Maintenance Bidders

SUBJECT: Request for Information
1. Will the bid be reviewed as a total of all prices as listed on the bid sheet?
Answer: The CID reserves the right to award all bid items to one contractor or multiple
contractors based on the review of the submittal. Due to budgetary concerns and actual
bids, the CID may also eliminate bid line items.
2. It appears that the commercial properties along the primary and secondary areas
are being maintained by each individual business. What is the scope of work for
these parcels that are currently maintained by individual commercial owners?
Answer: The Work Area along all Primary and Secondary Roadways shall generally be a (12)
foot wide strip of land in the right-of-way beginning at the outside curb or end of roadway
pavement and be a smooth continuation ending twelve (12) feet beyond said curb or paving for
the entire Work Area regardless of whether the property is maintained or not by the existing
property owner.
3. Is the term “bi-weekly” defined as two times per month?
Answer: Bi –weekly is defined as every other week.
4. Is a chemical weed control and fertilization program to be included in the price for
the special landscaped areas; priced separately for primary areas; and not included
for secondary areas?
Answer: Weed control and fertilization programs should be included in the price for all
interchanges and special landscaped areas. However, bid item #11 is a completely
separate item and should be priced as such. To clarify bid item # 11 is defined as 12’ off
the curb when applicable, along all primary areas- business frontages, empty lots, etc.
5. Do you have a map of all of the areas that will be requiring service?
Answer: The areas/corridors requiring service are outlined in the bid form and defined in the
sample agreement.
6. Should bandit signs be trashed or turned over to the CID?

Answer: Any and all bandit signs found in the public ROW will be disposed of by the
contractor.
7. Are we supposed to include a separate per unit price for dead plant material
removal? Or include in our submitted cost? Answer: Removal of dead material shall
be included in the overall cost of maintenance for each area.
8. Please further define “weeded”? Is it okay to use chemicals or does the CID expect
contractor to hand pull? Answer: Contractor may use any means necessary to remove
or prohibit weeds.
9. There is no indication as to the depth of pine straw to be laid by contractors, What
Depth does the CID expect from contractors? (2 inches, 2.5 or 3 inches /
application) this will ensure accurate calculations & costs for the CID.
Answer: A minimum of 2” of pine straw is required.
10. Please further define “multi-phase” weed control & fertilization for sod & plants.
What is the minimum number of applications for sod & trees/ shrubs that the CID
is requesting? Answer: The Contractor is responsible for a weed free environment along
with a strong healthy stand of landscaping. As part of the bid, the Contract shall outline
the minimum amount of “herbicide and fertilizer” applications that is included in the bid
price.
11. Are we to include tree fertilization as well in our pricing or just sod & shrubs?
Answer: The Contractor is responsible for a full multi-phase weed control and fertilization for
all landscaping materials.
12. Reporting # of trash bags/ bandit signs- whom is filling the trash bags? (CID personnel,
contractor or volunteers, etc…?) Answer: As outlined in the scope of work, the Contractor is
required to provide weekly, bi-weekly, or monthly litter pickup as appropriate. Contractor is
also responsible for disposal of this debris as well as reporting monthly the # of bags/bandit signs
collected to CID personnel.
13. Will CID provide any forms to be completed & submitted or is contractor responsible for
providing? Answer: The CID will provide a form for the contractor to use in all reporting.
14. There is no mention of renewal pruning, plant materials at the 4 interchanges have massed
together and are starting to decline. Will you want renewal pruning to be considered in
this bid? Answer: Pruning of landscaping materials shall be as outlined in the scope of work.

15. Pine straw is stated as the mulch type, would you consider an alternate of dyed mulch for
the longevity it provides and it is fire retardant characteristics?
Answer: No, pine straw is the CID’s preferred ground cover material.
