OBJECTIVE:
It is the objective of the Work Study Student Employment Program to:
1. Provide an opportunity for valuable work experience.
2. Encourage principles of teamwork, community and responsibility.
3. Provide an opportunity for financial assistance.
ELIGIBILITY REQUIREMENTS:
1. All students must be registered for classes in order to participate in the Student Employment Program.
2. Incoming student employees for Fall must be registered for 12 credits or more, and have paid their tuition
deposit in order to work during the Summer or Fall semesters.
3. Existing student employees for Fall must be registered for 12 credits or more between the Summer and Fall
semesters in order to work during the Summer or Fall. Existing student employees for Winter/Spring must be
registered for 12 credits or more to work during the Winter/Spring semesters in order to work during
Winter/Spring.
4. Students who have received an offer for a federal work-study grant as part of their financial aid package will
take priority in terms of placement.
5. All students must be in good financial standing and be in good academic standing, which means maintaining a
minimum cumulative Grade Point Average of 2.0 or higher.
APPLICATION PROCESS:
1. Apply for financial aid. Complete the FAFSA (Free Application for Federal Student Aid) application and indicate
on that application that you would like to be considered for work-study. The FAFSA application is available online at http://www.fafsa.ed.gov and in the Student Financial Services Office, FH Room 106.
2. Apply for student employment. Complete the Work Study Student Employment application, which is available
in the Human Resources Office, KSC Room 011.
3. Submit your application to the Student Employment Representative.
INTERVIEW/PLACEMENT PROCESS:
Meet with the Student Employment Representative who will conduct the initial screening to review your
application and qualifications. The Representative will direct you to the appropriate Student Employment
Supervisors who currently have available positions.
Meet with the Student Employment Supervisor who will conduct an interview to review the position, as well as
your available hours and qualifications.
If you are hired, you must return to the Human Resources Office immediately to complete necessary paperwork
and to submit required identification. You are not permitted to work until your paperwork is complete.
International students must follow the same guidelines; however, if you do not have a social security number, you
must apply in person at the Social Security office in order to obtain a social security number. You will need to

submit to Social Security office a letter from both the International and Student Employment Offices stating that
you have obtained an on-campus position. As soon as you receive your social security number, return to the
Human Resources Office to complete necessary paperwork and to submit required identification. You are not
permitted to work until your paperwork is complete.
CONDITIONS OF EMPLOYMENT:
The maximum amount of hours permitted to work by a student in a one-week period is 20 hours.
No student who maintains F-1 Visa status will be permitted to work more than 20 hours during the Fall or Spring;
however, F-1 Visa guidelines allow additional hours during Winter or Summer, if deemed necessary and approved
by the Executive Director of Human Resources. Violation of the maximum hour rule will result in disciplinary
action up to and including loss of opportunity to participate in the Student Employment Program.
If you work six or more hours consecutively, then you must take a half-hour break without pay. This break must
be entered on your timesheet. If you work more than 4 hours consecutively, you must take a 15-minute break
with pay. Inaccurate time sheets will be returned and will delay processing.
As is expected of all Dowling College employees, the student worker is expected to:
 Be punctual and adhere to your work schedule. You will need approval for a schedule change.*
 Be courteous and respectful to all Dowling personnel and customers.
 Dress appropriately for your assignment.
 Be productive and effective. Complete duties as assigned in a professional manner in the time constraints
defined by your supervisor.
 Be accountable for your work. Communicate the progress of projects and assignments openly with your
supervisor.
 Respect confidentiality. You must respect the confidentiality of all records that you come in contact with
through the nature of your assignment and abide the Family Educational Rights and Privacy Act (FERPA)
confidentiality guidelines.
*If an emergency arises and you are unable to report to work, you must contact your supervisor. If you are
unable to contact your supervisor, contact the Student Employment Representative at (631) 244-3062.
CODE OF CONDUCT:
The following behaviors will be cause for disciplinary actions including, but not limited to, elimination from the
Student Employment Program:
 Unprofessional conduct.
 Inappropriate computer usage.
 Falsification of student employment time sheets.
 Failure to do work assignments in a timely fashion or follow instructions.
 Working unauthorized hours.
 Breach of confidentiality requirement.
 Excessive absences or tardiness.
 Unauthorized use, defacing and/or theft of school property.
A student may be referred to Ms. Ronnie MacDonald, Vice President for Enrollment and Student Services, for any
actions that are considered to be inappropriate.
PAYROLL:
Students are paid strictly on an hourly basis. If a student misses any time because of illness, holiday, building
closing or any other reason, the student cannot be paid.

Students are required to fill out a timesheet on a daily basis. Enter your name, department worked, hours
worked and sign your timesheet. Leave your timesheet with your supervisor to verify and forward to payroll
every other Friday following payday. Timesheets received late or that are not complete (inaccurate, not dated,
not signed, corrections not initialed) will be returned for correction, which may cause delay in processing.
Student timesheets are available in each department.
