Checkout Procedures

All residents must schedule a check out with an RA before leaving campus (now or at any point over the summer).

Residents must sign up for their checkout at least 48 hours in advance of their intended departure. Residents should attempt to sign up with their RA first; if their RA’s availabilities do not meet up with the student’s intended checkout time, they should sign up with another RA.

Please note that if you fail to sign up for an appointment 48 hours in advance, the RAs are under no obligation to squeeze you into their schedule and you will be subject to

improper checkout charge ($50).

By the time of the checkout appointment the student MUST complete the following:

□ Remove ALL personal belongings from the room and public spaces (includes fridge, kitchen, laundry, computer room, lounge, etc.).

□ The room and the hallway area around the room must be cleaned including floor, closets, drawers, and furniture surfaces. Private bathrooms must be cleaned.

□ Properly dispose of trash; sweep/vacuum. DO NOT PLACE TRASH IN THE HALLWAY OR OVERLOAD

TRASHCANS. ALL TRASH MUST BE TAKEN TO THE DUMPSTERS. o Large roll-off dumpsters will be on campus by South/Riddle and by Prentis/Disert 5/9-6/14. Failure to follow disposal guidelines will result in community and/or individual fines.

o No “donating” in public areas of the halls. If you are “gifting” something to another student, give it to them directly; they must take it to their room. If “donations” begin appearing in the public spaces, community fines will be assessed. o There are many donation centers in town - please keep usable things out of the landfills! Donate your items to one of the shops on Main Street or in the area. o We have also started an online Community Swap event on the Wilson College Residence Life facebook page. Feel free to join in & post your items!

□ All windows are closed and locked.

□ All room surfaces (furniture, windows, walls, ceiling, etc.) must be clean of all tape, marks, hooks, adhesive and tacks.

□ College-issued mattress pads, curtains, shower curtains, etc. must be present at the time of checkout.

□ Furniture is returned to its original position (beds unbunked and on their lowest setting). Microfridges must be defrosted & cleaned. The microfridge & loft companies will be through after Commencement to pick up.

At the checkout appointment, the RA will review the checkout list (above) with the resident, encourage the resident to complete anything not done, and note any work orders the student mentions. The RA will then collect the resident’s room key. They will then close & lock the room door and the resident is then expected to leave the building.

Failure to sign up for a checkout 48 hours in advance, show up for the checkout appointment, or have room prepared for checkout appointment may result in an improper checkout fine ($50). RAs have been instructed to only wait 5 minutes from the time of the checkout appointment - if you are not at your room in that time, they have permission to

move on. If you sign up with an RA outside of your building, make sure to clarify if you need to meet them at your room or at the building entrance!

Students are responsible for any charges related to damages to the room, improper checkout, failing to return their room key, or any common space issues. Residents share responsibility for room damage – the charges will be divided by the number of residents sharing the space and applied to their student accounts. If only certain individuals are responsible, they must contact Sherri directly by email before charges will be removed from the others’ accounts. The students who take responsibility will take on the entire charge amount. You cannot blame others - they must step forward to take responsibility.

The Directors of Residence Life, Housekeeping, and/or Physical Plant will inspect rooms after closing to determine final damage charges. RAs DO NOT assess damage charges - they cannot tell you whether or not you will be charged for damages. Students will be notified of any damage or checkout charges or community fines within two weeks of hall closing via their Wilson email account . You have two weeks from the date of the email to appeal the charges. Appeals must be sent via email to Sherri Sadowski , Director of Residence Life.

Summer Storage

For students living on campus next fall, there is limited summer storage available. Storage is on a first come basis and is not

guaranteed. Storage is available by RA appointment May 3 - 18. Storage closes for the summer Sunday May 18! No

exceptions! Sign up/Arrive early! Storage is by RA appointment only - no access through other staff! You must sign up at least 48 hours in advance. Start with the current RA of the floor/hall you are assigned to in the fall. If that RA is not available contact other RAs.

All items must have a College Storage Label (provided at the storage appointment) displayed prominently in a noticeable location on the item and be logged in by an RA.

Only students with a signed fall 2014 room agreement are permitted to store their belongings. Students must store

in the building they are assigned to for Fall 2014. Students studying abroad for fall semester but returning spring semester can store in their current hall (needs to be approved by Sherri first). Students can only place their own items into storage (only the student checking them into storage will be permitted to sign them out in the fall). o South residents store in the South loft (4 th floor); Riddle residents store in the Riddle basement; Disert residents have storage rooms on each floor. o International students must arrange access to International Student Storage (on the Platform) through Paul

Miller. RAs and other staff cannot access this space. Please plan well in advance! o Mac/Dav residents will use the old call center on the Platform in Mac/Dav.

Each student is permitted to store a maximum of six (6) articles (articles include: pieces of furniture, fridges, boxes, rugs, etc.). o No small, loose items - they must be packaged in a sturdy, shippable box. (No garbage bags, space bags, etc.

- they will not ship!). Boxes must be taped shut with packing tape; plastic tubs should be taped shut as well so the lid does not pop off. o All items must be in their most contained state (i.e. cords stowed/taped, doors/flaps/openings taped shut, rugs rolled & taped, etc.). o No food items can be stored. All food containers and fridges must be clean, defrosted & dry prior to storage. o No valuables! o Due to possible space restrictions, we reserve the right to limit or refuse storage for pieces or furniture, appliances, and/or items that are not packed for shipping.

Each student is responsible for transporting her own items to and from storage. The student must be at storage with ALL of their belongings at the start of their storage appointment time. If you need the RA to meet you at the building entrance please make sure to specify that on the sign-up sheet.

We do not provide boxes or tape. You must secure your own packing supplies.

Storage will not re-open until August. Students should review the items they are placing in storage to make sure they will not need them over the summer.

All belongings must be claimed from storage by the end of the first week of classes in the fall. Students can only claim their own items from storage.

Storage can only be accessed by the RAs or the Director of Residence Life.

The College and its officers, employees, and agents assume no responsibility for the loss, damage, or destruction of personal property kept or stored in the residence hall.

The college recommends that a

student’s property be insured under her own individual homeowner’s/renter’s policy.

Bikes

Bicycles should be taken home over the summer as there is no storage available on campus. In an effort to clear abandoned, broken, and unused bikes from our bike racks, all bikes need to be removed from bike racks from Tuesday, May 20 th through Friday, May 23 rd . Students who are on campus for Summer I are asked to keep their bike in their room May 20-

23 so that our staff can accurately clear out the bike racks.

Any bikes left on the campus bike racks during this three-day period will be removed and either trashed or donated depending upon condition. If you are not returning to campus and do not want to take your bike with you, please consider donating or selling it to the Office of Student Development for the community-share bike program. Anyone interested in donating their bike should contact the Dean of Students, Carolyn Perkins.

Miscellaneous

Students are responsible for cancelling their contract with Comcast and returning their cable boxes/remotes BEFORE checkout - the Comcast rep will be in Lenfest during finals week for this purpose. Our staff cannot do this for you!

Students are responsible for notifying BedLoft and Microfridge of any moves so the company knows where to pick up the loft or Microfridge. Our staff cannot do this for you!

Make sure to return your library books and any materials you have borrowed from campus offices, faculty or staff before you leave!

Make sure to update your address with the Post Office and Registrar as appropriate!

Summer Housing

Summer housing is in South this year. Summer housing is $536 per month and is charged to the student’s bill. If you need

Summer housing, you must complete the online request form at www.wilson.edu/reslife (requests were due March 31st).

Students approved for summer housing should sign a summer room agreement by April 18 th . All summer residents (except

WWC) will have a roommate. There is no meal plan over the summer; South has a full kitchen. Summer residents will agree upon community standards at the start of each session (or when the roster changes as needed). Summer residents will remain in their academic year rooms until they receive their summer room key (check-in is 5/23); moves to summer housing assignments must be completed by 5/26. Please be sure to access storage May 3- 18 while it’s open; only students leaving at the end of Summer I will be permitted to access storage over the summer - no other access is permitted.

Women With Children Info

Need to stay on campus during the summer? WWC students stay in the same room over the summer. Summer housing is

$536.00 per month beginning on the date indicated below. The amount is prorated based on “check-in” and “check-out” dates.

Leaving for the summer?

Make sure to check-out before you leave. WWC students who have signed a room agreement for

Fall 2014 can leave their belongings in their room over the summer at no charge but the student must return her room key(s) before leaving campus. Students who fail to turn in their room key will be charged the normal summer housing rate.

Students must thoroughly clean their rooms, unplug everything, & remove all food items and trash from the room & public spaces. No valuables or pets should be left in room. Students must remove all personal belongings from the public

spaces before leaving campus (kitchen, fridge/freezer, playroom, computer room, laundry). Students may be charged for items abandoned in public spaces. Items in seasonal storage must be boxed and clearly labeled; no furniture, bags, or loose items permitted. Bikes should be moved to the Prentis bike storage room and clearly

labeled with you/your child’s name. There is no meal plan during the summer.

Leaving the College permanently?

Make sure to check-out before you leave. Students must follow the “Checkout

Procedures” outlined at the top of this letter. You must ensure that you have removed all belongings and trash from your room and all public spaces (including kitchen, playroom, seasonal storage and loft space). Students may be charged for items abandoned in public spaces.

Whether staying or leaving, for all or part of summer, ALL WWC Students must notify Katie AND Sherri of their summer plans in writing by April 18 th .

ADP Resident Info

ADP residents needing to stay for the summer need to complete the online housing request form as indicated above. All summer residents have roommates. You must complete a full checkout of your ADP housing space by the time of hall closing (or by the summer move deadline if approved for summer housing). All belongings must be removed from the room and public spaces by the time of checkout. You must follow the “Checkout Procedures” indicated at the top of this letter. If you intend to live on campus again next fall and want your fall bill to be correct the first time, please be sure to sign a fall room agreement with Sherri by 5/1/14. If you sign a fall room agreement and would like to store some belongings on campus over the summer, some limited space may be available but is not guaranteed. All storage policies indicated above must be followed.
