After approval to fill the position, select search committee and appoint chairperson. Send a copy of the approved request to the office of Human Resources to establish tracking criteria. Contact or meet with representative of Human Resources to review search process if needed. Review job description and create advertisement including request for unofficial transcript(s); develop and implement a recruitment plan. Advertisement must be approved by Recruitment Personnel in Human Resources prior to advertising. If you were notified this position is part of an underutilized job group, consider adding recruitment good faith efforts. Inform candidates that unofficial transcripts of all academic work will be expected before their application can be fully reviewed. NOTE: Also inform candidate that original transcripts will be required if offered a position with the university. Determine criteria for selection and point values to be assigned in the Faculty Applicant Selection Matrix. Develop interview questions related to selection criteria. Forward Faculty Applicant Selection Matrix and Interview questions to Human Resources for approval. Review all resumes in public folders For all tenure track positions: Recommend to the department chair and Dean candidates for phone and on-campus interviews. NOTE: No interviews (phone or “on-campus”) can be scheduled until approval is granted by Associate Provost. For all non-tenure track positions: Recommend to the department chair and Dean candidates for phone and on-campus interviews. Complete a Faculty Credentials Qualification Form (Q Form) for each candidate selected for interview (phone/on-campus). Forward Q-form, CV and transcripts (official or unofficial) to Dean. Approved credentials will be forwarded to the Associate Provost for Institutional Improvement for approval. Return candidate information to Department Chair/Dean with approval/disapproval for selected candidates to be contacted for interviews (phone/on-campus). Conduct telephone interviews with approved selected candidates. Notify candidates for on-campus interviews that a TWU Employment Application must be completed and turned in to Search Committee – on or before an on-campus interview will be conducted. Also notify them that reference checks may be conducted as well as background checks as the search continues. Verify that candidates have completed all degrees listed on Curriculum Vitae. Conduct on-campus interview(s). Collect the completed TWU Employment Application at the time of the on-campus interview. After receipt of same, check 2nd page of application at the top – yes or no to “contact current employer”. Candidate is required to answer. Collect and analyze evaluative data from interviews. Evaluation is based on selection criteria previously identified. Conduct three (3) reference checks on top candidate selected. Collect and submit ALL interviewees’ applications, questions and responses (telephone and on-campus interviews) as well as reference check information with search file. Recommend top candidates to department chair/dean providing a written assessment of the strengths and weaknesses of each candidate recommended. Complete Request to Appoint Regular Faculty form and forward with the recommendation and the complete search file to the department chair. With the file, forward the blank Faculty Applicant Selection Matrix with the names of the candidates interviewed on campus. Review Search Committee recommendation and make a recommendation to the dean. Complete and forward the Request to Appoint Regular Faculty and Hiring Evaluation Checklist with the complete search file to the Dean. Forward search file to Recruitment personnel in Human Resources to complete the background. Please note: out-of-state background checks may take several days to complete. The file should include the Hiring Evaluation Checklist, Selection Matrix, complete applications from all interviewees as well as, interview notes and reference checks. The Diversity Officer will review the search file and approve the Hiring Evaluation Checklist. Recruitment personnel will conduct the background check. Forward the completed search file to Academic Financial Services. Note – all documents are required before the search file will be forwarded. Forward to Provost to approve or deny request to hire. Make a verbal offer to the candidate selected. Remind candidate of need for official transcripts from all colleges/universities attended. Notify Provost, AFS & HR in writing if candidate verbally accepts or if declines. Include salary, moving expenses, etc. Advertisements will be removed from website(s). Send official letter offering appointment. Copies to AFS & HR.
