in your party to make the introductions. These introductions can include the entire Wedding Party, Parents, Grandparents or whomever you have identified as the Stars of your special day. If you choose to have our DJ manage the introductions, we will work with you on the names list, the pronunciations and the order of entry. It is always a nice touch to describe 1 Wedding Reception Planning Guide – Rev. 3 – 5/1/11 how each person is related to the Bride or Groom, or any other short narrative to further personalize the event. The Typical Order is: 1. Ringbearer and Flowergirl 2. Parents of Bride 3. Parents of Groom 4. Bridesmaids and Groomsmen 5. Main (Matron) of honor and Best Man. 6. The Bride and Groom. During this time we will play music, typically it will not have vocals and should be an upbeat tempo. The Pre-Meal Transition: As the transition is made from introductions of the Bride/Groom to the Wedding Party and Guests gathering, visiting and finding seats, the background music is playing, and tempo is picking up. Toasts: As part of the event planning, we will work with you, if possible, to identify who will be giving a toast. In many cases this is the Best Man, Maid/Matron of honor and Parents. We are always prepared for someone to be a bit nervous speaking in front of crowds, so we help set them at ease. If you do not know ahead of time, we will work with the Wedding Party on the day of the event to be sure they have an opportunity to speak. Our wireless microphone system is great for letting people stand from their table instead of work their way to a fixed microphone. Soft music will be played in the background; we can also have some sound bites ready if appropriate, (laughter, applause, drum roll, etc.) Blessing/Grace: If applicable, we will introduce the Pastor, Rabbi, Family or Friend you have identified for the benediction/grace over dinner. We will not play music during this time. Dinner: Usually a soft music works best so that your guest can talk and mix during the meal. If it is a buffet style event then we can call the tables or this may be assigned to the wait staff. Cake Cutting: These songs here are festive and fun. The After Dinner Party: Here is a list of many of the popular Special Wedding Dances and Events. Bride and Groom’s first dance Father/Daughter dance Mother/Son dance Bridal Party Dance 2 Wedding Reception Planning Guide – Rev. 3 – 5/1/11 Generations Dance. This is where all married couples come onto the dance floor to dance based on the length of time they have been married. Bouquet Toss. Garter Toss. Garter & Bouquet – Catcher Dance. This starts off with a slow song followed by a dance song to bring everyone else back onto the floor. Dollar Dance. The Best Man and Maid of Honor collect money for a dance with either the Bride or Groom. Closing Dance: At ‘The Look of Entertainment’ we will never leave a party before it is officially over. If you only have a venue for a set amount of time, it is a good idea to select a Closing Song that can signal the end of the Reception. The Playlist: We will work with you to build a playlist suited just for you. We are prepared with thousands of songs in our digital collection, and via our mobile hot spot we have access to over 8 million digital songs. We will professionally mix the songs and take requests throughout the night. Our DJs are trained to read the crowd and keep as many people on the dance floor as possible. We slow down from time-to-time for your guests to catch their breath then kick-it up again. If you wish to have a mellower event then of course we can do that as well. Now relax and let us put together the reception of your dreams, we are ‘The Look of Entertainment’. 3 Wedding Reception Planning Guide – Rev. 3 – 5/1/11 Wedding Reception Planning Guide Name of the Bride and Groom: __________________________________________________ Wedding Date: _____________________________ Time: ___________ Wedding Location: ____________________________________________________________ Reception Location: ___________________________________________________________ Reception Start Time ________________________ Reception Must End at __________________ or ___ not specified.
