ELECTIONS In preparation for the 2012-2013 school year, we are accepting nominations for positions on the P.T.A. Executive Board and the School Leadership Team (S.L.T.). All schools need a dedicated board to lead the way for a successful P.T.A. When families are involved in their children’s educations, schools and students benefit. As we all know, our students are more likely to succeed in school when their parents promote their learning outside the classroom. The P.T.A. is the main way for parents to get involved in their children’s schools. The Executive Board needs your commitment, time and energy to maintain our school’s high level of excellence. The P.T.A. Executive Board positions open for election are: President First Vice President Second Vice President Recording Secretary Corresponding Secretary Treasurer (these positions aside from Corresponding Secretary and Treasurer are available as individual or co-positions). The following *NEW* Chairperson Positions open for election for the 2012-2013 school year are: Hospitality Fundraising (there are 2 slots available for both Hospitality and Fundraising) *These are elected positions, but do not require fulfillment of Executive Board Members responsibilities listed on the following page.* Executive Board Member Responsibilities are as follows: 1. Executive Board members must attend all monthly Executive Board meetings as well as the general P.T.A. meetings. (Executive meetings are held 1 hour prior to the general meetings and are usually on Tuesday evenings). 2. You must “chair” at least one P.T.A. event. The President’s responsibilities are as follows: 1. Serve as a core member of the school’s S.L.T. 2. Represent the school at the District 25 President’s Council and CEC Meetings. 3. Preside over all meetings of the association and be an official member of all committees except the nominating committee. 4. Provide leadership for its members. 5. Appoint chairpersons of P.T.A. committees with the approval of the Executive Board. 6. Delegate responsibilities to other P.T.A. members and encourage meaningful participation in all parent and school activities. 7. Meet regularly with the Executive Board members in accordance with the bylaws to plan the agendas for general membership meetings. 8. Represent P.T.A. at monthly school Safety meeting. 9. Be a signatory on checks. 10. Assist with the June transfer of P.T.A. records to the incoming Executive Board. 11. Ensuring that all information regarding P.T.A. meetings and fundraisers is posted on eChalk. The Vice President’s responsibilities are as follows: 1. Assist the President or Co-Presidents and assume the duties of the Presidents in their absence or at their request; i.e., monthly School Safety meeting, presiding over monthly P.T.A. meeting or fundraising event. 2. Be a signatory on checks unless there are Co-Presidents. 3. Assist the Chairperson of the Membership committee. 4. Should be available to step in as a representative at the President’s Council and CEC meetings throughout the year. 5. New family outreach. The Recording Secretary’s responsibilities are as follows: 1. Serve as a recorder at both the Executive Board meetings and P.T.A. general meetings. 2. Custodian of the association’s record on school premises. The 1. 2. 3. 4. 5. Treasurer’s responsibilities are as follows: Be responsible for all financial affairs and funds for the P.T.A. Maintain a record of all income and expenditures of the P.T.A. Prepare and present copies of financial reports at all P.T.A. meetings. Prepare and provide the January 31st interim and June annual financial accounting reports. Prepare all financial records and assist in the June transfer of all P.T.A. records to the incoming Executive Board. The Corresponding Secretary’s responsibilities are as follows: 1. Shall be responsible for recording the mail received. 2. Preparing flyers and correspondence for all upcoming P.T.A. events and meetings and/or any pertinent information at the President’s or Co-President’s request. Hospitality responsibilities are as follows: 1. To liaison with P.T.A. Presidents in regards to purchasing and delivering all supplies and refreshments needed for monthly P.T.A. meetings. 2. Supporting and assisting Chairperson regarding necessary supplies needed for events. Fundraising responsibilities are as follows: 1. To create or come up with new fundraising ideas. 2. To seek out and forge community relations to enhance profitable ideas for the school. 3. Bring these ideas and considerations to the Executive Board for presentation where they will be discussed and voted on. All parents and/or legally appointed guardians of children attending P.S. 169Q are eligible to run for a position on the Executive Board. NOMINATIONS WILL BE CLOSED ON MONDAY. APRIL 23, 2012 AT 2:00PM We will not accept any nominations after 2:00pm. If you are running for a position as an Executive Board Member, please be prepared to give a 1-2 minute speech to introduce yourself to the general membership during the P.T.A. election meeting which will take place Tuesday, May 15th. The School Leadership Team (S.L.T.) positions open for election are: Parents Teachers (there are 3 parent positions and 2 teacher positions available) The School Leadership Team (S.L.T.) is compromised of 12 members – the Principal, Assistant Principal, 4 faculty members, the P.T.A. President and 5 school parents. The P.T.A. President or one of the Co-Presidents automatically serves as a core member of the S.L.T. All other parent member representatives shall be elected by the general membership. The team meets once a month, after school for approximately 2 hours. The term for all S.L.T. members is two years. The purpose of the team is to ensure that parents have a voice in important decisions being made in our school. The responsibilities of the S.L.T. are to develop and review our schools Comprehensive Educational Plan (CEP), including annual goals and objectives and to consult with the principal in developing a schoolbased budget and staffing plan aligned with the CEP.
