INSTRUCTIONAL/RESEARCH FACULTY HIRING PROCESS CHECKLIST This checklist is provided to help aid the instructional/research faculty hiring process for each unit/department. Check when Completed What is Needed All faculty recruit actions (instructional, research, and postdoctoral ) must be initiated via the eWork system at http://jobs.gmu.edu/hr. Once you have selected your finalist… a. Complete the Faculty Hiring Proposal form for the selected candidate. Prepare and submit the Hiring Proposal Packet for the selected candidate. b. Attach a copy of the candidate’s CV/resume, draft offer letter, and Request for Information form. In addition, if the delegation of signature authority exceeds the academic level, the original offer letter should be submitted for signature also. c. Submit complete hiring proposal packet through appropriate dean/director for approval. d. Approved hiring proposal packet should be submitted to the Personnel Project Manager (Kimberly Ford) in the Office of the Provost. (Mason Hall, D111 or MSN 3A2) Approval notification and extending employment offer to candidate. Once the Office of the Provost or appropriate VP and the Office of Compliance, Diversity, and Ethics approve the hiring proposal packet, the contact name identified will be electronically notified by the Personnel Project Manager that the offer can be formally made to the candidate. (NOTE: A complete offer letter should include the appropriate attachment(s) and the Request for Information sheet when sent to the candidate.) If the offer is declined (return to eWork and mark appropriate box) Notify Personnel Project Manager that the offer has been declined. Begin this process again for the next acceptable candidate. Submit the complete offer letter with original signatures and the Request for Information sheet to the Personnel Project Manager in the Office of the Provost. If the offer is accepted, submit the Original Signed Offer Letter (to include attachments) and Request for Information sheet to the Office of the Provost, MSN 3A2. Faculty Transcript *** If changes were made after approval had been granted, notify the Personnel Project Manager to determine if new approval is required. If warranted, a revised hiring proposal will need to be routed for changes to be approval. *** The Office of the Provost will release the completed hiring packet to Human Resources once all aforementioned documents are received and a copy of the approved proposal form will be returned to the contact identified on the hiring proposal form. A transcript showing the highest degree earned is required for all faculty. The original transcript should be sent to the Personnel Project Manager by the candidate. Once imaged, the original transcript will be forwarded to the hiring unit and a copy will be retained in their personnel file located in the Office of the Provost.
