Members declaring that they are running must submit the following information in hardcopy to Ted Elnekaveh by March 19 at Midnight: 1) Name 2) E-mail 3) Position he/she is running for 4) 250-word or less statement about what he/she will do if elected to the position, specifically in terms of improving the organization A qualifying interview will be conducted prior to the Elections Meeting with President and Executive Vice President, Greg and Ted. The location will be announcned in an email to candidates confirming interview times. Interviews will be set up on an individual basis (on March 21 and March 22) and are intended to get to know candidates, discuss statements, and see that candidates fully understand positions. When you submit your entry please give us at least 3 hours on both March 21 and March 22 when you can meet. Candidates must be present at the Elections Meeting (March 25) to give 3-minute speech to membership. No exceptions! Positions will be elected in the order they appear in this packet. Voting will take place for one position and then all votes will be counted immediately following the candidates’ speeches for that position. For example: President candidate speeches; voting; count all votes; announce winner THEN Executive Vice President candidate speeches; voting; count all votes; announce winner, etc. Each member receives one ballot per position and can vote for only one candidate per position. Write-ins will not be accepted. Lastly, Election Procedures & Guidelines are subject to change at the discretion of the Executive Board. Good luck!* OFFICER DESCRIPTIONS All officers will be required to attend biweekly Executive Board meetings held on Tuesdays at 8:00pm and general meetings held on Sundays at 7:00pm unless otherwise specified by the President. The responsibilities listed below are the primary duties and are subject to change. The time commitment has been estimated to reflect time spent at meetings and duties of the position. President Time commitment: 6-12 hours/week Leads officer meetings and general meetings Develops agendas for all meetings (e-board and membership) Generates new ideas for the club with the Executive Vice President and E-board Works with Executive Vice President to create a temporary full-year schedule of meeting content and outside activities/workshops prior to September; addresses timing and logistics Registers organization in the fall with MSA; acts as main contact to MSA Assists with MSA funding application process Oversees all VPs and communicates on a weekly basis; meets one-on-one with individuals when necessary Communicates daily with Executive Vice President about club and E-board issues Ensures that the Executive Board is setting goals, staying on track, and preparing for upcoming events by being “one step ahead”; always making certain the club is moving in a positive direction Oversees business school list provided to admissions Maintains contact with advisor; meets with advisor as needed Participates in all activities and events, including those focused on recruitment and sponsorship Solves problems when they arise and mandates votes by the E-board on specific issues Tracks progress of E-board during the summer Attends MSA-sponsored workshops and events Attends committee meetings to check progress and sit in on important discussions Executive Vice President Time commitment: 3-6 hours/week Assist and advise the President with any duties he/she gives you Typically previous E-Board experience is preferable b/c a general understanding of how the club operates is needed; this is mostly because you and the President make the final decisions on club activities and are ultimately responsible for the club’s actions Run the general and executive board meetings when the President is absent For Next Year: Take up the Philanthropy actions of the club Expand and oversee all committees State Ambassador Time commitment: 2-10 hours/week Act as liaison between U of M chapter and State level Organize Fall Leadership Retreat, State Conference, and National Conference o Responsible for all registration procedures and planning of these events o Attend monthly or bimonthly meetings (various locations) with the state level for planning and communication purposes; may require overnight meetings, costs paid o Organize transportation for these events, except National Conference Must attend both the Fall Leadership Retreat and the State Conference Help with statewide fundraisers Vice President of Professional Development (2 positions available) Time commitment: 4-8 hours per week Maintain professionalism Recruit guests speakers (over the summer), including contacting the speaker, sending him the speaker guidelines, meeting the speaker ahead of time and sending thank you letters Make sure guest speakers are comfortable at the meetings; introduce speaker Plan all activities for meetings to coincide with the guest speakers; includes making sure they are agreed upon by E-board in enough time to get copying done Help plan preparation events for state and nationals Obtain feedback from the members as to how they have liked the guest speakers Maintain a contact list of speakers from year to year (i.e. who was good/not good) Stay in touch with Ann Arbor Chamber of Commerce; promote these events at meetings Select and run a PD Committee which will help get guest speaker contact info, attend AA Chamber meetings, introduce speakers, organize activities/workshops, and help plan end of the year meetings Provide VP of Communications with timely updates about workshops and meeting information for website updates Vice President of Finance Time commitment: 2-6 hours per week Depositing and managing membership dues Registering members with state and national chapters Reimburse other e-board members, retrieve balance statements (and other weekly commitments through SOAS) Create a budget, apply for MSA funding, and reimburse DEX through MSA Create a Fundraising Committee to help generate and implement fundraising ideas Continue implementing and improve current fundraising project (Business Sponsorships)—this should be a major objective for next year. Form an outlined budget of what prospected fundraising should go towards Help generate mass-member participation in fundraising events Vice President of Communication Time commitment: 2-4 hours per week Maintain the website and create the club scrapbook for presentation at State Conference (primary duty) Update webpage before meetings to reflect new speakers and agenda Take pictures or form a committee to take pictures for use on both website and scrapbook Develop a CD-Rom with pictures and video to be given away to members at the end of the year Requirements: Update webpage before meetings to reflect new speakers and agenda Know how to code in HTML or use another program like Dreamweaver to manage webpages Be familiar with the U-M Secure Shell program; know how to change access permissions for directories Be able to use Adobe Photoshop or some other graphics editing program to design graphics for scrapbook and website Have a camera or find a member who would be willing to take pictures Vice President of Member Development (1-2 Positions) Time commitment: 2-5 hours per week Spearheads fall recruitment and promotional ideas Make contact with high school DECA programs (in April/May) Oversees Member Development Committee, which promotes DEX through flyering, emailing, table tents, high school visitations, and other advertising means Registers the club for Festifall; develops schedule to staff day-long event Serves as liaison between membership and E-board Plans social activities Creates bimonthly surveys to gather feedback from members; compiles data and distributes to appropriate E-board members Suggests new ideas to develop and unify membership Purchase and package complimentary materials for members who attend State Conference Secretary Time commitment: 2-4 hours per week Keep attendance records for the club Maintain database of all the members and information collected from member contracts/sheets at beginning of year Create a membership contract Handle all room booking Take meeting minutes at all E-board meetings and send promptly to the E-board Write and send all reminder e-mails to the club Answer general membership questions
