Procedures for the Establishment and Recognition of a New Sports Club

Definition of a Club
The primary aim of the Sports Clubs of the University is to promote the social and
community life of the campus through sport. A Sports Club will always accommodate
some kind of athletic endeavour and/or competition or seek to support, appreciate and
promote athletic endeavour.
2) Criteria for Recognition
The primary condition for recognition of a Club is a commitment to activity that contributes
to the community life of the students of the University. It is expected also that the proposed
activity will enhance the reputation of the University and that the role of the proposed Club is
not already carried out by an existing Club.
3) Application Form and Constitution.
Students who wish to form a Club must complete an application form and set out a
Constitution for the Club (The application form and a constitution template are available from
the Sport and Recreation Unit or may be downloaded from the Clubs Handbook at
http://www.sports.nuigalway.ie/index.html ). The application form must be accompanied by


a programme of projected activities.
A list of fifteen students with ID numbers who support and approve of the
establishment of the Club. The completed documentation is returned to the Clubs
Development and Participation Officer.
4) Consideration of the Application for Recognition
The application for recognition is considered the University Sport and Recreation Union
Working Group (USRUWG). A representative of the proposed Club will be invited to make a
presentation on the application. The USRUWG then makes a formal recommendation to the
Vice President for the Student Experience to “Recognise” or “Not Recognise” the proposed
Club. The decision of the Vice President is conveyed to the applicant by the Clubs
Development and Participation Officer. The decision of the Vice President is final.
Where granted, Recognition is provisional for one year at which point the status of the Club
will automatically be reviewed by the USRUWG with a view to approving full Recognition of
the Club. An application for Recognition usually takes about two months to process.
