2000 ALUMNI ELECTION PROCESS
THE ALUMNI ELECTION PROCESS
Chapter delegates must be in good standing (financial member of NSBE-Alumni) and a
member of a chartered Alumni chapter.
 Chapter delegates and an alternate delegate are to register with their Regional
Parliamentarian or designee prior to the convention. If a single delegate will be
representing both chapter votes, please list their name and membership number twice.
 One week prior to the convention the six Regional Parliamentarians or designees will
e-mail the National Alumni Parliamentarian the Regional Delegate list with the active
chapters, financial delegates with an alternate, active chapters with no representative
at the convention, inactive chapters, etc.
 It will be the responsibility of the delegates to register with the National Alumni
Parliamentarian on-site at the convention (before the candidate speeches) in order to
vote. Anyone not checked in with the National Alumni Parliamentarian will not be
eligible to vote on Saturday. Delegates to vote on the Candidates and Alumni
document proposals

Elections Information Guide (Descriptions of the Elected and Appointed
Positions and blank Declaration of Intent forms) is located on the AE Web-site for
quick access. Intent form and statement can be e-mailed or US postal mailed to
the National Alumni Parliamentarian by the listed February deadline.

Election Handbook (Candidate bio and statement) Candidates are asked to
forward a paragraph of information to the Web Coordinator for the AE Web-site
prior to the Convention for members to review. The Handbook will include only
the Candidates Declaration of intent forms received prior to the convention by the
February deadline. On-site Candidates must provide the Alumni Parliamentarian
with their Declaration of Intent form and statement after the Friday alumni general
session prior to the candidate speech presentation. Anyone who fails to submit the
information will not be registered as a Candidate.
All Candidates and Delegates are required to attend the following meetings:





General Sessions
Candidate and Delegate Orientation
Alumni Forum and Candidate Speeches
Candidate Reception
Delegates are required to wear their DELEGATE Ribbon.

Candidates and Delegates roll call. Election ribbon to be given out if not received in
convention registration packet.
Additional copies of the Election Information Guide, proposal ballot issues and
Candidate Elections Handbook will be available. Two copies of each document
should be included in the chapter packets for the delegates.
Candidate Introductions
Confirm delegates that were pre-registered by the Regional Parliamentarian or
designee
Explain the delegate responsibilities (meeting attendance, voting, etc.) and go over the
convention schedule that pertains to the delegates/candidates
Review the proposal ballot issues and open the floor for questions
Green index cards to be provided for delegates to write down questions for the
candidate speeches question/answer session. Indicate what position the question
should be directed. Only one question per card.
Find out which delegates and or candidates are involved with the Career Fair or have
other obligations to attend at the convention
Candidate nominations will be taken from the floor at the alumni general session prior
to the candidate speeches after which nominations will be closed.
Candidate Speeches
 Candidates will be on the dais with a podium and microphone
 An overhead projector, screen and LCD will be available for presentations
 Each candidate to provide the Parliamentarian a hard copy, overhead slides (foils) and
diskette (please indicate the file name on the diskette) of your presentation prior to the
Friday Alumni General Session. This will be given to the person handling the
overhead projector and LCD for the speeches.
 Candidates will have a max of 5 minutes for their presentation
 The green index cards (question cards) will be distributed at the delegate/candidate
workshop, regional meetings, and at the candidate speeches. There will be two
people who will pass out and pick up the green cards at the candidate speeches. They
will also present the questions to the candidates. A few questions may be addressed
from the floor, if time permits. The position should be stated at the top with the
general question below. Questions are not to be “person specific”. Both candidates
must be able to address the questions directed at their position.
 The Chair-elect candidates will present first. Presentations are to be 5 minutes in
length. Candidates that have opponents will have 10 minutes for questions.
Unopposed candidates will have 5 minutes (2-3 questions).
 The time-keeper will indicate when you have 4 minutes, 2 minutes, etc. left for your
presentation.
 The presentation diskette and hard copy will not be returned. The National
Alumni Parliamentarian will give this information to the outgoing secretary for
the transition report.
 Tentative Schedule

Delegates will enter their votes using a paper balloting system. Only
Chartered Chapter Delegates are eligible to vote. Maximum of two
Delegates per chartered chapter registered with the National Alumni
Parliamentarian

Delegates will vote on the Alumni Ballot Issues.
The Election results will be announced at the Banquet (Saturday, time and date
TBA)
Winners are required to attend the Alumni Transition meeting (Sunday, time and
location - TBA)
CANDIDATES ARE NOT PERMITTED TO CAMPAIGN OUTSIDE THE VOTING
AREA (NO LITERATURE, ETC.)
