Harbin Cold Zone Expo Harbin Cold Zone Expo 2014 (HCZE 2014) is a large, professional and comprehensive trade fair hosted by Harbin Municipal People’s Government and organized by CCPIT Harbin Chapter and Harbin Great Wall International Exhibition Co., Ltd. As a major economic and trade sub-event in the 30th Harbin China International Ice and Snow Festival, a national-level festivity, Harbin Cold Zone Expo 2014 is scheduled to happen on January 5 – 8, 2014 in Harbin, a northern city in China known as the “summer resort and ice city”. It is expected that more than 500 Chinese and overseas exhibitors will show up in the 22,000-m² exhibition space (with 1,200 international standard booths) in the year beginning of 2014. Harbin, located in the cold zone, is a representative city known for its special market, featured resources and prominent comparative advantages. By hosting HCZE, the city hopes to take use of its unique location and climate; highlight its features of cold zone and fertile land; organize activities to promote the cold-zone cities in the world, launch their new products, display their images, and advertise their tourism; and push forward cooperation and exchanges in such fields as economy, trade, science, technology, culture and tourism among these cold-zone cities. (2) Considering the needs of fire prevention/control and exhibiting effect, space coverage of exhibits should be at least 1.5 times that of total projected area. (3) Exhibitors wishing to install specially-designed or abnormally-shaped stands should submit the design sketch of the stands in advance. Exhibitors wishing to make special performance or other types of promotions should submit programs of such promotions in advance so that the Organizing Committee can make unified plan and arrangement. The deadline for the above-mentioned submitting is on December 20, 2013. (4) Exhibitors in all non-standard exhibition stands should pay installation management fees for the specially-designed stands: RMB 20/ m² (electricity charge not included). 1. Reception by Harbin Municipal People’s Government: It is planned to start at 18:00 on January 4, 2014, to which Chinese and overseas VIP participants will be invited. 2. Opening Ceremony: It is planned to start at 09:00 on the morning of January 5, 2014 in Harbin International Convention, Exhibition and Sports Center. Provincial and municipal leaders, Chinese and overseas participants and principals of HCZE member institutions will be invited to the Opening Ceremony. 3. Inter-regional cooperation and exchanges: For the purpose of enhancing cooperation and promoting regional economic development, cooperation and exchanges will be encouraged among Chinese and overseas cold-zone cities to promote complementary economic advantages among regions. 4. Promotions: Participating cities and organizations from home and abroad, based on their respective advantages, can promote their investment opportunities and projects, industrial layout, current industrial development and prospect to trigger the enthusiasm of Chinese and overseas businesses and build up their confidence in cooperation. 5. The host and organizers will make HCZE 2014 Journal, which adopts imported color art paper. With both scripts and photos, the Journal will provide information about HCZE 2014, exhibitors and their products. Exhibitors are asked to submit their profiles, product introduction, addresses, telephone and fax numbers, post codes and contacts, etc. (in no more than 300 characters or words) to the Organizing Committee via fax, e-mail or mail. Furthermore, the Journal is the exclusive promotional material of HCZE 2014 providing relevant information about the event and industrial exchanges. Besides, it also functions as the long-term carrier of ads. Exhibitors are asked to submit the ads application and relevant materials to Ads Department of the Organizing Committee before December 20, 2013. To ensure the exhibitors get better results in HCZE 2014, the host and organizers will designate ads spaces of all kinds in and outside the exhibition venue, in its periphery and along major streets in the city. To help exhibitors promote their images, expand the brand reputation and improve their market shares, the Organizing Committee is now trying to sell the naming right. Exhibition applicant should fill in the Application, leave common seal on it and send it to the Organizing Committee via mail, e-mail or fax; 2. After receiving the Application, we will send you the bill of 30% of the stand rental as the down payment; please remit the down payment to the account designated in the bill within 3 working days and fax the copy of the payment document issued by the bank to us; 3. After receiving the 30% down payment, we will provide you with a confirmation document for the exhibition and send you the bill of the remaining fees sometime before the HCZE 2014 starts; 4. Please pay the remaining fees before December 15, 2013. We will provide you with relevant materials including Exhibitor Directory; 5. When submitting the Application, please send us the exhibit samples or manuals for us to put you in the proper section and make preliminary promotions; 6. The Organizing Committee allocates the stands in the principle of “first comers choosing first and large-size stands are prioritized”; 7. The application deadline is December 15, 2013. The Organizing Committee might not publish the company profiles of those applicants that submit the application after the deadline on the Journal; and 8. Attention: the down payment will not be refunded if you cancel the application. 1. When registering, representatives of exhibitors should submit one 2-inch color portrait photo to be pasted on the Exhibitor Pass. The Exhibitor Pass can be used by the holder only and no extra copy is provided in case of loss; 2. The stand installation should be made at 08:30–17:30 on January 3 and 4, 2014 (lasting two days). If installation cannot be completed within the designated period, exhibitors can apply for earlier installation and extra hours at night. Please submit written application before December 20, 2013 and discuss with the Organizing Committee about the earlier installation; 3. To safeguard the interest of the exhibitors and ensure smooth business talks, no loud sound (maximum 50 dB) is allowed in the exhibition venue. For the sake of management, exhibitors taking in the audio system should pay penalty deposit for excessively loud sound: RMB 3,000/unit. Exhibitors violating the rule about loud sound and receiving one warning will be fined RMB 1,000 (deducted from the penalty deposit). Those who receiving more than 3 warnings will be deprived of the right to use electricity in the exhibition venue; 4. In the process of HCZE 2014, the exhibits, in principle, should not be taken out of the exhibition venue in the midway for the sake of overall exhibition effect, visitors’ interest and business talks; 5. The Organizing Committee helps exhibitors employ translators, models and other temporary staff who must be paid by the exhibitors; 6. The Organizing Committee helps with exhibit shipping and customs clearance of overseas exhibits, and helps exhibitors design, produce and install specially-designed stands with the cost covered by exhibitors; 7. The Organizing Committee helps exhibitors organize press conferences, product promotions, business talks, theme workshops, procurement, marketing and other economic and trade activities with the cost covered by the exhibitors; 8. If exhibitors need to deliver business invitations, please provide the list of those to be invited. The Organizing Committee will send the invitations on your behalf; and 9. The Organizing Committee helps exhibitors book the designated hotel rooms at discounted prices and book return tickets for them.
